I just downloaded the to do list app and it's already changing my life haha As someone with a non neurotypical brain, I had many many written to do lists but they would get lost or I couldn't remember every task when I wrote it and I'd forget to add tasks to the to do list. It's such a simple thing and I can't believe I never thought of it before. 100% improved my day and mental health. Thank you.

That's not a good idea actually. What happen if you don't have access to internet? Google crash ? Stop existing (yes it can happen, and way more quickly than people think) ? A good practice is to have at least one physical copy to your important documents (taxes, insurance, invoices, health policy, etc.)

@@sallys.2707 I disagree. Physical files can also get misplaced, burned, flooded etc. I agree you always need backups in different places. But it does not have to be physical. My problem is that a lot of my files are physical. And I dont have a system to scan them and file them. Maybe that's something I should try to implement in the future. I have way too many folders and binders.

I stand by the fact that you should have physical and digital copies of important documents. Digital because paper can be destroy and physical because computers and phones are not always available (as is internet).

ADHD, dyslexic home educating mum here and I use Alexa for lists which is super helpful because I don’t have to pick up a device (distraction) and I can use my voice instead of writing. My work is also my personal life and children are curious, keen learners so it’s hard to separate and keep up at times but if I am mid task and one of the children asks me a question which I can’t answer or focus on I pop it on their list on Alexa and we come back to it. It also reassures them that I’m listening and we will get to it. It’s also great for shopping lists etc as I can shout from fridge and don’t have to switch tasks which can be tricky with how my brain functions.

As someone who is reeeeaaally organized at work but more chaotic when it comes to personal stuff it was really validazing hearing you say, that your personal drive folder is also more chaotic lol. I always admired people who can keep their professional structure for their personal stuff, too, but it's really reasuring to hear, that there are people like me: organized in the front, chaotic in the back lol

I am the same. At work everything has a place and structure and it is easy to find anything and everything. In personal life: Yeah somewhere here it‘s good enough. And then I have no idea where that thing/file is.

This is so inspiring! I am the faux-organized friend -- I have a lot of the right ideas for organization, but struggle to follow through on systems. Maintaining consistent methods for to-do lists and project tracking is so hard for me! But good inspiration to keep trying and working on those habits.

yeah same, I'm so good at organization in theory or, like, for the first week, but then life gets in the way and i stop keeping up with it and things stop getting done 😅 (i use organization mostly in my personal life, don't need it for my work) (except I'm going freelance soon, and I'm definitely gonna need it then 😶)

Filing tip from an academic researcher: if you put ‘01_’, ‘02_’ etc in front of folder names then they’ll never move around and you can control the order while still sorting by name :)

As someone who is trying to set up a social media marketing strategy for a friend's small podcast, I am LOVING this. Was toying around with Notion too and was getting overwhelmed, but seeing how you do it was a HUGE help. Thank you

Yeah Notion is a bit of a learning curve! I recommend carving out some time to just play around with it, watch some tutorials on KZbin and mess with some templates. Good luck!!

this is the dreeaaaam and so interesting, especially the Project management section - i work as a video editor for a youtube channel that is video game based and we do 2-4 videos each week and our work process is SO different. it has to be all very "current" so it stays relevant - so at the start of each week we check in on what projects can be done. we can't exactly schedule things unless it's like a more generalized subject. it makes it a lot harder to adjust to sponsor needs (e.g. can't send them a full video and gotta send them just a sponsored section) but unfortunately it's the way youtube algorithm has started to force stuff - if it's not relevant and new, they don't push it lol. i'm really curious about how a lot of these strategies could be used on a "on the go" basis, i tried Notion a while ago but felt that since I had to keep changing things around it wasn't super efficient! also paused on the idea list and super into more book based content 👀

I struggle keeping anything organized for long, so I am sitting here taking notes, lol. I think I'll watch this video a few times to learn more and go back when I despair. Honestly, I wish I could just hire you to organize my life for me. Alas, I am broke.

Omg I wish my calendar looked like yours. My day usually has about 12 meetings plus my 2nd job plus time to actually do work on each 😢 love the principle of this organisation, someone needs to tell the corporate world...

This is exactly the issue with office jobs. Full day of meetings, plus full day worth of tasks and yet they expect that it will be done within the same amount of hours. It does not work that way.

What I find hard to organize are the sub-tasks of a larger task. For example, you have your daily to do items and sub-items in your "moving from the studio" task. Do you take out the sub-items and move them in the daily to do list? Or you leave the big task as is and allocate multiple days for it?

