Dood. 10 years of REVIT experience. Never took the time to figure out worksets. This video. plus my current project. and now I feel like an expert and I can teach the people I work with Worksets and how we should utilize them. Also - I especially appreciate the back beat music to keep it flowing and not just a guy talking about what he knows. Great job and Thank you!

This is so far the best tutorial regarding worksets in Revit. I personally use this feature to manage my views, one for architecture, one for site, one for furniture, one for Structure ...etc . And why i use this cause once you turn one of your machine performance !

Very good overview! I would add Workset display setting to quicky apply color coding to all worksets in any view. Also the general use or worksets to separate scope or discipline not covered by Revit categories.

I've been using REVIT for years now and didn't have this figured out. I think this will be helpful in us showing base bid and alternate items. We tried using phases, but both the base bid and alternate items are new items and this was messing up our graphics.

You can probably do without the music in the background. It's very distracting. Also, you probably should open up and explain a little bit the main functioning reason behind worksets (why it exists in the first place), which, in a gist, is to organize and control elements, views, etc. in a model to cater to what the user is currently doing (mainly for different disciplines).

What's a typical workset for a residential project., or any type actaully. if you want to divide and conquer.? At this point I do everything, but wonder how to start taking advantage of worksets. I have to continue watching to end !

if a workset is closed, can i model walls over and around it and it wont intervene in terms of geometry? kind of like phases, where if you model stuff over each other in different phases, it starts to create different issues like wall joints, etc..

Thanks again for this video. One question though, the worksets make a lot of sense but the detailed items does seem to ignore the worksets and do its own thing. For example in my case i created a furniture workset and the majority of the furniture are 3d items but I have a few 2d items as well to keep the file size down. I want to assigned them to the furniture-workset but oddly enough under workset it has the specific view name instead (and not any of the current 3 worksets) which seems to defeat this idea.

Unfortunately only 3D items or model items can placed into Worksets. Worksets are specifically for 3D objects. Hope that helps!

Your lessons are very good, and it helps me lots. Please make a lesson, how start a project from #none template. Open Revit - > New - > none - > project - > OK. Than how set all for a new project. Please make it.

Thank you! There is honestly not much to cover with the "none" template. When you use that template, you get the most basic of setups. The idea is that you have to load in anything that you want to use. All the other templates do is a little more by supplying some default views or showing specific model tabs.

Nice video. I have a odd situation though now where I cannot save the file because it is created by another user. It says that I can get more information in the Workset dialogue but it does not let me access the project. I am both users btw and I have not set any elements as non editable so it is odd to me that it seems locked without using the editable-feature. Any idea what it could be?

Hmm that's interesting. It could be that the central model has not been fully created/saved. Also, making sure you have created a local model for each user is likely a huge reason. Having to login with your Autodesk account, it would be hard to be multiple users too.

You must first enable worksharing in the collaborate tab to create a central model. You will then see worksharing everywhere.

Really good stuff. I think the only thing that was maybe missed how to set up the work set/central file. I guess it’s a question of when? Do you work on a REVIT file up until a certain point and then enable work sets, or do you set it up day1 of the project ? I am a lone wolf so I’ve never used work sets with anyone, just wondering if I need to set up work sets even as I’m working alone. I guess it may depend on the scale of the project. Thanks again, I will be rewatching this as some point in the future.

As a general rule, I almost always enable worksharing out of the gate. This would apply if it is just you working on a school project or if you are in an office and needing to work with others. There is no real downside to enabling worksharing, just know that this must be a central model. When first enabling worksharing, you will be prompted to name "Workset1" if you want as well as the shared levels and grids. This window will also ask if you want to move levels and grids to the shared levels and grids workset with the remaining elements going to Workset1. You only have to setup worksets if you need others to work in the same model as you at the same time or if you want to utilize worksets themselves. The scale of the project does not matter as much as if you need more than one person in the model and if you want to use worksets. I have used worksets with the tiniest of projects to the largest. The functionality does not change based on the scale. I do have a video on how to create a central model, although if I remember correctly, I may have left out the worksets parts. Enabling collaboration is required and give you the shared levels and grids and Workset1 by default. Hopefully that cleared some things up!

@@ArchitectureVanguard thanks! I think it does clear things up. I only work with Dropbox, so not have a network setup, part of the reason why I haven't set this up. The people I work with all work remotely, and I'm the only Revit person. I wanted to get help during a crunch time, but I figured it was too late to enable work sets so late in the project and I was worried about corruption. I will definitely look into this more on an upcoming 900 unit apartment project that is in the pipeline

Ahh I see, that makes sense. If you are the only one working in the model then you do not necessaruly need to use worksharing. Also, if you are constantly uploading and downloading from Dropbox, then I would probably not recommend you enable worksharing. That is just because to do that you would need to create a central model and the constant uploads and dopwnloads from Dropbox would require you to remake the central model every time you download it. That would be a royal pain and I would not recommend that just because it's so tedious and things might more likely go wrong. @@ArchitectureVanguard well I guess the only thing I would need help with is how to make this work with Dropbox lol. I don't sent files via links for example, its just a synched folder that has all our work. On my PC it's c:\Dropbox\ but on someone else's, it's maybe D:\. I think there lies the problem, not the same pathing. I looked into this long ago but didn't end up trying due to time constraints. Apparently it's possible (with software) to path a folder as it's own letter (maybe r:\) anyways, I am rambling. It's just something I wanted to know if possible (via Dropbox) and how yo make that work and what to avoid to not have corruption in the central file. What you described of uploading and downloading a Central file was not what I had in mind when I was talking about Dropbox, but I can see if I did work that way, it would be pretty bad. I think I understand a little better now. From what it sounds like while you are working through Dropbox, you are not moving the file. If you want to utilize worksets and create a central model, the file location would need to stay in the same place. The second you move the file, you would need to remake the central model (you would not lose any workset data id you had to do this). I would create e test project with worksharing enabled and try the file on different computers in different locations. That said, you are fine working the way you have without a central model.

