Hey August, is it possible to do a total percentage score for all the tick boxes of daily habits like Meditation, Reading, Bullet Journal etc. completed during the week? Not percentages for each individual habit but a percentage for the total completed (ticked off) daily tasks. That would be a nice addition to the Weekly Review.

So true, Tim!!! Since a week I (bastel) work on my one notion setting, watch this videos over and over and I m still going, but always in this moment, all my unfinished projects (I thought, there were all dead 💀) - becomes a new (Funken) of life and begins to shivering and growing from a deeper ground... it’s sooooooooooo amazing! Hi August, I just want to take this time to thank you for all you have done! After days of binging your videos while tweaking my Notion workspace, I'm close to catching up to your latest video. Thank you for providing this astounding system for free and for all to assimilate into our lives. I've been on a self-development journey for some time now and I have improved a lot, but all that information came from so many sources and isn't very coherent. What you have done here sets a foundation for all those knowledge; a home for my insights and depository for future lessons. I learned the theory, but being capable of executing them was a different story. Before it seemed like trudging through a mist and occasionally getting depressed because I didn't know where I was going, whether I'm making progress and whether this was serving any chief purpose. Right now, there is much more clarity in my mind and my actions. Like many others here, I can't wait for the rest of the videos in the series. University starts soon this year and frankly, with this in my arsenal, I'm kinda excited for school. Thanks again for what you're doing here :) P.S. I modified your flowchart by adding a dark-coloured shape that covers the entire flowchart and sending it to the back to use as a background. You've mentioned before using Dark Mode because using the default is like staring into a flashlight and I hope this helps.

My LOS should be 85% fully implemented by December 31st, 2021. I can't wait to kick 2022 out of the park with my new found clarity and zeal. This series is one for the vaults! Thanks August!

I've always struggled to be consistent with weekly reviews, but yours are so simple, I'm quite optimistic about being consistent with it

Yusuf Allain: No software has ever before enabled embedding all the needed functionality for the review inside the review page itself. Notion is delivering unprecedented capability here.

At 16:50 Instead of filtering the dates manually to the current week. We can create a new property inside the actions db, and do something like this: if(formatDate(now(), "ww") == formatDate(end(prop("Do Date")), "ww"), true, false) This automatically will indicate if the current action item is for the current week or not. After that we just need to filter by current week is true in your week template. Edit: This method only serves to automate and synchronize this week's tasks with a new template. At the end/start of each week, we still have to manually indicate the start and end dates to be able to maintain an activity log. Hope it helps. Cheers.

Nice work!. But there is a problem if youre doing the week review in a day of the next week ( f you forget), it will show you incorrect actions. Plus you cant use it if you have an different start and finish days on what you consider a week than notion does. But still good

Oooohh I've been waiting for this video! I did my first weekly review in a few years (sorry to say that) on Sunday using my new notion template. It took me about an hour, but I think I was just getting back into the swing of it. My aim is to get it down to 20 minutes and do it all on my ipad. That rollup column with only the unchecked items in projects is GOLD! Stealing that for next week. Thanks again for such a thorough video.

I have done my first week review. I think I spent 3 hours on this: I Watched video several times with constantly pausing. Also, my LifeOS is only 1 week old and I still need to create some databases, configure relations, so it took that much time. But man, I love this ;) I hope next week I'll fit in 40 minutes. I set the week review icon to Notion's icon as I started to use Notion (after a long pause) this week and set the cover image to the thumbnail from the very first video on this channel!

Congrats on your first review! The first couple times you're also tweaking and setting up or modifying the questions and the template. It will definitely get faster. Also the first time things more out-of-line in a messier state. Over time your world is in better order so it's faster. Stick with it!

