Tracy , I am a slob when it comes to fling, the more I try the worse it gets. This video has to be the most knowledgeable organizing filing I have ever seen. Your presentation is so simple , it makes me wonder how I did not know this already. I wished I would have seen this video a long time back . Thank you for this presentation:)

This video was absolutely wonderful. We have 3 boxes of files I need to organize and file. But can’t find a good system. I have all green hanging file folders with color files. That method isn’t working for us, hard to find what we need. I like the idea of color cording the hanging files and having the tabs aligned. Love it… Thank you so much.

The problem is if there is not enough space between the files because they are growing. For me your file cabinet would be way to close. For me it has to be easy to put in and to put out.

Hi Tracy, I'm shopping for a lateral filing cabinet just like yours, and have discovered that so far I've only come across lateral cabinets that only have one bar in the middle. The cabinet makers say that the lateral file cabinets accommodate horizontal filing only. I love the way your files look. Can you recommend a company that have this type of filing cabinet?

Oh I'm so glad it helped! My label maker is over 10 years old! It is a Brother brand. Just make sure to get one that uses the large 18mm tape. Good luck!

Just watched your video. My filing has been a disaster. I pulled all my folders out and the first one I came to was my AARP membership. What category does that go into?

I came here to learn about filing systems; specifically file bar recommendations (to allow for the hanging of folders), and locking options. Then maybe I can move on to Step 5., methods of organizing stuff.

Yes! Way less paper. I scan what I can and try to only keep critical papers like marriage license, passports, insurance policy, etc. But this works for those who like to have the physical copies of things