Great and informative video!! Thank you! Not sure if you are still active but I have a question. I work for an Architectural and Engineering firm where architectural and structural collaborate in the same office. I was wondering your thoughts on combining Architectural and Structural into the same model using worksets or should we just keep them separated like we have been and they can just link our architectural model. Also, I assume it would be useful to create more indepth worksets for each floor, windows, doors etc. for viewing purposes do you have any experience with this and pros or cons with doing so? Any information would be greatly appreciated!

I would say that if you are in the same model and working with them directly in the same office all the time, that is fine. Just have to realize what goes into having multiple disciplines in the same model. I have heard of others in my previous office doing with with an outside consultant and it became a nightmare because of model elements being moved all the time. So nothing wrong but just more things that can go wrong.

When worksharing a model, how do you deal with Revit synching the active workset back to the central file? This has caused headaches for us when someone wants to work in a specific active workset but doesn't switch out of it before synching. Then the next person to open is unaware they are in a hidden workset.

My best experience has been to have everyone work in one main workset and keep that as the active. It really is the best way to model. That means everyone can freely add elements to the model and know where they will "land" while still having the freedom to alter the model workset.

Hi, I followed all it is being said and explained , but for some reason after I created the central file and also the local file working in the original computer where the central file was created, if I open the same central file in another computer where another person has to work sharing the same job, that other computer is not allowed to save what has been changed in the central file, only locally and gives the message file not saved after clicking on synchronizing what has been done, what I am doing wrong, any hint please much appreciated.

Hey Juan, here are a couple of things to check. Assuming making the central model went smoothly, then I would make sure that when you open the model to make sure that "create new local model" is selected. This should be done any time you open the model from any computer at this point. Second, make sure that before you sync that the location you are syncing to is the location of the central model. This would need to be the same and stay the same for any computer that access this model. This should be setup correctly by default. Hopefully that helps!

Hi! Thank you for another informative video. I was just wondering, how one can specify what goes into each workset. does that need to be discussed by a group in an office before the work begin on a project. Why adding already built components into a workset is allowed? Doesn't that defeat the purpose of the sole ownership.

Anyone is able to create worksets and add elements into any work set they desire. You can always add any element after they are made into any workset in the properties of any element selected. Sole owner ship is purely so that no one can edit an element while you are. I honesty don’t bother taking full control of a workset as it will likely produce more problems with people running into elements. Hope I answered your questions.

I am not sure you want to do that. If you want to make the central a local file, then Save As then just use that new file normally without making it a central file.

I may or may not be understanding you question, so feel free to correct me if you need to. The template you use when you start the project will be unchanged and still working as expected after you create a central model and enable worksets. If you are asking if you can apply the template for 1 Revit file to another, there is not a way to do that to my knowledge besides starting the Revit project with the same template. Hope I answered your question.

Think of phases as the time in which you plan to construct either a portion or all of a building. A different phase generally means construction happening for something else or additional at a different time. Worksets are simply a version of working with "layers" or just as a way to organize model elements in Revit.

Hi, great video here about worksets. I hope my doubt isn't confusing. Basically I am trying to learn working in collaboration and to establish the same I am working with two users in my computer. first user or User 1 is assigned to work on the Architectural modelling where as second user or User 2 is suppose to work on structural modelling. However all the videos I have seen so far indicate towards linking the architectural model in a structural template. However I cannot do that if I have created a central file. I cannot connect my linked architectural file in structural to the central file because I have not created a local file in the first place. So I come up with a solution of creating a local file for structural in user 2 and use Structural views for the modelling of structural discipline of the project. Can you validate if what I have done is right? Is there a way to bring the linked file into collaboration with the central model?

You have likely seen the structural portion linked in because it is done by a consultant or company. If you are working with a consultant or others not in your model, then you must use links. If you have everyone in the same model, then it would be best to split up the work with worksets like you are talking about. If you have a separate model then regardless if you have collaboration setup then you can link the file in. Just go to the add the separate Revit model in the Revit links. So I am suppose to basically establish a work-sharing only if both my disciplines (Arch & Struc) are under the same roof or using BIM360 cloud sharing and use link revit when working with a different company if they are not operating through work sharing collaboration system. Right?

Yes they can, it is all about borrowing elements at that point. This is done by Revit automatically, and you will be alerted if you try to work on an element that is currently borrow and vice versa.

After saving as a local file my project wont show up on my revit home page as a recently opened project. i have to go in my files and open it that way. do you know of a way to get it to populate on the home page ?

Hmm I’m not entirely sure, as this normally happens on its own. After you have saved the file it should show up my guess after you restart Revit. That would be something to try but it should be working.

Maybe "opened" is more like FREEZE, and "visible" is on/off ? How Autodesk like to Reinvent the Wheel (maybe that's where the name Revit came from) and make something too complicated!

That is an iffy one, it can be done but would require to save as a new file. Save as a new file and make sure that create central model is not checked. Most of the time, you want to setup collaboration and leave it, it's just easier that way.