I love these videos and am slowly getting my life OS configured. I am having trouble with the weekly review as I do not have the option for the Weekly review template. I have tried rebuilding it from the videos but am stuck on the Action Items Completed This Week table. Am I missing something? Should the template be in the templates from Mind And Machine? Thanks

Thank you so much for this series, it truly is amazing. I am a beginner at notion, but have learned so much from you and this exactly what I need to finally get unstuck. I would LOVE to take your course but due to things going on right now, it not financially possible. Although after trying to develop this weekly review template I am stuck and would be willing to pay for this template. I subscribed to your newsletter and use the other templates. There we go, many thanks! can't wait to see the whole puzzle as I get to customize it to the way I see things. Very curious to see how you approach clients and team members so they have their own dashboards but to make it also flow to the action items, that's what I am currently exploring, will wait for your video on that. I do appreciate this series very much, not just for the notion side of things but also for the vision part that's behind this notion system you've built. The impact of these periodic reviews is really shown here, and it looks like I really was missing a very important part before.

I know, right? I never gave Reviews much thought... (never had the time 😉 ) not even when the amazing Tony Robbins made the case for them. But when August made the case, it was more compelling bc he was using his PPV system as a backdrop -- and now I'm not only a believer -- a DO-er as well. In fact, doing mine now. If August's timing on this training were any more impeccable, he'd be a chicken.* 😆 *[classic Muppet movie joke]

@@walterterry9970 I am building mine over the last 4 days ( I have 2 weeks off work as I had surgery on my right hand so building it all left handed :-) and have learnt heaps. I am so impressed by Augusts' responses and the system he is explaining best I have seen since GTD all those years ago. Are we all pausing the videos and building the system as August presents it or is there some secret shortcuts I am missing out on (besides the templates).

@@DarylJames I've been pausing and building. Replicating August's language (and colours!) line by line... I feel that by going through the process of manually entering all data, you get the feel and sense of 'ownership' over the language and design, how it speaks to you, and you might want to customize to your needs. Perhaps this is maybe why August didn't just share this Weekly Template... wants us to sculpt for ourselves!

Echo the sentiments shared here already August, excellent work once again. The only thing I found this a little light on was how you worked the Rollups. Not having that info here helped me to figure it out myself, but in a future video I'd appreciate hearing your approacha and perspective on how you use those. A minor quibble of course, this stuff is of incredible value so it's all gratitude from me :)

Thanks a lot CS, greatly appreciate the feedback. Roll-ups are pretty straightforward, just think about what info would be helpful from any other database that the one you're in is connected to (through a relation). Or what average/total would be =useful of the related DB data. Then apply the rollup. Notion covers them pretty well here: www.notion.so/Relations-rollups-fd56bfc6a3f0471a9f0cc3110ff19a79 Hope that helps. I can see doing a future video on this.

I also figured out how to calculate Sleep time via Sleep date and Wake date, even if the dates land on the same day (ie. going to bed at 1am, waking up at 6a). I've used ToBed Hour, ToBed Min., Awake Hour, and Awake Min. • You're using formulas to turn those into decimals. • ToBed Calc is: prop("ToBed Hour") + round(prop("ToBed Min.") * 100 / 60) / 100 • Awake Calc. is: prop("Awake Hour") + round(prop("Awake Min.") * 100 / 60) / 100 Now, in Sleep Calc. you enter: round(10 * if(prop("Awake Calc.") >= prop("ToBed Calc."), prop("Awake Calc.") - prop("ToBed Calc."), 12 + prop("Awake Calc.") - prop("ToBed Calc."))) / 10 If you don't want to round to the nearest tenth, remove the following: • round(10 * • ) / 10 (note the ending parenthesis in the second one).

Hello! This whole serie is so fantastic and I would like to thank you a lot for sharing everything August! I have finaly started to implement the weekly reviews, and I think you template is a good starting point. I focus a lot and have added so called sprint goals . This make my focus more sharp on whats important that spedifik week and what activites I need to performto reach the sprint goals. This is the basis of my week plan that I also set in this review part. The sprint goals are then alligned with the my more long term goals. The more long term 3 months - 1 year goals is not enough for me to get motivated.

Yeah, I know. Sorry about the delay. It's been an intense week. I made two other videos for two other KZbin channels (one is already up on the Notion channel and the other is coming soon on the Keep Productive Channel). After the Monthly Review video, there is one more pipeline (content production) then we get into the vaults which is the last section -- and includes the Knowledge Lab which has the "themes". There is a vault called the "Training Vault" which has all my notes and learning from courses, but for the sake of scheduling time and priorities, you could also make it a project. Either way, each course would have many tasks to schedule into various days with Do Dates. hope that helps!