The methods, ALLOT of people are using, seem expensive/counterproductive/you need to keep ALLOT of clutter/crap, to do it this way. So you need, paper,folders,dividers,notebooks,printers,ink,stamps envelopes, TIME. Also not using/having E-mail, PDFs, servers, to do lists apps,notifications, digital calendars,digital planners, is a real handicap, when it comes to being productive. Automation, is nice too/set emails to go out/upload to the server/local files and so on, on schedules. Also instead of carrying a huge ridiculous folder/book places, bring it all with you, on your phone. Also having your to do list/notifications pushed to you/directly to your phone/in your notification menu or maybe through Alexa/a routine. Also its nice to have a digital note pad/note taker, so you can have your notes, with you, ALL THE TIME, in one place/on your phone, thats always with you. Also, IF you use/read, magazines/news papers, a digital subscription, is always available/an option. ALSO MOST places have apps, for coupons/Walmart has one,Kroger has one, IF you like fastfood, Burgerking and Mcdonalds, have apps, granted I just use Walmart's monthly membership/door dash's delivery system, for food/groceries, and for what Walmart doesn't have, I buy on Amazon. Also on occasion I use Lowes/Home depots/I get things delivered, to my house from them. Anyway all of this, is available as well, anyway things CAN be ALLOT EASIER,NOW DAYS. If you have a kid/kids, give them a tablet or a laptop, also tiny scanner pro. Also get them PDF books and don't buy them paper, pens or pencils, Also tell them to throw all paper away/tell them to tell EVERYONE, to email it to them, if you see it around the house, throw it away, it will make EVERYTHING ALLOT EASIER. More info: Tablets/Laptops/desktops/a phone, is the solution lol, if you need a stylus get one, as well lol, not NECESSARILY needed, but, it MAY make you feel better. Storing this much paper/any paper, seems counterproductive, thats what storage drives are for, burn it all/well the responsible thing to do, is shred them and then recycle them, but /IF you need to scan it all, into a computer, back things up though/on flash drives/external hardrives and so on, also ALL OF THIS, CAN BE STORED ON YOUR PHONE/in one TINY device. Also NOW DAYS, you can just start typing what your looking for, in a search box, and it will just pop, right up/no more annoying days of Windows 95/XP/Vista, those type search systems, are a thing of the past, luckily. Also ALL of your manuals, for your appliances/devices, have PDFs, I have those on my phone/I've backed those up as well, you can just search for them online, they are easy to find too. Also notes can be taken on your phone/and all of your notes/info you need, will ALWAYS be with you as well. Also you can carrie tons and tons of books, IF they are digital/PDFs, same with music, granted now days, we MOSTLY stream music, with Pandora/Spotify. LOL your acting like an old person, IF your using paper lol Sentimental things are different, but the rest is a waste of time and space. Some more examples, of how we live in a digital world. Also ALLOT of things can't even be purchased, with out digital/EVERYTHING can't be purchased with cash. MEANING COD/POD, isn't even a thing anymore/DEFINITELY not available for everything/its not used, like it used to be. Cash is helpful, to avoid paying tax though, under the table jobs and also for survival/when systems are down, but sales tax is MOST LIKELY going to be an ISSUE REGARDLESS, UNLESS, MAYBE, IF you have access to a military base/some other way to avoid SOME tax. I know I keep ALLOT of cash in my safe,along with physical books,blurays and so on, for back ups/end of the world type stuff lol, but I normally keep/use digital items, MOST of the time, such as PDFs,Digital files, movies,games, music and so on. Keeping birth certificates/social security cards and pictures, of everyone in your family, SHOULD suffice, for the JUST IN CASE, but even your license, now days, can be renewed, through an app, also taxes are paid/done online now. Anyway physical paper, is becoming less and less needed. It doesn't surprise me though, that EVERYTHING'S going digital/Sears,Kmart,Hifi buy,Sports authority, Toys R Us and SOON GameStop, ALREADY figured this out, the hard way, but they did FINALLY figure this out. Walmarts figuring this out as well/using doordash/having memberships/monthly services, that allow you to get unlimited deliveries, meaning, Walmart stores are KIND OF turning into warehouses. Anyway we now have hardrives,SSDs,Flashdrives, servers, no need for MASSIVE filing cabinets, ANYMORE, nor massive calculators,paper calendars,paper, envelopes, for paper/things that can be sent by/via E-mail, no need to buy, stamps,printers,ink,paper/folders, binders, checks and so on, ALL of these things, are obsolete/they are going away. Now we can just log into the server, vs having to take/go get that one piece of paper, that is miles away/we also use e-mail vs USPS. Also we can carrie EVERYTHING, in one device/your phone, or have cloud back ups, to get access to it, ANYWHERE. Also we use debit/credit cards now vs checks, we don't get our bills mailed to us anymore/we have auto pay/we pay through apps, AND we get discounts on our bills, for doing this/setting up auto pay. We bank through apps now vs through physical banks, we do on OCCASION, use ATMS, but even checks can be deposited, by taking a pic of them, through an app, ALSO, IF you pay with a check, NOW DAYS, in a store, the check will be handed back to you, and your money is taken, DIRECTLY OUT OF YOUR ACCOUNT/ITS BAISICLY LIKE USING A DEBIT CARD, NOW DAYS, direct deposit is available, ANYWAY we now do things MUCH more simply/efficiently/effectively. This is probably WRONG, but I burn all the paper I receive, wrong as in, recycling, is what you/we should do, but honestly, I think physical mail, FROM COMPANIES, SHOULD BE BANNED, individuals sending each other a Bithday/Christmas card, is okay, but other JUNK MAIL, should not be sent to people. Atleast with email, MOST things, get sent directly, to the spam folder/box, also what gets through, CAN BE BLOCKED, MANUALLY, AND ITS NOT REALLY REAL/it has no consequence, other than bandwith. Honestly ALL trash services SHOULD be required, to recycle/all trash facilities, SHOULD HAVE a SORTER/SOMETHING/a machine that automatically sorts the trash/it gets dumped in and then its sorted automatically. Anyway paper is a waste of time and space, especially when everything can be stored on storage devices and easily emailed/found, when need be. Something you can invest in/things that are helpful, NOW that you've gotten rit of all the paper, is more monitors. When I work, I use 3 monitors/I have two 42inch monitors and one 27inch monitor, in every setup I have, but being able to see more on screen, is really helpful, when working/getting things done.

