Hello. I am often getting invites to meetings by gmail. How to get these to my ICal? I usually forward the mail (with an ics file attached )to my iCloud mail and from there Siri will note me and I make an appointment. But this too complicated. How to do it the best way?

Unfortunately, when people invite you to a Gmail address you can’t reroute it easily. But what you can do is add your Google account to iCloud. You can do that by going to settings, Internet accounts (or mail depending on your operating system) and add your Google account there. If it’s already added make sure you turn on the calendar option. Then your invites will show up in iCal (you can do that on your phone and computer) and you can accept them directly and/or move them over to your iCal calendar once they’ve been accepted. If you have an added your account in, when you do it you can also have your mail come to Mac mail so you don’t have to go to that clunky terrible Gmail website. I have all my accounts and accounts come directly into the mail calendar so I never have to go to the web for Mail or Calendar. Hopefully that helps.

Whisperer - Another great video. As an alternative, when finding something I want to save while browsing Safari, I find it faster to hit the "Share" button in Safari and add a Note with a link to Apple Notes. Of course, you can't search a recipe for salmon with that method.

Yeah that’s a good quick method but it results and you having to click the link in notes rather than seeing the entire recipe on the notes page and I frequently edit my recipes when cooking in case I want to add a different ingredient or change the portions. You can’t do the link. It takes a few extra minutes but it gives you way more control.

I use Apple Notes to create my kid's sports rosters. Then, I can easily share with my wife and other parents for easy access in the stands during games. Bonus - add coaches' names and players' parents' names for easy recall,

For recipes on the web, I use the “print recipe” function, which usually opens a new window. From that new window, I use the share menu and select “clip article to notes.” This imports the entire recipe into notes without all the copy and paste. I do this on my iPad. Not sure if it can be done on a desktop or laptop.

That works pretty well, but requires you to click the link on notes to go to the website to see the recipe. I like having it natively in text on the notes so that I can easily edit it if I need to make changes (I’m modify a lot of recipes as I cook them). But it’s really a great suggestion!

I have noted to Apple support that not every time the file option turns up, but a lot of other places do, like One drive and Dropbox when you try to save files. They told me that they will follow up towards Apple. Now Even at least 6 months later nothing has been improved! Do you have any solution?

I don’t really experience that issue very often. What app are you using that isn’t showing the files option? In some cases you can edit the share menu to make sure the files option more regularly available. But some apps are just badly designed and don’t show all the desired actions. I have a similar issue with Reminders which I use almost obsessively. Sometimes it doesn’t show up the first time I click the share button, so I will wait a moment and then click it again and it usually appears. So maybe that can help with your files problem.

Hello. Thanks for your respons. I use the files app and when «sharing» a file to the «files app» dont show up in the list. I know you can adjust the list options in the bottom of the «files app», but still missing. I have to save the file either to Dropbox or one drive and later transfering the file to files.

Yeah, I don’t disagree with you at all. It’s not something I want to promote… But that was the best video I could find to show working in the car. I usually do it by voice… But there was no video showing somebody dictating while driving… Oh well. Just know that that’s not my habit ever, it was just the B roll I could find.

It will make a huge difference for her to have the notes in one place. It takes a little work to scan and/or type them in, but once she’s got them organized it will completely transform how she cooks.

Sure. I have a note that has all of my upcoming KZbin ideas. When I’m ready to shoot one I create a new note and type (or usually dictate) my bullet points out so I’ve got them in front of me. And then open the note and its own window, and record using a program called screen flow. This allows me to Fill myself and the phone. I have the phone in a holster right by the camera, so that I can “look at the camera“ while also working on the phone. Once the video is edited, I run it through a program called Descript to get a transcript, subtitles, and to clean up any loose ends or Messed up words. Descript is great because it lets you edit the transcript and it cleans up the video when you do it. It even has an option to use an AI version of my voice to replace a word or two when I make a mistake. I want my recent videos I said look to your right when I meant look to your left, and I just swapped out the word on Descript and you could never tell that I made the mistake. I use Canva to design the thumbnails, and once I’ve got all the pieces together I upload it directly to KZbin. Over the four years I’ve been making videos my processes refined over and over again as I create new systems to do it cleaner, better and easier. It’s just how my brain works. I’m always improving. Paprika, a dedicated recipe keeper is much better to use. It groups them, automatically pulls everthing down with one click. Why try to make your Notes program anything it isn’t? I love Notes, and use it all the time. I just don’t try to make it something it isn’t.