Thank you August, this series is invaluable in organising my life as someone who doesn't have any formal structures, and works indepdendently - disappointed that I didn't find this years ago! One question I have is how have you organised the pages on the left by heading ('favorites', 'workspace', and 'private'? I can't see any possible way to do this, and done a lot of rummaging. If it makes a difference, I'm using a workspace for personal use, and with the free membership to Notion

Great to hear that this is valuable to you! Dive in and make things happen. In terms of the sidebar groupings, those are standard. The workspace and private ones should be there by default (but I'm on a team plan, so perhaps on the free solo plan everything is private). The favorites section appears once you start starring any page. If you look in the upper right corner of any page, there's a star-when you click it, it adds the page to your favorites section, which is an easy access area for your most commonly visited pages. Hope that helps!

With so many youtubers "writing" books, haven't you ever thought of writing a commercial book? Because I can only think bad of all the people that are searching for content like yours but cannot find it. I'm sure you would help a lot of people, and I'm sure the community here in the channel would support you, I hope you consider it!!

Hey August, me and the community can't wait for all the great videos you produce, thank you sir!:) About the Output: What I find effective, even if you are easy to step into a negative self-judgement trap, is to set clear defined time for each task and divide the sum of the time through your working hours. Therefore, I created another small DB named "Work Tracker" right under the daily tracking DB on my Action Items page, on which I define big topics such as Business or Self Development and the hours I want to spend on a weekly basis, at the beginning of the week. Lets say on Monday, I spent 5 hours on business, 2 hours on Self-Development and 2 hours in the gym. Makes 9 hours in total. I was in the office 8 hours and in the gym 2.5 hours. The time I wasn't productive could be because of procrastinating, you name it. So my daily effectiveness is 9 divided by 10.5, which is 0.85 %. This value I also implement in my weekly reviews as a rollup to see, whether I worked enough on my dreams (in hours) and also whether I was productive with my time. For example: If I wanted to spend 30 hours on my business, but I only spent 20 this week with a good effectiveness-rate, there must be a section I spent on more time than I wanted to. So I'm able to figure this out and also have a great overview about how much time I spend on which task/goal in relation to how much time I thought I spend on it. How you understood, otherwise I could make a quick video about this little feature, if you want to. Have a great and successful week!:)

@@paoloap. Hey there, I structure my day in time-blocks. Let's say I got a task I want to work on, so I set myself a 1 hour timer and I'll spent the whole hour on that task. Another way to approach is to just start the stopwatch on your phone, begin the task and after you finished it or there's something else occurring, just look on your stopwatch and note the time quickly on your database. At the end of the day, you are able to see how much you spent in which section and on which task, how much time you spent overall and how efficient you were. Hope this helps you :)

In case it's of help, you could replace the stopwatch with clockify which allows to start/stop the time tracker directly within Notion, this has helped me a lot with time tracking

August, thank you for sharing all of this amazing work. I'm just starting with the system and would like to use it for my both myself and my small company. You mention tasks that are assigned to others in your company. What's the best way to set up a system that allows for both shared and personal data (from goals to tasks to daily tracking). I'd love to not only assign tasks to team members but also see their weekly reviews. I'd like to use the daily tracker as you've used it (and give them that option) but not leave our personal items exposed (financial or weight data, for example). I'd love to see a video on how you use your system to interact with coworkers (and with clients).

Everyone's weekly/monthly review list is so personal and customized that a standard template wouldn't make sense, plus the the functionality is simple and databases would not be connected in a template. The videos are the guide to show you the approach and methodology, so I think it's best to build your own following the ideas in the video.