@@mattmatt2417 No one wanted or asked for your never-ending advice on home organization. You say paper filing sounds like it's for 'old' people, but you are leaving so much out of the equation. Not everyone is comfortable or 'techy' enough to WANT to do a fraction of the things you listed. You sound like a single guy with no children. Busy families have different needs. I'm not going to upload my entire life, nor my children's, to my computer or phone. Real life doesn't work that way. Every single mom out there saves their children's grades, artwork, etc. We want to be able to HOLD it and TOUCH it. Uploading just won't do. My daughter is 25 and mentally handicapped. I can't tell her to go look up the paper she needs to manage her condition on "this drive" or " this folder on my phone". She would NEVER be able to find anything with your method. Most people need a simple, TANGIBLE, walk into the room, pull out the drawer, open the folder, and boom, there it is way to organize, so that their FAMILY MEMBERS can find what they need. I tried to do the no paper, all on the computer method years ago and it just didn't work, and many of my friends & relatives have said the same. Just from your writing and the cold, unfriendly way you responded here, it's a safe bet that you don't have much going on in life. You probably go to your tech job, go straight home, and spend all your free time on the computer, telling people what to do and how to live. Barf. And the last time I checked, file folders and plastic tabs are a heck of a lot cheaper than computers and phones. Most low income families dont even HAVE a real computer in their homes. I was a single mom for 12 years and did not own a computer or printer. I had to go to my techy guy friend (who had no wife or kids, no responsibilities, no social life, but had a great computer set-up with TWO (OMG!) MONITORS) and use his resources to even print out a paper. But the guy couldn't get laid to save his life...sounds a bit like you. Later.

@@kristiraley9545 I mentioned in my comment/post that sentimental things, should be the only things, that should be collected like that/that was already mentioned. You can do what ever you want, I just think having A LOT of paper around, is annoying/with a computer/phone, you know where everything is and its all in one place,backed up, to the cloud/server,accessible,from anywhere/MOST people take thier phones every where they go. If you or someone else don't have the money, for a computer, thats a different story, you have to do what you can do. A printer/ink/paper/envelopes/stamps/checks,isn't completely cheap/sustainable, either, to maintain. I still have a printer, but I never use it,Its a laser printer though, so I don't have to worrie about ink/the heads. The heads in ink printers can get clogged/dry out, if you don't use the printer regularly, with a laser printer, you don't have that issue. Anyway you can only do what you can afford and if you have children with disabilities, like i said, those are different/special circumstances. Anyway I think you took offense to my post/comment, I wasn't trying to offend anyone, I was just trying to share with people how the world works now days/help,not offend or hurt anyone's feelings. I'm sorry if I offended you. Unfortunately, now days, you CAN'T run a business, PROPERLY, with out E-Mail, a website, SOMETIMES/MOST OF THE TIME social media, PDFs/Attachments/time is money/people can't/don't want to wait for an envelope with a stamp on it, sent by USPS, when they can just receive the file, by E-mail,within seconds or receive the payment digitally. Also special needs children/adults, have special needs and those needs, need to be met. All I'm really saying is, I wouldn't want to have to be in a certain location, to view documents/information, I would want to be able to view ANY INFO, I needed or wanted, from anywhere and if its in some folder/file cabinet, that takes up A LOT of room or in a childs backpack/accidentally left at home/school/the office,I don't have accsess to that, when I need it and by eliminating that variable/paper, then that can't happen/your less likely to forget your phone vs a piece of paper,that only serves one purpose. LOL also,not that its really worth replying to/acknowledging, but I have no problems, in the areas, you mentioned/brought up,but I would also say, if you have a friend, thats trying to help you, talking bad about them, really isn't a nice way to show gratitude. Anyway everyone can do what ever they want to do, but a lot times, the way you do business/handle files/payments,effect other people too/its not just you, you need to think about/people have to take a pic of the paper/use a scanner app, to eliminate clutter and wait longer for a payment/file, that could have/should have taken seconds, to obtain,but ended up taking 3-7+ days/paper just isn't efficient. Don't get me wrong though, I think physical/non digital, has its place/it can be utilized, for another form of back up, meaning yes, I use PDFs/digital books,movies,music,games,files,flashdrives,external SSDs and so on,BUT I ALSO have the same books/movies/blurays/games and music, physically,but only for redundancy/for back ups, I don't really use them, I just have them, JUST IN CASE. Anyway like I said you can do, what ever you want,I'm just pointing out why a paperless life, is more efficient/the MUCH FASTER way of doing business/handling things, for the average person.

