Hey there @Zenpilot team, we are currently using Parent tasks for monthly recurring retainers, then putting all the (sub)tasks we have within the month as a subtask. Do you recommend this route, or something else? For example: - May 2024 - (renewal/purchase date) -- Subtask (2nd level) -- Deliverable Subtask (2nd level) --- Design Deliverable (3rd level subtask) --- Development Deliverable (3rd level subtask) Do you feel this is the best path? We're having problems on how to handle if a task runs between months? Right now, moving the subtask moves all the time tracked into the new parent task (month) which doesn't work. Do you think we should omitt this practice? Thank you!

Great video. Very useful. Thank you. I've tweaked mine based on yours. We also run on EOS. Don't like the automatic goals progress. Does work for me, so I used manual instead. I also had all kinds of fancy custom statuses that complicated things when moving a task from a list to another (e.g. adding a off-track rock to the issues list). Now I use a custom field for statuses and only have To Do and Completed as built-in status. I also have 1-year Plan as a list in OKR format. The KRs are subtasks of the O, and the KRs can be Quarterly objectives. i.e. I create the same KR in the Rocks list and link the 2 via a relationship field.

Wondering why you don't recommend using the start date. If a job was to take a week and you used start and due dates it would spread the workload over the five days (say Mon-Fri). Works for when you are doing larger tasks that don't require breaking down further or you would prefer to do 4 hours a day allowing time to do other tasks and refresh from the main task.

What about using "automations" to fill in the custom fields based on rules such as the list name or user? These would be the perfect fallback for when a user forgets to fill in the "custom fields", or it demands an extra step, such as when creating a task via the gmail integration. I have already a setup of 30+ folders and 150+ lists, and feel that "automations" really need a better "manager UI" Congrats on the videos. Thorough work. edit: a letter missing.

You can use automations for both of those options. Both when a task is created by a specific user, or in a specific list, or even using the chrome extension. In my opinion, automating custom fields based on location are the best (you just need a good hierarchy). They did just add an automation manager in 3.0 and just recently an automation activity view which helps!

Very helpful thanks! Is there a way to setup a time tracking dashboard for one client only? The dashboard filter at the highest level allows me to choose the client folder but the time tracking cards "currently does not support dashboard filters'. I'm hoping to build a dashboard and share with my clients which includes time tracking?

Yes you can. Either use the client folder as the filter, or you can use a client custom field if you've set that up. And that's probably because you're using the full dashboard filter instead of the card specific filters. Each card has it's own filters, so you'll want to use those. ClickUp rolled out dashboard filters without it working with every card so it doesn't work all that well.

Do you recommend writing SOPs within ClickUp itself? I'm trying to push that for my team, but leadership pushes back saying "if we ever move away from ClickUp we want to be able to take all of our documentation with us"

Yeah, there is always pros and cons to both. It depends on your needs. And if the team is actually using your SOPs. Regardless of the tool, you need to make sure your SOPs are actually connected to the tasks that need them. If they aren't, they probably won't get used. Tools like Guru are going to provide better knowledge management features than ClickUp does. The verifications, announcements, permission settings, etc. are helpful features to have. Plus, of course, if you leave ClickUp, you don't have to worry about migrating, but you'll still have to worry about reconnecting SOPs to tasks so it'll be a big switch regardless. However, ClickUp Brain + having everything in one system, and not having to pay for another tool is great.

There is no way to automate it. We've only set up automations that change the status to in-progress when someone starts tracking time.

Trying to understand when to keep info in a wiki vs a task description. For example, I have a list in clickup that is my web design task list. This has a ton of tasks and subtasks with specific tasks ranging from Email client this update to how to update the DNS records. Do you keep that info in the task description or the wiki? Where is the line drawn to determine when to use one vs the other? How to prevent overlap info which could conflict down the road if not found?

The big push for putting it all in documents and linking to tasks is that it makes it much easier to manage and update. If you build templates and then deploy that template 50 times for active work, it's hard to update those tasks in the wild if they have their own description and aren't linked to a central SOP. I prefer a mix of both. You can add some description to the description, but the instructions (at least for larger things) should be in a central SOP and you can use that block link feature to call out a specific step within your SOP.

Not a keyboard shortcut. Only shortcut is using bulk action toolbar here, but that's mainly if you want to copy a bunch of links at one time.

If you're on the web version of ClickUp and you're currently on that task, you can press Cmd+L to highlight the URL in your address bar, then Cmd+C to copy it. (Or Ctrl+L, Ctrl+C if not on Mac.) That's the fastest way I know. ~Kuba

Yes. If you select "Create new task" and then click "options", you can unselect custom fields and the values will not be brought with the new task.

