How to create a scheduled approval reminder using ServiceNow flow designer. In this video we create a flow triggered on weekly basis to find all approvals open since a certain date and use a for each flow logic and custom create event action to send emails out to approvers. We also add a helpful log to the system logs and update the task record with work notes.
With flow designer this is a lot simpler than before, with the added benefit that this is all captured within an update set. Gone are the days of exporting your scheduled job via XML!
This is created in Paris version.

Great video. I need to do the same thing but with the approver which is selected in the SCTASK, not in the REQ. Any solution?

Approver agains the SCTASK? Never seen that done before. But from a flow you can dot walk or select the table you need so anythings possible.

Hi Sir , In the Update Record Action , since Approval table consists of different task types like change , problem , request Item etc but why it takes "TaskTable" instead of Change , problem or sc_req_item table . please clarify

All of the records you mention there extend from the Task table. So the system goes to the root level, from there you dot walk to the underlying table and its fields

Thank you so much for all your great videos. I have learned a lot from them. In the sysapproval table, how can I look up a specific Catalog Item name and send a reminder email only to that Catalog item, because I don't want the email to send to all Service Requests/Catalog Items.

Thanks for the comment...you can dot walk to the item name if you need to. So from sys approval table, it would be something like..Approval For (sysapproval).cat_item.name. However it maybe something you think about that can be a scalable solution. So instead of only trigger the email off the name of the item..What about the category that the item is in dictates if approval chases are needed? Or the maybe based on cost or perhaps dependent on fulfilment group attributed to that item? I'd think of something that can be driven based on attribute information rather than a free text name that can easily be updated.

I have followed this video and the video on how to create an action, but I cannot figure out what I am doing wrong. The flow will add the work notes to the RITM, but will never trigger an email. When I test the flow, everything says it completes. Any guidance would be greatly appreciated. I'm on Utah if that makes any difference.

At 14:31, how did the note in activities appeared. I reviewed your video a few times but the flow designer did not ask to add worknote. Kindly enlighten us. =)

Hey...thanks for the comment. Its been a while since that one. However I added that in the 'Update Approval for Record' 11:24 ish. Theres a number of ways this flow could of been constructed (as with many things in SN). I chose the simplest at the time :)

06:58..adding approval for.task type = change request means the approval reminder would send for Changes and NOT catalog item stuff. If you want you can NOT add that condition and send approval reminders for all i.e. Changes, Request items, Knowledge articles etc etc...that conditions just allows flexibility if you want to handle the task types differntly.

@@Evilasdevilre rolling back/reverting flow changes. I go to “sys_update_version.list” and find the sysid of the flow I want to revert. You can then right click and revert. Sadly, comparing the current flow to the selected one on that table doesn’t show a clear comparison; bit of reading XML. So often I just go via timestamps.

The video was very useful. However, I need to send approval reminder email if the RITM is not approved 5 days before Due date. We don't pass due date to approver table so I cannot reference the due date from there. Is it possible to reference the RITM table for due date and then send reminder. Appreciate your tips!

Thanks for the comment! Absolutely that’s possible..you could trigger a flow on insert of an approval record, then do a flow logic wait for the due date -5 of the ritm before sending the notification. I haven’t tried that approach but that’s where I’d start. Should work 🙃🤔
