Hi Reza, Thank you! I have watched most of your videos. All brilliant. I have watched this video more than 10 times. Somehow I was still unable to get the checkbox checked for a selected item. The missing part is the checkbox's default value. I have fixed the issue by setting checkbox's default value as "ThisItem.Value in collection.Value".

Thank you for a great video Reza! In my case, form is not loading from a Gallery, rather directly from SharePoint. The only missing piece now is how to load the existing data into colCategoryData. Unfortunately it doesn't work. I tried Collect(colPermissions,SharePointIntegration.Selected.Category) -> no luck. I think the OnVisible event is completed prior to loading the data, or something along that line. Can you please point me in the right direction?

Might be a caching related issue. You may want to call or use the OnVisible fiunction of screen and clear collection on close of the customized form. I do not have a video reference on this scenario and would have to try it out to provide guidance. What if the gallery with the checkboxes was in the main screen. How would you save and retrieve the checkboxes values? I tried witout success...

thanks for a great video Reza - I followed the steps to create the multi check boxes and it has worked in that it connects to the datasource (Sharepoint) and displays the choices however the update and default properties for the DataCard are coming up with an error - "The property on this control expects Record values. The rule produces Table values which are incompatible" I must have missed something - hellppp!!

@Dr Bob. I had the same issue too. Even after changing column to allow multiple selections and refreshing data source, the datacard kept throwing the error. I started fresh by adding a new column with allow multiple selections, no error when pasting in collection as default property for datacard. Hopefully, this helps. I don't understand why sometimes PowerApps won't acknowledge SharePoint updates and new columns work. But it does.

You can always check if collection was updated. You can create an additional collection on screen visible. When saving, if both collections do not match, that means a change was made. Outside of the Checkbox gallery (but on the same screen) I have 2 dropdowns. One is employee name the other is instructor name. Thanks for the tutorial, I used the same method as yours and made multiple choice selections in my app. On checking the boxes, it stores them in a collection. When I patch that collection to share point list, it only pushes one checkbox (the first one user selected) rather than pushing all the selected checkboxes

How do you add that ability and get that additional information into the collection as well? Sorry if you answered this already and I missed it in the comments.

This is great. I can see the all the possible value defined in my SharePoint list as a checkbox. Also, the collection shows the right values BUT my checkboxes do not get checked based on the loaded data. Any idea what I am missing? Seems to be a connection issue between the gallery and the value of the checkbox. I have no idea what I am missing. Watched your video 3 times already. I deleted everything and started over and just wanted to see that the checkboxes are ticked before I even started with the collection to update the source. And still, it does not get checked. And ideas are highly appreciated.

Thanks for sharing. I was overdoing this one by creating a new collection everytime when the New form was not opened. But Gallery control is a better approach. Even if someone changes the sharepoint list in the backend the gallery will read it and Edit form will still show the updated values.

Hi Reza, It's a brilliant solution. When trying to implement it with dataverse as a data source and choice list (rather than Sharepoint) The default and update properties of the datacard do not respond. The collection is populated but the records not updated accordingly. I suppose the collection is trying to pass text values to a "choices" column which wouldn't work. is there a workaround? Thank you Reza, this was awesome. I do have a few questions because I kept getting an error on the Update and Default property. My field that I am using is not a multiple select choice field. It is a multi-line column in SharePoint. Would this not work, due to the data type? Also, if it does work, is there a video that shows how to submit the collection with a different delimiter than a comma. My items have commas in them and I would like to use a "/" or some other type of delimiter. Similar to when you used the concat statement and was able to identify how to separate your selections. @@RezaDorrani So, I did post this to the Powerusers forum, but a question concerning your actual process. I have tweaked my process a little bit, where it is a multi-choice field like you have. I added the collection item as the Default and Update properties. However, when it submits to SharePoint, I have the collection getting formed as you did and set my Default and Update. However, the data wouldn't submit to SharePoint. I am doing a SubmitForm(FormName). Any thoughts?

@Reza Dorrani one difference between our two situations is I am pulling in the multi choice field as a container. The values stored in the choice field on share point are not the values that will be used in the form. I am pulling values from a share point support list. So I may need to rethink this process as the way you set it up will not work.

Thanks Reza, this is a great tutorial. I just appear to have one issue. I am using this in a multi screen form and when I click the next button to go to the next screen it checks FormName.Valid and then attempts to do a SubmitForm if it is not valid in order to trigger the validation errors to appear. For some reason, with this checkbox method, I have to click the Next button twice before it registers that there is a value in the checkboxes that applies to the datacard. Do you know of any way around this?

