Hey Paul, great stuff! When working with external clients (who don’t use Asana) how do you keep them updated with project status? Maybe new video idea? I’m sure other people are curious as well.

Paul Minors so with that answer, I’m assuming you invite all of your clients to Asana as Limited Members?

Hi Paul, What about guests? Is that the same as limited members? use case: I'm thinking of limiting my premium to 5 members and just invite the rest as guests so I don't have to pay for another 5 accounts when I only have 2 more members. What's the use case for using the guest account? Ex. Can I use the premium just for my managers and have regular staff use guest access to just follow their checklists and work on some tasks assigned to them?

Thanks Paul. Is there a way to grant access to see into Asana without granting any ability to post or edit data?

Yes, you can set a project to comment only. Sort of like a 'read only' view that people can't edit (unless they are the assignee of a task)

Paul Minors hello thanks for this advice. However what if we want them to be able to Check off the task when completed but not edit or accidentally delete the verbiage of a task etc.?

Because as of now when I set them as comment only, they can see all of the tasks I’ve listed for them to do but they cannot check off the task showing it’s been completed.

Hey Paul. Love your videos. I have a question about private projects. Is there a way for tasks within a project to be private? or will everyone in a private project see all the tasks

You can add someone at the task level and if they haven't been added to the project or the team, this task is all they will see. Otherwise if they're in the project they'll see all tasks in the project.

Hello Paul this is a GREAT video and very informative. I have a question about how much more granular that we can get. In my situation, I'm' using Asana for Lead Management. I have Zapier populate leads for my business into Asana as TASKS. I then review the tasks and add any additional information for that client that I need for bookkeeping purposes. I then assign that task to one of my contractors to complete the work order for that Lead. *However, there is some client information that I don't think that my contractor needs to know, but that I would like to keep for our records. So my question is, is there a way to hide sensitive information when I assign the task to my contractor but allow me to see it when I'm looking at it in my account? Thanks!

I'm afraid not. Essentially if they can see the task, they'll see all notes and attachments etc. on the task. However, when working with my own contractors I often have a parent task for my reference with notes then assign the contractors tasks (without notes) as a subtask on that parent task.

Mostly yes. On the free plan you are limited to making private projects only accessible to you. If you want to have multiple people in a private project, you need Premium.

You can invite them to the team by clicking the + button the sidebar.