Im usually a very organised person, but since having a baby 3 months ago things have become a bit more hectic. This is great for me as I try to reorganise my life (and mostly my mind, honestly)

This inspired me to organize my life better again! My therapist helped me do that a few years ago and I thrived in it but I’ve gotten away from it.

Can I tell you how excited I got when I saw YNAB listed in your to do list?!? Granted it could be something other than the daily financial planning app, but I love the thought that I run my life using something the same as you do, haha. Thank you for sharing and always helping us be the best us we can be, while recognizing that we are not a one size fits all society; your inclusiveness is recognized!

Yes I use YNAB! I have a recurring task on todoist for 1st of every month to go through and assign budgets for the month!!

Bit late to this video but OMIGOSH my PDA (pathological demand avoidance) could never! 😅 I swear I make just one simple to-do list, and then make every excuse possible NOT to do a single task on them (could also be my ADHD). Maybe things would be different if my tasks were work-related/if I were self-employed, but at any rate, kudos Hannah!

This is really helpful! Even though my career is quite different to yours (secondary school teacher) it is definitely a job that requires a lot of organisation and systems! Will definitely adapt some of these ideas :)

This was really interesting! For personal stuff, I mainly use my phone’s reminders and then have a paper diary (I can’t bring myself to switch to a digital only calendar but I know it’s coming 😂) and I should have one central place to store documents and stuff but it’s kind of spread between a physical folder for paper docs, my phone camera roll and random notebooks. For work I use a paper weekly organiser pad as my mouse mat and then use the bullet journal method to list my everyday tasks. I’ve just started toying with a Gandtt chart to organise my work schedule as I’m a very visual person. I’d love some kind of Notion platform to organise my whole team but when we’ve tried scheduling software in the past it’s so hard to get everyone to use it 😖

So interesting as a fellow organisation fiend who’s just started as a freelancer! However I’m such an analog/paper person. I’m so drawn to the digital stuff because it seems so much more streamlined but I think you summed it up at the end because I love the look of digital stuff but I end up not using it! I am going to continue to find which bits and bobs of digital works for me because there are serious advantages!

It seems like I just love your fashion themed videos. I have enjoyed all of them and all of these sounds cool. I have a fashion video idea for you: Met gala inspired look(s). It could be finding second hand clothes inspired by this years theme/the exhibition/previous looks. It could be for party or everyday wear. I would love a video about the process from deciding on a look and then the hunt for pieces to bring your vision to life

I title my archive folders "X - Archive" so they sit at the bottom of my file list. I hate when they're at the top since I rarely go into them.

Great video Hannah, thank you for sharing our system! How do you deal though with the lack of reminders on the free version of Todoist? This is one of the biggest reasons I don't feel like switching to it. I am often in a situation when I have to be reminded to perform a task at a specific time, for example call the doctor's office before noon because afterwards they're closed. Where do you put such reminders?

Hahaha! Its working!! 😅😅 but in all seriousness Non-creator followers often ask for this kind of content but it might potentially help with the other business too. Although I do see the two as separate because my audience here is mostly made up of non-creators. So whilst I like showing the behind the scenes of my work here I don’t think I’ll be making much “how to sort your shit as a creator” or “how to launch a Patreon” content. At least not here 😅😅

Can I suggest a tool. For thought organisation or simple mind maps. Which is Mindly. And ask is there a to do list that etc that has an emergency stop/start button. I have CFS. According my mates I am doing about 10 times better than Physics Girl who is apparently batting at 1% of 100. So today I am supposed to be pushing hard for a deadline. But the reality is that I cannot stop falling asleep. Like I did just then. Any thoughts?

Google is also not super great for privacy, so if you use client data etc then there could be an issue there

once I'm done with them I remove them from google and put them on a hard drive and then the hard drives just gather dust because I never really need the footage again!

Why don't you become a project manager/product manager/ product owner? I'm sure you would enjoy it!! And there are too few product managers who enjoy organizing other people's work. As long if you had someone to onboard you on how to do scrum and JIRA, I'm sure you would be flying!

Hi Hannah 😊 would you consider changing the thumbnail of this video to something other than "it's not that hard"? This is kind of language is used a LOT to belittle and invalidate the experiences of those of us with executive functioning impairments and it can be quite upsetting to read it in this context. I know as a disability activist you're well aware that there are some things that might be easy for most people but they really are that hard for others, and the reality is that's how it is with organisational tasks for a lot of people with mental illness or who are neuro divergent. I know you're always doing your best to be inclusive, so I hope you will consider changing this 😊 it may not be that hard for you but it can be for others ! Thank you for reading, appreciate everything you do.