This video discusses the biggest mistakes and using a ton of different statuses is one of the biggest mistakes. We recommend having a status template with different statuses, but this should be consistent across the workspace.

I loved ur video. I have a question I want to start using Clickup in my organisation. I want to use it with multiple employees. Is there a way that I can assign task to employees and the employee who the task is assigned to can only see it. For example if I have 3 employees A,B and C. If I assign a task to A and B I don’t want C to be able to see it. How can this be done. If I make a list and add all 3 employees to it than even I assign the task to A and B won’t C be able to see it?

You guys think like I do! I appreciate that. Can you do a video of how to make clickup like Notion? I know that Clickup now has new features, but I don't think they have true database function. Therefore, it would be awesome to have a mock workaround to create a doc that looks like Notion and databases (tables I guess in Clickup). I love how Notion has the ability to make it aethetically pleasing, especially with Gallery view and adding images, so maybe its a Dashboard solution in Clickup? Would love your streamlined teaching on this.

That's a custom field that can be applied to every task. All you need to do is put all work for a client in one place (we use client folders). Once you have that structure, you can add a ClickUp automation to your client folder that says "when task or subtask is created" > "set custom field" of "client" to "Dunder Mifflin".

One question: if you use an individual list for all the campaigns and the campaigns contain a lot of different deliverables, how do you get an overview of the blog calendar or the social calendar or the podcast calendar? Or do you use another tool for that?

You can use a custom field to help with this. In the video, I'm using a "Work Category" drop down custom field. You can use this to be very high level and have options like content, SEO, website, etc. OR you can make it more specific and label it blog, podcast, case study, etc. OR you have the option to have two different custom fields and leave the one as "Work Category" and create another as "Deliverable Type". Once you have those custom fields in place, you can create a view at the campaign folder level to see all of the campaign deliverables, or just filter down using your "Work Category" and/or "Deliverable Type" custom fields!

Great video, thanks. I have two questions; 1. You recommend using one assignee per task. How do you schedule a meeting with multiple assignees attending? Do you copy the meeting multiple times? That seems like a lot of administration... I'd love to hear your thoughts on that 2. I would love to have 4hour tasks for easier planning. However, how do you cut a task that takes multiple days into smaller pieces. Designing a logo for instance. Any thoughts?

Great question. Yup, each attendee gets there own task for a meeting. If you have a template built it's very easy to create and maintain. A parent task could be the meeting and the subtasks would represent prep work for someone, the actual meeting with a subtask for each attendee, and the meeting follow up. You can just create work sessions for this. If designing a logo takes 10 hours, split that up. 1. Task 1 = design logo session #1 (4 hour time estimate) 2. Task 2 = design logo session #2 (4 hour time estimate) 3. Task 3 = finalize logo and send to client for review (2 hour time estimate) This will help track progress, and help the team confidently close tasks when they finish a work session.

Great video, very helpful. We use Daily tasks and have set them for recurring, the only issue with that is we need assign different days to different assignees, suggestions?

Could you provide more context on this? You can't change the assignee when a task recurs, so you'd just want a different task for each assignee. If they themselves only have to do that task once a week, just make it recur once a week. So you may end up with someone having a task recurring on mondays, someone on tuesdays, someone on wednesdays...

Each client would have a separate document so each would have to be updated manually. I'd recommend you create an initial template of this and make sure it's spot on before deploying it.

How do you stop the tasks in your process library from showing up on your tasks lists? Do you not have someone assigned to the task in the process library?

Great question. 1. Yes, we do not assign tasks in the process library. 2. You can also use location filters in your views to not show any of those tasks if they are assigned. Just create a filter and it should be "Location" is not "Process Library" or whatever your process library is called.

Delivery is a ClickUp space where your active work is happening. Active work doesn't happen in the Deals list. The Deals list just shows you all of your current contracts/deals for the sake of record keeping and organization.

Great question. Lead = any person that submits a form (giving you their contact info). These all go in to the leads list in ClickUp. Contact = basically any lead that graduates to an opportunity. A lead will become a contact when the lead becomes an opportunity. When an opportunity is made, a deal should be created and the lead should then become a contact related to that deal. Deal = all open or closed deals/opportunities in the pipeline. You don't need to use the leads list. You can just have a contacts list. But I like to keep them separate for nurturing purposes.

Hi, these dashboard cards seem cool but I'm not sure how I can build this into my custom dashboard as I'm not sure what the name of the cards are which you used? For example, on the 'click up champion' dashboard you mention the task issues cards - but there are no cards called 'task issues'.

The task issues section is both calculation and task list cards. And to your point, this video was more of a walkthrough of dashboard ideas for agencies. It was not meant to be a complete walkthrough of all of the individual cards and how to set everything up. We will create a more in depth video on some of these dashboards soon though!