I own and have used Paprika, but when the vast majority of what i track is in notes, it always feel counterintuitive to go over to a separate app like Paprika... so as a result it ends up in Notes. Everyone has different practices and ways to use their tools. For me Notes is where I store ANYTHING that I want to refer back to later... and recipes fits perfectly in that concept. The idea of making Notes something it isn't makes sense.... but for me it is a great place to collect information and easily refer back to it... so why not use it for things like recipes?

For clarity, there is no way I am recommending replacing reminders. I’m just suggesting for people who haven’t started using reminders that they can use notes better. And my next video I will talk about all the ways to use reminders… Which is every bit as powerful as notes, and neither one should replace the other. They should be used together. My family uses a collaborative list in Apple Notes for gift ideas as well, but we use it for everyone to note what they want as a gift. Everyone has their own section of the note that they can just add to. That way, when birthdays, Christmas, etc. comes around, we’re not asking everyone what they want provided they are keeping their respective lists updated through the year. Recommendation for next video: can you share how you organize Apple Notes? What folders you use and why? Thanks! Great video. I'm not an apple user but everytime I see video for apple notes I click on it. Apple notes is the one app that would have me switch from Andrid to Apple. i think it's the best out there. I use to use Evernote until it was to much of a problem and I now use Notion and I hate it. It's way to complicated to use on mobel. Great video!!!!!!

It should do that pretty automatically. When you drag a link onto Notes it will do its best to create a thumbnail. If you type the link in it doesn’t always do it… So dragging it is the way to get that thumbnail preview.

Reminders and notes are very important tools for the Apple ecosystem, and they are both critical. One is not better than the other. In this video I was suggesting using notes for basic checklists, but in my next video I will talk about how I use reminders… And why it’s better for a lot of things like that. Done properly notes and reminders work together because there is some overlap, but I use both extensively. Reminders is better for when I want to be alerted (or reminded) about a task. But sometimes when I’m trying to organize my day it’s easier to just shut it down in notes and keep it open on my computer so I can attack the task one after the other. My Reminders lists are Extensive, and serve a slightly different purpose. I’ll talk about that more in the next video. Thanks for watching!

I predominantly use Apple Reminders for my To Do Lists because of has functions designed for To Do Lists. However, if I want to combine other information with a To Do List, I will tend to use Apple Notes.

It depends on if you need heavy formatting. I wouldn’t write an entire novel with notes, but it’s great for poems, short stories, outlines, organizing your thoughts and basic writing. I only use a word processor when it’s a long form document or needs complex formatting. Sometimes I will get ideas down in notes and then transfer to Word or Pages to do the deeper work.

Absolutely. In fact in most cases it’s automatically leaving things in the cloud when you’re using it from the Files app unless you favorite it. There’s a lot of other ways to clear space on the phone that will be more effective than trying to remove a handful of files. I’ll be doing a video on that shortly, so keep your eyes open. I find that people let their phones get overly cluttered and overly full because they don’t really know how to use the cloud… And while files is a piece of that, there are way bigger pieces to use to save more space.

To each their own. I think chrome is a terrible browser that sucks the life out of computers, and doesn’t natively synchronize with anything. I am a diehard safari user, and if you haven’t explored tab groups (which chrome doesn’t do) you’re missing out on how valuable That browser truly is.

Again, to each their own. Chrome is a memory hog. Firefox is limited in its capability. And neither of them natively synchronize across all your devices without jumping through several hoops. With Safari I can start something on one device and continue it on the other devices without thinking about it. I’ve been using Safari since day one, and I’m not going to stop now. You of course are welcome to use whatever browser you like… But when people immediately discount safari it’s usually because they don’t understand some of its capabilities. And for less technical users the simplicity of everything automatically connecting through iCloud without having to change settings is a godsend. More technical someone is the less it matters… But beginner users don’t realize how easy is with its synchronization capabilities.

Great advice. I have many entrys Which are “grayed out” and worthless. I;ve been deleting them and would love to know if there is a sort option to group them.

Absolutely. If you open the view options on your computer and sort by cloud status most of the great out ones will come together. They are great out because they didn’t finish uploading from the original device and music doesn’t know where to find the actual files. This usually happens when someone move from one computer to the other without having everything fully uploaded. If you still have the old computer you can re-upload them if not, sort by cloud status and you can get rid of them.

When you scanned the newspaper, the rotated selection box (rotation angle not at zero) will reduce the file size because it's not lossless when saving as a Tiff file. If you reposition the newspaper on the scanning glass with your hands so that it's straight, and you scan it again with the rotation angle set to zero, and save as a Tiff, the file size will be larger. It seems that Image Capture does not have lossless rotation. That doesn't seem to happen if scanning from Preview.