I have a question for you though: I implemented this concept on a form that pops up and it's working when the form mode is New, however, when I click on the Edit Button, the previously selected checkbox never defaults. Could it be because the OnVisible property code does not execute on a Popup form?

In this demo you are using a Gallery to manage the selection of items. I am relying on standard SharePoint UI and, as such the conditional logic assigned to the OnVisible property of the "Form Screen" does not apply in my case. In the Collect() function, inside the IF statement, what should I be using to reference the current item/record? "ThisItem" does not work/resolve.

Thank you so much for this video. I have followed your video to create the "multi select check boxes". In the view form, for the Update and Default properties, if I set it to the collection, I get an error saying "There is an error in the formula. Try revising formula... Data Type: Table". Strangely I don't get this error on my Edit form. Any ideas why I get this error.

I found a workaround with creating rectangles over checkboxes and changing their visible property as needed. I got the same situation, but I notice when you are creating a new record your form is in edit mode and I figure out gallery control is only visible in edit form mode. So, I got an issue with form control that if I change the form to new mode when crating a new record it is not showing gallery data coming from SQL server and if I change the from mode to edit nothing showing when I run the application. Any idea how to solve this please?

Could we apply onvisible property to true when 1 check box is checked and when it is unchecked the onvisible property sets to false to another item in the list. Example : i have applied your .slected.value = "" syntax in the desired item but when i check one of the box it shows the that item but when unchecked it still remains visible until another checkbox is checked. All submit button does is submit the form. All the main logic is as showcased in the video. Check the video description, there was one extra formula for maintaining the default value that got missed in the video. Apart from that, if you follow all the steps, it will submit the data.

Be sure to follow all steps highlighted in the video. Its important to have the default property set for the data card and to reload the collection on which the gallery is based. For the checkboxes in the gallery, make sure to set the default formula.

Ideally you should be using 1 screen for all form modes (best practice). You can change form mode on demand, show hide cols, etc. If you are using 3 screens you would have to repeat logic on all 3 screens. Regarding the Multi Select Checkbox, I have a SP list where I have durations, and when I chose a specific duration I want another column to be changed according to the choice duration, for example If I chose 1 month the column date will be 11-04-21. I successfully done it for one choice (not using patch nor collection) but if I wanted to choose 6 choices and patch it for 6 different columns how can I do it??? What I used is putting the following equation in the drop box’s item field Table( { Name: "1 Week", Days: 7 }, { Name: "2 Weeks", Days: 14 }, { Name: "1 Month", Days: 30 }, { Name: "2 Months", Days: 60 }, { Name: "3 Months", Days: 90 }, { Name: "6 Months", Days: 180 }, { Name: "9 Months", Days: 270 }, { Name: "12 Months", Days: 365 }, { Name: "24 Months", Days: 730 }, { Name: "36 Months", Days: 1095 } ) And the following formula in the Update field in the data picker DateValue2.SelectedDate + Time(Value(HourValue2.SelectedText.Value), Value(MinuteValue2.SelectedText.Value), 0) Now I don’t care showing the future date but I want when the user choses 3 periods, 3 dates will be updated in the list.

HI Reza, how could i call the selected value directly from the Column instead of going thru "GalleryTask.Selected.Category"? The problem is I cannot store the value in the collection because I am only using a singular screen and SharePoint Integration Form.

It's a matter of capturing the selected items from the lookup list into the collection. I haven't figured it out yet, but am working on it, so if you come up with something......................

The dropdown is coming from the form control which is connected to SharePoint list that has a multi select choice column. Check videos related to form control on my channel.

This is supper helpful Reza, thank you! I am having an issue clearing the collection though. When I add the "Clear(ColData)" function the data in the collection clears, but the checkboxes do not uncheck. Also, when I click on an existing record the form does not show the checkboxes that should be checked per that record, it instead shows whatever checkboxes I selected last. Any ideas on this? thanks again!

@@RezaDorrani Thanks Reza, that worked perfectly. One last question if I may. I am now trying to create a meeting invite that displays the Items selected by the checkbox's in the body of the meeting invite. So essentially, I have a "Submit" button on my form in which the "OnSelect" function of the button sets up the MS Teams invite. All of the functionality of the invite works but I'm getting "blank" when I try to pull the values selected within the gallery that the checkbox's are located in. The formula is "Gallery3.Selected.Value". Any advice here would be great. thanks!

@@RezaDorrani Finally figured it out. Within the formula where the input for the body of the MS Teams invite goes I placed a Concat function for the information in the collection that houses the items that were checked for that particular record. Now, the information shows up in the body of the invite in Outlook and Teams calendar