**Video Summary** 0:00 Intro This concept of the weekly and monthly review is going to take all the content of the previous episodes and tie them together. This is essential for keeping the system on track and is for many people one of the hardest things to do, but once you get into the rhythm and see what it enables you'll find it's something not to be missed. The behaviors you do around the system are as much a part of it as the internal workings. You need to design your personal behavior to be part of the same interrelated system. 0:30 Role of Weekly Reviews The weekly review is a tactical implementation, whereas the monthly review is much more strategic. Month to month you are doing a strategic assessment of how your aspirations are aligning with the broad strategic game plan. Week to week you are trusting that your monthly game plan is the right one, removing the burden of it, freeing you up to put a tactical game plan in play for the upcoming week. At the same time you are documenting what you learned, the disappointments, and the achievements of the last week, so those roll up in the monthly, quarterly and annual reviews making them very visible to you at higher level reviews. Having a tactical plan for a week means that the active tasks queued up in your action items database will be the right ones and you can trust that by doing the things that feed into your daily window will be keeping you on track to your higher aspirations. When you look at all the very specific things to get done you can ask what can get done this week, what is dependant on something else? How can you get as far through that tactical plan as possible? The weekly review is the protocol that sets it all up. This is one of the hardest things for people to implement and make part of their routine and it's important to reiterate how essential this part of the system is. If parts of the system are experiencing friction, or are breaking down, catching it week-to-week and bringing it back in line means there's no big deal. Things are easy to fix and you don't lose any momentum. August schedules this for every Friday. If Monday comes around and he hasn't done his week end review, then the rule is he MUST absolutely do it before any other tasks on Monday morning. Commit to a time that works for you. 4:50 back in the command center, looking at the flowchart we can see how the review cycles line up with pillar to pipeline pyramid. Weekly reviews primarily align with projects Monthly reviews align with goal outcomes and vision goals and making sure they're aligned with the right projects. 5:49 There has been one addition to the organizational structure of the system. There is now a folder for cycles and reviews. Primarily these are accessed through the alignment zone. If you are new to the series look at the alignment zone principles. 7:27 Database Organization Under insight are toggles for each of the review cycles. The current week always has two arrows pointing in to make identification easy. 8:20 Weekly Database Fields Essentially you will go through a checklist. The database fields will give a clear image of the week. Things aren't vague anymore. A big part of doing weekly reviews effectively is to keep them short (20mins max) so you do them consistently. You do this by designing for maximum efficiency No duplication between weekly, monthly and quarterly reviews. Every element of each is only done once in that segment. Weekly you are aligning the daily actions consistent with the projects that have been prioritized. Monthly reviews will look at projects being aligned with goal outcomes Quarterly reviews look at value goals being aligned with goal outcomes Sometimes you will be doing a weekly and monthly review back to back and you don't want to be doing the same things over and over. Another way to keep it short is to have rollups 11:00 When you do the daily tracking and you add a new day, you link it to the week using the relational link This enables the rollups to bring the data in from each day into the weekly review. When creating a new week, 2 things are entered so that daily tracking can be tagged to it. An objective and a focus are set 13:10 14:00 What gets entered at the end of the week Accomplishments is a database that is added to each week. Similarly for disappointments enter the lessons you learned. 16:00 populate the weekly template. 16:20 filters and sorts for action items This makes it very easy to look at all the things you accomplished at the end of the week. After that, the template goes through reviews of the Pillars, Pipelines, and Vaults which is a theme carried throughout each review cycle. 17:59 Pillar Review First, we go through the pillars which are the high-level zones of your life that need maintenance and need to be kept on track on a weekly level. We are not managing the pillars database, it's just a general category of the high-level visions and values of your life. The quarterly reviews will allow us to consider any refinements to the actual pillars themselves. A quick review of your guiding principles. (see alignment zone video) Add accomplishments and disappointments Noteworthy highs - anything that was a good part of the week. Lows / Struggles What I learned - quick question, it's not something to spend lots of time on. 21:54 Pipeline Review Here we process everything that is moving and has action steps involved. Email Calendar Pipeline databases 23:30 Review and update, production pipeline, content machine, waiting on action items Toggles with database views that keep things efficient 25:35 Project review, toggle for projects and quarters Quick and effective review of each project, ensuring there is at least one action item lined up for each. 27:00 feature to show action items remaining for each project. Planning done, enter daily tracking 29:00 Add next week 29:55 Vault Review The vaults are all about cleanup and maintenance. Desktop and downloads Transfer high-value notes and clippings Toggles for media vault and knowledge lab 32:00 books and kindle Toggle for book vault 33:00 Paper processing 33:40 Closing Thoughts It's not very complicated and when you do it, it will put organization and clarity into your life and relieve the burden and worry of things piling up. It will make you more effective every single day if you just take 20-30 minutes each week to review it thoroughly.

