Sorting Notes Folders - love your videos, you do a great job presenting the material in a clear one fun way. My question to you is, can we sort the note folders? I know we can sort the notes in folders quite easily, but can we sort the actual folders themselves? I know we can move the manually sort them, but when you've created a lot of folders, it be very time-consuming to sort manually. It would be nice to have a button to sort, alphabetically for example. Please let me know and thanks so much for what you do.

Unfortunately, there's no inherent way to sort things by the titles of the folders. But what I tell people is that if you have such a long list of folders that you need the alphabet to organize it for you, then you've got too many folders. I strongly recommend creating a handful of generic folders with simple names like: - Travel - Personal - Work - Family - Friends - Finances And sort your long list into those smaller lists to make it easier. The alphabet is fine as an arbitrary sorting system, but it assumes that the folders that start with the letter A are inherently more important than the folders that start with the letter Z, which just isn't always true. So rather than looking for a way to keep all of those folders in one alphabetical list, I recommend breaking it up into simpler, smaller folders to keep it easier. Thanks - I thought I knew it all till I watched this vid. Great one. I live outside the US and we don’t have apple intelligence yet. I still would have liked to hear what I can eventually use that last little round icon on the menu for? (I assume it’s AI?)

I promise… I will get to it. It’s currently set for video six in the series… Which means it’s a couple of weeks away, but stay tuned. Apple Intelligence will eventually get released outside of the US, but your iPhone 14 will not be able to take advantage of it. Still, knowing what it can do will give you a better understanding, and allow you to pick your next phone properly so that you can use it.

Great tutorial, I learned a lot! I've also noticed that there seems to be 2 distinct types of "fields" in a Note once you add a graphic or drawing: 1) Text field, 2) graphics field. Once created you can drag the graphic field "boundaries" up or down a bit to expand or shrink it. Tap and hold within the field to add space, etc. The graphics field won't let you begin typing text again until you tap far enough below (or outside) the graphic. I've learned to work with that "rule" but what if you accidentally create a graphic field? How do you delete a graphics field? There seems like there's a short subject video opportunity here to explain how to manipulate and manage graphics vs. text fields in Notes. So far I'm stumped.

Yeah, I keep hoping that the graphics and Tex fields can be more tightly integrated with each other but that hasn’t happened yet. At this point if you accidentally create a graphics field the best thing you can do is put your cursor below it, and then hit delete until you eliminate it . The new collapsible sections function works with headings and subheadings, not just titles. It is hierarchical so each level can be separately collapsed or expanded.

I’ve had trouble with mark up. I can import a PDF and do mark up on it. I can’t type something and then go back and highlight or do mark up on something I’ve typed. There seems to be a separation between my typing and handwriting in the same document. I appreciated your video. It was clear, understandable, and easy to follow. Thank you.

I like your clear explanation of the topics that you cover, but I am a little confused about the difference between Apple Notes and the Files / Finder app. There seems to be a lot of redundancy there. Do you have a video on the best ways to use each?

I have separate videos for the Files app and the Finder. Those two are somewhat similar to each other, but they are both 100% different from the Notes app. The Finder is a Mac application that allows you to navigate through your computer, find documents and folders, and organize everything digitally. The Files app is an iPad and iPhone application that allows you to access files stored to the cloud through iCloud, Dropbox, Google, or more. The Notes app is a place to save the text (and some images or attachments) of things you need to refer back to quickly, so you don't have to scramble through multiple files, folders, and file paths to find that document that you need to read or write on every day. They have very different functions. I would immediately stop using Notes for my grocery list and start using the Reminders app. It's a much better and simpler tool for that, and it literally has an automatic way to sort your list into categories. Plus you can share it with your family and loved ones, so that whoever goes to the grocery store always knows what you need. For sure a better tool than Notes for that function... Great content with personality. I love apple notes. I create text based info most of the time. Rarely use the drawing tool. It’s very frustrating when it appears when I don’t want it which is most of the time. Is there away to turn it off and quickly turn it on when I want to use it?

How are you accidentally turning it on? Are you referring to using it on the iPad? If you are, there's a setting you can turn on where it won't draw unless you use the pencil, then if you don't use the pencil it won't accidentally happen. If you're talking about "on the phone," don't click markup and it generally won't happen. When you do accidentally get a drawing box, just put your cursor underneath it and press the Delete key until you remove it. That's the fastest way to get rid of a nit. I also don't use anything but text the vast majority of the time, so I understand the concern.

