Yes, you can bring up a search menu for just about any field that uses a code. Not exactly a drop-down, but a pop-up window that lets you select the account.

Yes, this is the plain vanilla client-server interface. Not much to look at, plus it includes all the fields that many companies won't even use. You'll find that just about every SAP implementation includes customization of these screens to improve the way they look, eliminate unused fields, provide web-based entry, etc.

It's an implementation decision - drop-downs, pop-ups, searches can easily be put in place if desired. Many companies have charts of accounts containing hundreds or even thousands of account codes. It would take quite a while to scroll through that drop-down list!

Is there a feature in SAP that allows users to import large journal entries from Excel files? I recently started a new job and they use SAP, and they manually enter JE's with multiple lines. I think that in Year 2021, there must be a feature to upload from Excel instead. Please advise. Thank you!

There is a transaction in SAP that allows you to import journal entries. Of course, any transaction import feature should be used with care in a production ERP environment!

How does SAP know which entity code that journal is allocated to? I don't see any option for entity code there?

Depending on how you configure SAP, you can require balanced sets of books at various levels. At a very high level, the Client code can be used for the overall entity. Below that, we use the Company Code in these examples.

You can click the lookup tool right next to the account to generate a list of accounts you can choose from.

Sir, I observed you used account number first in encoding the transactions. Is it possible also to encode account name first then followed by account number?

eidua045 Yes, it's possible, but usually it's better to use a shorter code. In my experience (dozens of clients), companies doing data entry (lots of transactions) want to use shorter codes rather than longer names. Traditionally, account codes were numeric for sorting and grouping purposes, but in modern systems, the account code and the organization (i.e., groupings and rollups) are completely independent of each other.

You can't delete them - that would violate the notion of data integrity and a good audit trail. Instead, you can create a reversing entry.

It's not hard to get the client software, but it's pretty useless without a server to log into. Generally, you should find a training or university course that you can enroll in to work with the software.

The general ledger houses the company's accounts. The general journal is a place to first record an entry before it gets posted to the appropriate accounts.

SAP is nonsense..not giving the GL account name as a drop down option. all have to remember the accou nt codes....