My desktop music library is a bit of a mess, including 1) multiple copies of songs, 2) loads of recordings from the original iTunes where "the original file could not be found" (Martin Luther King, Dylan Thomas, and Harry Potter among them!), 3) hundreds of Garageband songs I recorded, and 4) record albums I downloaded into iTunes. 1) Is there any way to group the songs with missing data together so they can all be deleted quickly? 2) Is there any way to consolidate the libraries from my laptop, desktop, iPhone, and iPad together -- assuming there is room?

Messy music libraries are pretty common these days. The first thing you can do is while in the song view, edit the view options to include cloud status, and then sort by that. That will put the duplicates together, and the missing files together. If you click on any of the missing files and locate one of the songs (they’re usually in the music library by artist name) it will attempt to associate the other songs as well. I’ve had some good success doing that although you have to do it multiple times to get them all. As far as synchronizing multiple devices there are two ways to do it… Several years ago Apple had a service called iTunes match That costs $25 per year. If you have a subscription to that you can use it to synchronize… Unfortunately they discontinued the service so you can no longer get a subscription if you don’t already have it. So if you don’t have that subscription the only other option is to use Apple Music Which will bring all your songs together and your devices going into the settings and clicking sync. Without Apple Music there’s no way to do it automatically. I do a lot of work with people cleaning up music libraries on a one-on-one basis… If that’s something you’re interested in looking into send me an email at [email protected] and we can schedule a remote session to get you pointed in the right direction.

@@TheMacWhisperer Thanks greatly for your amazingly quick response! My view options are Title, Cloud Download, Cloud Status, Time, Artist, Bit Rate, Album, and Kind. I set the Library to "Show Exact Duplicate Item" with the Option key. Now, I'm working to eliminate the duplicates with the lower Bit Rate. Unfortunately, the "Cloud Status" column is empty for all of my songs. So, this should take a lot of time! I hadn't heard of iTunes Match, but apparently, it's still for sale ($24.99/year) in the iTunes Store. It "stores your entire music library in the Cloud, including music from CDs, and lets you enjoy it anywhere, anytime, on your iOS devices, computers, or Apple TV" It sounds great. The only problem is that they hold your entire music library hostage if you stop paying! It sounds a little bit like ransomware. It sounds like Apple Music includes (replaces) all that iTunes Match does. But it sounds a bit like giving Apple my entire music collection (including all the music I play and record) and then paying for the privilege of renting it back from them. Why rent a cow when I already have the milk? After I'm done dispensing with duplicates, I may very well schedule a remote with you. Thanks again!

It looks like despite my misgivings, Apple Match was indeed the solution to the problem. The library on all my devices is growing. 4316 and counting! Despite this size, the "Cloud Status" column will now enable me to group the missing files together. Apparently, Apple Match enabled my Cloud to actually have some Status!

thanks for this...KZbin referred me to this as I have just started using Files on an iPad. Great explanation and it will help with my organization. FWIW, I was trying to copy a series of Photoshop videos (F64 Academy) from my Mac to the iPad and Files never showed up in a Finder window. I ended up copying to VLC and then doing a move to Files so I can keep the videos in a folder structure that VLC doesn't seem to have. Still haven't figured out how to copy the PDFs over. I will subscribe for more helpful tips....thanks again

I just want to confirm that you got the files moved over to the iPad from the Mac. Remember, Files will never show up in finder... but the Desktop, Documents and iCloud Drive folders will, so you can just move your PDFs into those folders and they will "magically" appear in Files on your iPhone and iPad. Anything is possible. It really depends on how your files were set up in iTunes and whether things were migrated properly from any prior computers. If you can find a song that isn't there and search for that song on your computer and locate it somewhere other than the music library, it (and any other files in the same location) can be imported. If the music was purchased through Apple or iTunes, make sure you are logged in with the same iTunes/Apple ID, and you should be able to locate it that way. There are a lot of situations that could result in missing files, so it's hard to say for sure... can you tell me more?

That tip on low power mode was unnecessary. It will help improve battery life, but ruining battery health. Don’t do it. Let the system decide when low power mode needs to be activated.

@@TheMacWhisperer actually I tried to find the resource that claimed that it is not good to run the phone on low power mode all the time as it will break the battery health. Guess what? To my luck the page is no longer available on search. However, what you said that some features will not work on low power is correct. My apologies, please forgive me. I do not run the phone on low power all the time, I let it be and when battery reduces to 20% it automatically gets to low power mode