I really broke everything down,for people/I basically covered everything. I think your scenario, is not the average scenario/situation though/like I said, if you don't have money for a phone/laptop/computer,you have to use the tools you have/make do and if you have special needs children/children with disabilities, you NEED to cater to those needs. I also mentioned, physical sentimental things are worth keeping around. Anyway, again sorry if you took my comment/post offensively, that was not my intentions/it was meant to help people and looking over it now, I think it can DEFINITELY do that, it covers A LOT.

I am curious if you use tabbed hanging files only or are there folders? I don't see folders. If you do, are they for just like really small must be kept separate filings?

Mark B I mostly just use tabs. Yes sometimes only a couple sheets of paper are in it, but it keeps things from becoming crammed. Makes it easy to see and to get to what you need to quickly!

I did this video years ago. I have WAY less papers now. Most papers I want to “Refer” back to are now just stored on my notes on my phone. But they are papers that have information or ideas on them that are of interest to you, that you don’t want to forget.

Ruth Navarro I have not done a video of that. but I like to keep my physical photos together in photo boxes that can be easily labeled by year. Digital photos can be organized so many different ways! I like to use Forever.com

Ruth Navarro don't throw away the originals get some albums and put them in it. You will never get those originals back and if something happens to the flash drive or hard drive or cloud drive you store them in or you loose access your life moments will be lost forever. Digital is meant to be a back up not to replace the originals. I had scanned some of my photos and my computer crashed and I lost all those digital versions of the pictures thanks goodness I had not thrown away the real originals.

This is paper work that does NOT have to do with finances, household responsibilities or anything critical. It’s just paper that interests you that you may want to read again or go to for reference. These days, most of this type of stuff you can find on line, so it shouldn’t be very big, but sometimes we have physical papers that we just don’t want to forget about.

Tracy Bowers I love your system and I’m trying to follow it but I’m really REALLY struggling. The hardest part I struggle with is throwing out old bills. I’ve LITERALLY been cleaning my office for a month now with 2 weeks spent trying to organize my files. It’s the hardest thing I think I’ve ever done! I literally have about 3 years of old bills in files (maybe more). I’m scared I might need them!

This just made me angry. Angry that my parents had no system and lost everything from my childhood - photos as a baby, photos and report cards from school, my high school diploma while I was at college, etc. No memory chest for me or my siblings. I was number five out of seven, but so what - even more reason to be organized. Otherwise, your video was well-done with great tips.

Richard Dawson Hi Richard! I’m so sorry those things were lost. Everybody’s minds work so differently. We all have different gifts. This just come naturally for me. I’m sure your parents had things they were great at. Since you don’t have physical things to remember, I would get notebook and write down as much as you can remember about your childhood. You’re kids and posterity would love to read that, I’m sure! ☺️

