PowerApps Room Booking App | Build From Start

Learn how to create a PowerApps Room Booking App! After receiving incredibly positive feedback on my earlier video, along with comments and messages from you all requesting a desktop version, I’m excited to create this video for creating a Room Booking App specifically for desktop use.

Thanks! 😊 The main reason for building this is to optimize UX first and then UI. While the Microsoft PowerApps template is decent, it’s like a good starting point that’s missing a few UX. Just a heads up, that’s the same template I used back in the day, so no offense 😂😉

Yes, it is doable, but the only thing is that you need to write formulas from scratch, for example, to get specific room availability for a selected time and check time slots. Using the Office 365 Outlook connector, everything is done automatically, and we just have to pass the parameters. However, if you go with MS or SP lists, everything will be custom.

can any external user book rooms as we have multiple entities ? And we need a public url to share to all users

However, you can share PowerApps with external users, but they must have an Office license assigned because we are using the Outlook Connector, SharePoint, etc. Additionally, since we are storing data in SharePoint, external sharing must be enabled for site sharing. When I tried this on my end, it didn’t work well for booking and other functionalities. The issue I faced is that when trying to get rooms from 'O365 Resources,' external users cannot see any rooms. If anyone has tried this, feel free to share your inputs, but as far as I know, this is the situation.

what about the subject of meeting? How to add subject

You can take an input box and when using the Connector to add data, there's an parameter called "subject". here you can reference that property... can you please add a timestamp as well so I'll get the idea where you got this 😊

@ is it possible to publish this app to public? Many companies use Multi Tenant collaboration, so can any user book the meeting room ?

Need to check about this. As per my understanding, rooms we are getting from a tenant resource, each tenant will have different rooms and addresses so this might not be doable for multi tenant. If you want to have this, instead of using Outlook connector to get rooms, you can have SharePoint list to store the room and make that SharePoint site accessible to guest users
