How I Hired a New Virtual Assistant - Step By Step

In this video, I will give you a step-by-step guide you on how you can hire your own virtual assistant (VA). I will be walking you through a weeklong process of doing this.
I will be using Onlinejobs.ph, a personal favorite, in hiring a VA. From there, I was able to hire two VAs who are currently with me. They really did revolutionize the game and made managing my business easier. I am on my way to hiring my 3rd one and I will show you how exactly I went through the process.
There are about four steps to get started on this:
Post your job - There are other websites for this function but it is in Onlinejobs.ph where I have the most success.
Message the applicants - Send out a message to those candidates who are qualified for the job. Give them a sample project that they can complete.
Interview them - From those candidates that were able to complete the sample project, set up an interview with them.
Hire them - Hire the most qualified person and get them up and running with your business.
Here is how a week of hiring a VA would go:
Monday - As mentioned, the first thing that you need to do is post your job. You can start with this by following the steps below:
Signup to Onlinejobs.ph - First step to posting your product is to create an account. There are paid Pro and Premium accounts. I have a Premium account because I post a lot, but having a Pro account is fine as well.
Post a job - Go to the main part of your account and click post a job. Enter the Job Title followed by the Job Description. In the description, you can talk about the task that the VA will be doing and whether you’re looking for a part-time or full-time employee. You may also mention some of the perks and benefits that the VA will get in working with you. The job posting should be a two-way street. You don’t just talk about what you want from them, but what they could get from you as well. The most critical portion of the job description is how to apply for the job. Create specific instructions like changing the subject to “ I Want to Work for [insert name of my mom]”. This is to filter out people that are automatically posting and are not a good fit for the job. Through this, you will only spend time on contacting candidates that are qualified for the role. For the wage/salary, put how much you are willing to spend.
Select Skills - After the description, check all the skills that are important to the position. Once done, just click “Post job” and wait for about 24 hours for the messages from interested applicants to come in. Keep in mind that they are in a different time zone from you.
Tuesday - Since posting the job, I was able to receive 25 replies. Go through each application one by one, read what they wrote and see if the applicant is a good fit. If not, you may delete them. This will narrow down your list of who you will be contacting. You can then email the applicants on your list. In my case, I included in my email a spreadsheet of the schedule for
Interview and a sample project that they need to work on before the interview.
Wednesday - I was able to receive more applications.for the position. I also created SOPs and Google Docs that will be used as training materials for the new VA.
Friday - This is day of my scheduled interview with the VA applicants who submitted the sample projects that I gave them. Some of my interview questions include “If you could have a conversation with anybody, alive or dead, who would it be and why?,” “Where do you see yourself in 5 years?,” “What’s your goal 5 or 10 years from now?”, “Where did you learn English?”
Ultimately, I ended up hiring two new virtual assistants from this process. Hiring a VA is one of the things that you could possibly do. There are a number of ways that they will be able to help you grow your business.

Just to clarify, I've been in the Philippines for a couple of months now. I met new people and friends, I was able to experience the life they have, culture and everything else. Minimum wage is around 150$-180$/month and by judging the way they love their lives with that kind of salary is just awful! I am also a business owner, I have 5 VA's working for me and I pay them from $800-$1200/month. You know why? $400/month in the Philippines consists of ** House Rental ( Normally would range from $50-$100, and if only you know how bad this house looks like I'm pretty sure you'd increase your offer | Food ( You don't expect them to buy processed food all the time, for they can only afford a canned sardines and an artificial soup noodle most of the time ) | Consider Electricity, Internet, Equipment needed to perform the job, Water Bill, Education and a lot more. Offering your VA's $6-$12/hourly will surely make them happy and would love to stay much longer with you, because YOU'RE A CLIENT WHO CARE

That’s funny you say you wake up and can’t get back to sleep, because that’s exactly what is happening with me because of how excited I am with hiring my first VA and I am interviewing them tomorrow. All exciting but yes a bit stressful!

@@TravisMarziani it went very well, I did 6 preliminary interviews of 15 min with a few of my deal breaker questions just to screen out the candidates who were for sure no go, and selected 3 top ones from there, then sent them sample work and one stood out very clearly as more qualified for the sample work. I’m awaiting to get a response back from her references before giving her the job. Now one of the candidates sent me an invoice for the sample work- she said it took her 4h to do it and her work was way below expectations (which also points out that she was clearly not qualified for the job if it took her that much time). It was never discussed that the sample work would get paid, and after checking with the job site (online jobs.ph) they are saying that any work should be compensated. I thought it was up to our discretion if it is part of the application process? I’m not sure what to do… Has this ever happened to you?

And if the aspirant VA worked on it for an hour or more and used her resources to be able to do it, then you should compensate her. Application process should only just be interviews and test questions. "Sample work" is a different story. You don't think Filipinos are robots, do you? You let us do "sample work" and you won't pay us? Nahh.

@@lavieenroge the sample work I asked to do should not have taken more than an hour if the applicant had the skills and competency they said they had when they applied for the job. It is not a question of being filipino or not - having to demonstrate your skills to get a job is part of the hiring process. I have had to do it myself for jobs I applied on in the past (for example preparing a short presentation about a subject) and it was never compensated. Also it was clearly written in the job posting that there was sample work to do for the selected candidates and that it would not be compensated, so if the applicant was not OK with this condition then they should not have applied.

Travis are you still posting your daily to-do lists on IG? I think people would benefit from seeing that. When you ask for the sample project, do you offer to pay a small fee for completed projects? My thinking would be that a few qualified VAs would balk at doing a project for 30 minutes or however long it takes if there's no payment at all. I'm sure the most ambitious would just do it, but I wonder if you'd get more qualified applicants if they were guaranteed some amount for taking the time to try.

This is exactly why I'm happy I did not pursue my application with him. I applied for his VA job post way back 2019, and I was able to get shortlisted for an interview. Unfortunately, his wonderful male VA took my application for granted and decided by himself not to proceed with my interview. I think that was God's way of helping me avoid that position so I could get on a much better opportunity that pays well. And no, Mr. Marziani, you don't pay Filipino VAs with >$3.00/hour, especially if they're the ones doing the hard work. Shame on you! Filipino VAs are worth $10/hour now.