ALSO MOST places have apps, for coupons/Walmart has one,Kroger has one, IF you like fastfood, Burgerking and Mcdonalds, have apps, granted I just use Walmart's monthly membership/door dash's delivery system, for food/groceries, and for what Walmart doesn't have, I buy on Amazon. Also on occasion I use Lowes/Home depots/I get things delivered, to my house from them. Anyway all of this, is available as well, anyway things CAN be ALLOT EASIER,NOW DAYS. If you have a kid/kids, give them a tablet or a laptop, also tiny scanner pro. Also get them PDF books and don't buy them paper, pens or pencils, Also tell them to throw all paper away/tell them to tell EVERYONE, to email it to them, if you see it around the house, throw it away, it will make EVERYTHING ALLOT EASIER. More info: Tablets/Laptops/desktops/a phone, is the solution lol, if you need a stylus get one, as well lol, not NECESSARILY needed, but, it MAY make you feel better. Storing this much paper/any paper, seems counterproductive, thats what storage drives are for, burn it all/well the responsible thing to do, is shred them and then recycle them, but /IF you need to scan it all, into a computer, back things up though/on flash drives/external hardrives and so on, also ALL OF THIS, CAN BE STORED ON YOUR PHONE/in one TINY device. Also NOW DAYS, you can just start typing what your looking for, in a search box, and it will just pop, right up/no more annoying days of Windows 95/XP/Vista, those type search systems, are a thing of the past, luckily. Also ALL of your manuals, for your appliances/devices, have PDFs, I have those on my phone/I've backed those up as well, you can just search for them online, they are easy to find too. Also notes can be taken on your phone/and all of your notes/info you need, will ALWAYS be with you as well. Also you can carrie tons and tons of books, IF they are digital/PDFs, same with music, granted now days, we MOSTLY stream music, with Pandora/Spotify. LOL your acting like an old person, IF your using paper lol Sentimental things are different, but the rest is a waste of time and space. Some more examples, of how we live in a digital world. Also ALLOT of things can't even be purchased, with out digital/EVERYTHING can't be purchased with cash. MEANING COD/POD, isn't even a thing anymore/DEFINITELY not available for everything/its not used, like it used to be. Cash is helpful, to avoid paying tax though, under the table jobs and also for survival/when systems are down, but sales tax is MOST LIKELY going to be an ISSUE REGARDLESS, UNLESS, MAYBE, IF you have access to a military base/some other way to avoid SOME tax. I know I keep ALLOT of cash in my safe,along with physical books,blurays and so on, for back ups/end of the world type stuff lol, but I normally keep/use digital items, MOST of the time, such as PDFs,Digital files, movies,games, music and so on. Keeping birth certificates/social security cards and pictures, of everyone in your family, SHOULD suffice, for the JUST IN CASE, but even your license, now days, can be renewed, through an app, also taxes are paid/done online now. Anyway physical paper, is becoming less and less needed. It doesn't surprise me though, that EVERYTHING'S going digital/Sears,Kmart,Hifi buy,Sports authority, Toys R Us and SOON GameStop, ALREADY figured this out, the hard way, but they did FINALLY figure this out. Walmarts figuring this out as well/using doordash/having memberships/monthly services, that allow you to get unlimited deliveries, meaning, Walmart stores are KIND OF turning into warehouses. Anyway we now have hardrives,SSDs,Flashdrives, servers, no need for MASSIVE filing cabinets, ANYMORE, nor massive calculators,paper calendars,paper, envelopes, for paper/things that can be sent by/via E-mail, no need to buy, stamps,printers,ink,paper/folders, binders, checks and so on, ALL of these things, are obsolete/they are going away. Now we can just log into the server, vs having to take/go get that one piece of paper, that is miles away/we also use e-mail vs USPS. Also we can carrie EVERYTHING, in one device/your phone, or have cloud back ups, to get access to it, ANYWHERE. Also we use debit/credit cards now vs checks, we don't get our bills mailed to us anymore/we have auto pay/we pay through apps, AND we get discounts on our bills, for doing this/setting up auto pay. We bank through apps now vs through physical banks, we do on OCCASION, use ATMS, but even checks can be deposited, by taking a pic of them, through an app, ALSO, IF you pay with a check, NOW DAYS, in a store, the check will be handed back to you, and your money is taken, DIRECTLY OUT OF YOUR ACCOUNT/ITS BAISICLY LIKE USING A DEBIT CARD, NOW DAYS, direct deposit is available, ANYWAY we now do things MUCH more simply/efficiently/effectively. This is probably WRONG, but I burn all the paper I receive, wrong as in, recycling, is what you/we should do, but honestly, I think physical mail, FROM COMPANIES, SHOULD BE BANNED, individuals sending each other a Bithday/Christmas card, is okay, but other JUNK MAIL, should not be sent to people. Atleast with email, MOST things, get sent directly, to the spam folder/box, also what gets through, CAN BE BLOCKED, MANUALLY, AND ITS NOT REALLY REAL/it has no consequence, other than bandwith. Honestly ALL trash services SHOULD be required, to recycle/all trash facilities, SHOULD HAVE a SORTER/SOMETHING/a machine that automatically sorts the trash/it gets dumped in and then its sorted automatically. Anyway paper is a waste of time and space, especially when everything can be stored on storage devices and easily emailed/found, when need be. Something you can invest in/things that are helpful, NOW that you've gotten rit of all the paper, is more monitors. When I work, I use 3 monitors/I have two 42inch monitors and one 27inch monitor, in every setup I have, but being able to see more on screen, is really helpful, when working/getting things done.

Hi Tracy, this is such a simple way to organize files. Color is key and keeping category and name labels aligned so the eye doesn't jump all around. Thanks for this video. I'm going out to buy my supplies no matter the cost. : )
