I work for a department of the Canadian Federal Government and for years (ok, decades) we've been on the basic Windows/ personal and shared network drives/ RDIMS combination. Since the pandemic hit and everyone was forced to work from home virtually overnight things have changed. We've recently implemented OneDrive to replace our personal drives, Sharepoint will be implemented in this fiscal year to replace group drives/Intranet and eventually I think GCDocs to replace RDIMS (records and document information management system). My team is varied in age and technological experience and tomorrow I've got to give a tutorial on OneDrive. I'm going to share your video as a great overview of the whole system, and I'm definitely following you for further help. The "Dummies" series of books is my go-to for reference so I'll be looking for your guide on O365! Thank you for providing clear and relatable guidance.

Superb summary, thank you Matt. One thing I've noticed is that moving files from OneDrive to SharePoint seems slower than expected, even for very small files - uploading direct to either is quick but moving is slow, not sure if you've noticed this too. The only wee extra nugget I can think of adding is around adding a shortcut to a SharePoint site to OneDrive for ease of access.

Finally! A short and succinct video that covers off on the fundamental differences and just ets the message across, for non-techs. Great job! Just one suggestion. Me, We, Us could be better termed as Me, We, Others or Me, We, Them. The difference between We and Us is too vague or narrow. Others or Them gives a better indication of the publishing nature of SharePoint communication sites.

Dear Mr. Jumpto: Critique - Nice and clear/clean explanation for those who are already in the arena, I needed basics. Your audio needs more "upfront" and less "hardness of the walls" to stop the reverb. Put up bats and use a lapel mic up closer to your mouth. You may also need a non-usb mic that is used for professional audio along with some additional equipment to feed the computer. I do like your studio, however because it is real. Respectfully, NHG

As you suggest greatly, we use those tools this way. One more use case though : To collaborate with somebody (or many) i usually dont collaborate with, so i dont create a team for that, i send him the file via private chat. Once the file is done i move it to the right location. Those guidance has to be put into balance with org that control who can create teams, sharepoint. The process of creating a collaboration space being slower, people might use teams chat more for collaboration (one drive at the back)

4:00 I think is very important to remember. Once someone's OneDrive is gone so are the files shared or not. Imagine if someone's AD account is mistakenly deleted due to two usernames being confused e.g. JSMITH vs JSMYTH.

Thats because Microsoft want you to have either an msp manage this for you or have someone internal that has a background in supporting Microsoft systems. If office365 is setup or used properly its a nightmare. This will also cause them a headache

Just an FYI, and I know it's frowned upon but you can map a SharePoint site as a drive. It seems network speeds are throttled by Microsoft which makes loading the files kinda slow and power queries run a little slow too. This reduced speed is documented on many forums but waaay better than navigating the site in a browser. Another option is to go to a document folder on the SharePoint site and at the top there is a button you can click to sync certain folders to your onedrive sync client, then files are available locally for faster access.

I have just joined a company and we had a server for backups and then the whole Microsoft suite. I got rid of the server and now we do everything on SharePoint, Teams, OneDrive. My last company I introduced the Google echo system. Not as rich in spreadsheets and word processing but much easier to use. Simple to use, simple to share. I still don't understand why three interface systems. The reasons sound to me like excuses. Put everything on teams is more simple. You are working for a company, there are no private files. I hope to learn one day.

For example, allowing a user to access Team but denying him/her access to specific folders in the Documents section. I can do this in SharePoint, but scratch my head in getting these granular permissions in Teams.

In the Team, click the Files tab then click Open on SharePoint. Your Teams files are in SharePoint, so you have all the same control.

Used to use Asana, but switched to full 365 because easy integration with Teams…But does it confusing 💯 I understand Teams, we store our video production, marketing etc. But what about Client folders, Marketing, Research, Payroll, Finacial, all the core “stuff”. One drive?

Teams files, which is SharePoint. Don’t use OneDrive for code working files and collaboration. A group’s content should be owned by the group (a Team or SharePoint site), not an individual (OneDrive).

The company I work for put medics on platforms and vessels in the Gulf of Mexico, Mexico, Guyana, Trinidad, Suriname etc. We do not have control over the satellite connection that the operator has. We have been utilizing very old processes for operations. Doctors are in the US and contacted via phone by medic offshore. The medic may need to send pictures and the patient records to the doctor. With little bandwidth and high latency, would outlook, SharePoint or onedrive be quicker? The files are not too large to send through outlook, but not as efficient as moving to Sharepoint.

The problem we run into is that users simply refuse to accept the entire concept of "publishing" content. Whenever we create a Teams site or use OneDrive, there are ALWAYS people that create their documents in those sites and then, instead of copying to a permanent location to publish the content, they just want everyone else to have access to their Teams site or OneDrive. And, the reverse is also true. If we create a Sharepoint site that is intended to be just for publishing, there are are ALWAYS people that want to allow a whole host of people inside & outside the company to have edit permissions to those documents! I have been fighting with VPs over exactly this topic for over 10 years!!

I really think this emphasizes the legacy file mania thinking, which personally I don't think drive productivity. Rather the other way around. I'm surprised that we are still stuck in managing files and the Microsoft calls that productivity. By now, everyone should be on another level of abstraction and not be working with files as a concept. What value is created by moving files around as they mature and the need for them to be shared in wider circuits? The idea of have three different file locations which needs to be explained to be understood, having rules of thumb to manage and to be part of you daily activity (steeling time from creation and editing) while error prone is not helpful and probably just a way for us to adapt to legacy solutions. We should create solutions that supports our work and makes us productive instead of adapting to outdated technology.

I DID give EDIT ACESS to everyone with the original link, but I'm not sure what I've done wrong. It sounds like I need to move this to Share Point instead??? Please help!!
