In this video on Power Apps Editable Excel like Gallery or Table (Tutorial), we will go through a step-by-step tutorial of creating an Excel like Editable table/grid. This is like the Quick Edit Mode in SharePoint lists/libraries or the Grid view in Dataverse for Teams or InfoPath repeating tables.
We will use Power Apps Galleries to create the editable grid and live update our data source.
Video covers the following:
✅ Style gallery to look like an editable grid
✅ Add a new row or record to the grid
✅ Record grid updates in a collection and patch all the changes with a single query (performance boost)
✅ Delete a row or record in the grid
✅ Put grid in view mode or edit mode
✅ Undo grid updates
✅ Auto-save grid updates using timer control

Really great video and clearly explained. I always wanted to make this grid functionality by using some custom jsgrid with rest api calls.. Now this solution has made much more simpler than this. I really wanted to try out with SP list having more than 5k records and need to try paging, sorting, filtering in this grid. Thanks again Reza for this wonderful video.

Hi... Thank you so much for the presentation. I am curious to know if similar grid in power app we can make on top of few SQL data table (instead of share point table) where tables are also having a after trigger to log insert/update/delete on a audit table. Please could you advise?

The gallery was conncected live to the data source (no collection set as Items property). Since my App had no delegation warnings the gallery will load data from CDS in batches of 100 in a performant and optimized manner. So really no limit as the records are being fetched in batches.

Hi Reza, This is a great demo of how to create repeating tables. This is something we use often at my workplace. We have always used collections as the data for our repeating tables to display the data rather than the data direct from the datasource as you have in your video. Then onchange we would update the collections data. This would cause the gallery to refresh and the input that the user is currently in would lose focus. This isn't the best user experience, and following your demo you mostly get around this issue; however, I have noticed that after making changes to a cell, and then clicking the delete button on another row will reset the changed cell to the data within the datasource. Do you have anyway around this? Thank you in advance.

Hi Reza! This is super helpful. Thank you. Question: Is there a way to populate a Word document with the data from these tables? I am trying to build a proposal where products can be added to a list, like in the table you created, but porposal must be in Word (first then PDF). Haven't yet been able to find a solution.

Possible. I do not have any video reference though for this use case. Idea would be to query flow, flow to use word online business connector to populate the data, then store than file in OneDrive and convert it to PDF.

Thanks Reza for this wonderful tutorial ! Very very useful indeed. If I may ask you a question please ? In my project I have 3 different screens, each of which will have an Editable Table/Grid (like the one you have shown in this video). In this case, the user is expected to input data from different (but similarly structured) Excel files into these grid tables. The Excel files are like templates and values to be input are very conveniently arranged in a row. The user needs to copy only one (or two) row(s) from each Excel file into the Grid Table. So ideally, it would be very time-saving for the user, if he/she could simply copy the row from the Excel file and paste the same to the Grid Table (in PowerApps). This will not only save time but it can potentially reduce errors in manual data entry. In short, is it possible to copy rows from Excel file (one row at a time is fine) and paste the same into a corresponding row in the Grid table ? (Of course, we will design the Grid tables so that the columns in the Grid match exactly with the columns in the Excel file). Thanks in advance for any advice you may have !

Thank you for watching. Copy paste is not a feature in Power Apps. User would have to copy cell by cell and paste which is not ideal. I can think of a case where we could leverage flow to read data from an excel file and populate the table. Sounds simple but will require some amount of effort to build.

Horizontal scroll is not possible. Data Table has the horizontal scroll but then it does not provide an editable grid.

Hi Reza, Thank you for all the videos, so helpful! When I create this app from a SharePoint list, the save button refreshes the collection (as if running ClearCollect) so that the warning messages for unsaved changes light up on all items. If I click the button again, it clears the collection and the warnings. When I create from a Dataverse table as in your example, it works as expected. Ideally, would like to run this from the SharePoint list. Any thoughts on what might be happening?

This is really helpful and making an excel like experience available within PowerApps. Have a quick question - can we update the Add Steps function to allow Saving the existing data in the Collection and add a new row. It appears, if I update Steps and add more steps, the gallery gets refreshed from SharePoint list and removes all the data from the gallery. Thanks in advance.

Great case dealt with clarity, as usual Reza! I faced one problem though which is the gallery items resetting, and probably triggering OnChange action, upon executing patch as provided in Add row. Thus, this pushes all items from gallery to the Collections and not the only one changed, when Add row is clicked. Any way to resolve this? Thank.

Really great video and help to save bulk records in data source(SharePoint). I downloaded the sample application which you provided along with this video and made modification as per my requirement(for example added multiple text input control). One issue observed in this sample app is when I enter something in text input in gallery and use tab key to move to next control then focus jump back to first control and not able to enter the value in next control. When I explicitly click on next control using mouse then only it allow to enter the value in next control. If I remove the patch code from onselect event in gallery then it work perfectly. Can you help me to resolve this issue by keeping patch code in onselect event along with using tab key

Hi Reza, Thanks for the clear description. I made the same app and everything worked fine untill I wanted to patch my data. The patch functions gives an error called "Invalid argument type (Table), Expecting a Record value instead. Do you know how to solve this?

Hi Reza, Your video is a saver. However, I do have question on delete feature. When I added delete feature, it is working to remove row, but I notice that it is removing previous row not the one I selected. I used similar formula showed in you video. My formula is as "Select(Parent);Remove(CollItems,ThisItem)". Have you encounter this error previously?

When user selects delete, you will have to handle 2 cases. 1 - user added item which is in collection, so just delete it from collection. 2 - item is a part of the data source, in this case you would first need to push all pending changes to the data source and then delete that item from data source. Would be best to show delete feature after all edits are saved to data source.

You cannot directly copy paste into the grid from excel. You could use flow to read data and populate the grid. Sum and calculations is possible.

I'm trying to follow it to update a simple SQL Server Table with a primary column Id, but as soon as I finish entering the Patch code for the OnChange, I get an error on both my Text columns...(only updating 2 Text columns) : Name isn't valid. The identifier isn't recognized... could this be one of the PowerApp glitches that forces you to get out and start again ? Solved: Removed and added All field's Default values again...

Hi Reza - Love, love, love the video! Great job! I'm working through this scenario and am having trouble with the date picker field. In my scenario, I want the date in SQL to display in the form AND be editable by the end user. I can pull the date in just fine, but when I change it to a Input > Date picker, it won't resolve the ThisItem sytax. Can you show me the error of my ways?