Great to hear of your progress Karlie! Assembling the system is part of the learning, there is insight in construction. The template pack with the Newsletter is the full set of templates I have, those are designed to get you started (particularly the Action Zone with the built-in task and project databases). From there it's best to build it out your own system so you fully know how it works and can modify for your own unique needs. In the videos I show the direction to build, but always customize and make it work for your own needs and preferences. It would also be impossible to put this into a template, too many inter-related parts.

Hey guys! I’m having issues with the tag/relate feature. I’ve tagged all of the daily trackings with “relate to 20 dec - 26 dec” - now, when I open the week in reviews it only shows the pages related to it: 20 dec, 21 dec... it doesn’t show any of my checked habits. How can I connect my habits to the weeks?! Appreciate these series so much. Can’t believe this is for free. Forever grateful

I am starting to implement this system in Notion and the benefits are really apparent. I've already setup a project specifically for the purpose of fully implementing this system so that many of my task items include watching your videos and implementing one to two databases every day. I was looking forward to your weekly review video because this to me seems like the crucial step in keeping this system healthy and running. Thank you for this. :) However, how can I decide which parts to implement first? For a system to have strong foundations, it makes sense to implement from top down but that can result in a some downtime because top level items are not actually action items. I started in the opposite direction where I have a working Tasks DB related to a Projects DB so that I am able to do weekly reviews and my next objective is Goal Setting (hopefully I'll be able to re-align my projects and tasks as I do it). Which approach do you think makes more sense?

Thanks for this feedback, awesome to hear you're diving in so fully. Excellent questions -- build from the bottom up. Start with Task DB (Action items), then Projects DB, Daily Tracking... then put all those together in the Daily Action Zone (or start with my Action Zone template and add Daily tracking, also an available template). With that you can start using the base system (with Weekly & Monthly Reviews). Then build upward through the Alignment Zone. Then if you make content, add the Content machine/production pipeline. Then add vaults as needed.

That's great to hear Mark! The best part about sharing information on life enhancement and personal performance is seeing and hearing story's of growth from people in the community. Regarding templates, everyone's weekly review list is so personal and customized that I don't see a point in adding a template for this, plus the databases would not be attachable in the template. The functionality is simple, and the customization needed is high so I think it's best to build yourself rather than use a template.

If I understand correctly, the reason why you set "Planning Review" to "Weekly" for a particular day is so that each day is compared with the weekly objective and then later on each week is compared with the quarterly objective etc. If this is correct, why do you not have "Weekly" set on the other nearby days (timestamp: 29:11) i.e. May 19 (which is blank) or would this normally be filled but is missing because it's a demonstration? edit: Actually, on second thoughts, I think Planning Review is asking "On what day did you complete the Weekly, Monthly, or Quarterly review"

Hi August, could you explain the need for a Review Date in Projects bearing in mind we're reviewing them on a weekly basis anyways? Also, at the end of the week after reviewing, do you immediately create a page with the new upcoming week (so the relevant relations can be made), and the review that after 7 days?

Great questions again Gabriel, I love how carefully you're thinking about all this. The Review date is both a bit of a backup in case a weekly review is missed (it happens, but work hard not to!) and also indicates how carefully you need to review it -- it can be a quick skim normally but a deep review at the Review Date. It also forces you to think when creating it the time frame in which you expect to make significant progress (before thee next review date). And yes, at the end of the previous weeks review you create the next week -- unless your review comes after the start of the next week/month in which case you can quickly create a new one so it's there to tag the Daily Data Tracking entries to the new week. Just as you suggested.

I almost finished setting up the system, currently thinking about adding a "Self-Actualization" section but I'm looking forward to your video about Mindset and Identity Sculpting for some inspiration. I'm also thinking about creating an expanded "Workplaces" section to accommodate my research, which is the bulk of my work at the moment. I saw your video podcast with the author of Indistractable and something just *clicked*. I feel like I have a little more insight into why you design the system in this way, especially the Action Items and the Action Zone. I feel like the point is not necessarily finishing or completing those tasks, it's the fact that you know they are there so they can be scheduled into your day and give them your full attention for a pre-determiend amount of time. If they are not over by the end of the day you just reschedule them. Don't know why it took so long to click in my head, haha. Great podcast episode, it feels like it's really Intention that we are training first and foremost, just like in meditation. In his book, The Mind Illuminated, Culadasa said that everything we are really doing in meditation is forming and holding specific conscious intentions. Much in the same way we cannot get rid of mental distractions when trying to be productive, but we can work on strengthening our intention by treating each activity as a meditation object in itself and engaging with it as fully as possible. Awesome Jasin! Working on something new for this year with the Annual Review - a new approach that is much better than the old one so I pulled the old one. Last year's video is not my recommended method, stay tuned for the new Annual Review.

Great stuff as always, August! Love the way how everything falls into place. GTD also speaks of weekly reviews, but I never have had the discipline to habitualize this. Will certainly give it a go, removing clutter will pave the way for a productive week with less distractions. Question: how do you do the inline icons next to page links, for example at 'Update Accomplishments' in the template?

Thanks Nils, the review emphasis is IMO one of the strengths of GTD. To do the inline links, as you're typing the line type @ then start typing the name of the page or database you want to link to, when the one you want pops up as an option select it. That brings the page's icon with it. Super easy. Can do the same with @ for dates like "today" or other people on your team you work with to notify them of the entry.

How does the `Gratitude` property differ between the Daily Tracker and Weekly Review? I thought there wasn't any duplication between these views. Wouldn't it be better to use a rollup on the ones from the Daily Tracker and summarize them like you're doing with the `Improvements` property? Also, how do you suggest using the `Improvements Summary` property? At [15:55], you're not summarizing, you only repeat part of the rollup. What value should this add?

Awesome as usual. Of course I have questions! 1) Why not include Accomplishments/ Disappointments in your Daily Tracker so that the actual dats can be logged and rolled up into the Week? Is there a benefit you see from including that at the weekly level? It would seem harder to remember them at the end of the week. 2) Would it be useful to add your “noteworthy” wins / struggles / learned items as weekly properties so they can be rolled up for either monthly or quarterly reviews?

Good thought, and of course that would be a very doable and sensible approach. I try to keep the daily tracking limited to things happening frequently throughout the week, and Achievements/Disappointments to me are more a once a week (or less) occurrence -- try to keep them at that level of significance. So that was my thinking, plus I want to roll then up into many levels Months, Quarters, Years, and you can only roll up one level so from daily to weekly for example (not from Daily to Monthly). By linking each level to the Acc/Dis DBs, you can access them all at each level. But you could always add them just when relevant and then have a view showing only dates when they were entered so could get a clean milestone view. Yeah, that may be a worthwhile change. I'll consider that for my system -- but you do what feels like the best fit for your system. Good thought.

@@augustbradley sharing a step-by-step here, hopefully, it's useful to others as well. It's really simple, just need to mirror the rollup with a formula - the formula itself should be a "tonumber" in case we are rolling-up numbers and "format" in the case of the text. In my opinion, this workaround will be super powerful once Notion will give us the option to choose which properties to show in the page view. Right now we can't hide properties which, for me, clutter up things and in most cases, it's a no go. I'm struggling with implementing a daily, weekly and monthly database to link all the reviews to. Also for the daily tracking, how are you managing to get all the dates to appear automatically as I am manually entering each date for the daily tracking. Appreciate the help!

Haha, I doubt it ;) Since learning about Notion and you and this incredible series only last Thursday, I have done nothing but focus on building a system for me based on your teachings. Thank you so much for this profoundly important contribution, and for your generosity. I'm struggling with setting up the weekly and monthly review databases - in particular things like, what is the formula to determine the day of the week property? Or, when creating weekly and monthly review databases, is there a way to automatically generate the weekly entries, which correctly determine the date ranges and creates (eg) May 11 -17 in the 'Name' field... in other words to batch create a year's worth of empty entries in the Weeks and Months DBs? Or is this something that needs to be done manually? Thanks again for everything you have done.