Thanks for this informative video. I love Notes but was frustrated after IOS 18 when they hide the scan documents. After watching this video I see where it is now in the paper clip icon. But what is the other icon for? The one with the squiggly circle with the arrow in it?

That's Apple Intelligence. You need to have an iPhone 15 Pro or later and be on at least iOS 18.1 to use it. It has a ton of features and functions that I will discuss in the final video of this series in a couple of weeks. Any other major takeaways or questions you've got?

How did you get the body highlighted and not the title line? What did you do, I keep trying but I can’t figure it out.

I'd have to look through the video to be more specific, but in many cases I either double or triple click on what I want to select. A double click grabs a word, and a triple click grabs an entire sentence or paragraph. Then you can use little dots on the top and bottom to select or deselect additional items. Hope that helps!

In my opinion the 5 GB iCloud storage is not enough for most people. Especially if you’re going to add a lot of attachments to your notes. I recommend at least upgrading to the $.99 per month 50 GB plan. On top of that, I find there are a lot of better ways to Store and organize screenshots. Notes is a decent tool for it, but there are better systems in my opinion.

Yes, you can easily swipe between apps by dragging the Home bar at the bottom of your screen to the right. Once you’ve dragged to the right a couple of times you can also go to the left but you have to move quickly because the apps will re-organize themselves if you swipe to the right and wait too long.

You can’t make the background colorful except by using the highlight feature which is just OK at best. You can change the color of the text… But only on the computer. It’s really not made for as many design elements as pages is used for… It’s intended to be a simple notetaking app with some formatting features. Hopefully they will continue to add new capabilities as we move forward… Without making the app bloated and breaking it. As with everything, it’s a balance between functionality and simplicity.

I say use Apple notes as a replacement for ALL Word processors unless you need the high-level formatting tools of an actual word processor. If I’m writing a novel, or a business letter, or a résumé, I will use a word processor (and it doesn’t really matter whether it’s Microsoft Word, Google Docs or pages) but for the other 98% of documents I create (grocery lists, to do lists, poetry, basic notes, outlines) I just don’t need ANY word processor… Note suffices. Pages is fine and all when you’re sitting at the computer, but as with every other word processor as soon as you use it on your phone it becomes impossible to see what you’ve written. I like pages… I’m just not going to use it for the basics, and I recommend people stop thinking that Word processors are necessary when really you just need to have things on all of your devices that are easy to see, edit and read. Pages doesn’t do that, Google Docs doesn’t do that, Microsoft Word doesn’t do that… But Notes does. I’ve watched for years as people keep their password documents on pages or on Microsoft Word, then I watch them futilely trying to pinch and spread so that they can see the password from the pages or word document on their phone. Just foolish. Notes looks great on every device… So unless you need the heavy formatting, keep your life simple.

Once you have scanned an image or attachment and added it to notes, there’s no easy way to resize it. But if you resize it before attaching it to notes you can adjust the blow. In my opinion, adding attachments or even scanning documents should only be done sporadically… In most cases you don’t need the document, you need the content of the document… So copying and pasting, or scanning the tax (instead of the image) can really help. I don’t think of notes as a file storage system… If I’ve got a document I need quick access to in its document form I usually use files instead. I use notes for text information that I need quick access to… And in most cases that means pulling it out of the PDF or document before attaching it. Hopefully that helps.

It's the same thing. When you highlight the text you want and click the formatting button, you can change the color and press the highlight pen in order for it to make the highlight. Hopefully that makes sense.

You certainly can by using the checklist… But I find it to be an inefficient way to conquer your to do list. Especially when Apple gave us a much better tool in the Reminders app to do exactly that… So you can use checklists, but if you really want to be productive I recommend exploring the Reminders app itself. ?? I don't know if I have this right - I have used the scan feature often, and subsequent searches see the individual words in the scan, which is very useful. The thing I don't understand is that when you scan a document you cannot copy and paste the text like you can if you were to make it a photo and use the text capture option. It's counterintuitive and frustrating, but I may be missing something?

Rather than clicking scan doc, click scan text and it will give you that option. When you have the photo app open and it sees text you will usually see the text option as well. You will see that example at the end of this video. Once you start with scanning a document eliminates the scan text feature, which is much more effective since you can do exactly what you’re requesting, pull the words out of the image. You can also do it after the fact if you take a photograph, but when you click the scan document option it eliminates that tool. Which is one of the reasons I don’t use the scan document very often…

I get asked this a lot… At this point there’s no way to link an email directly to a note without copying and pasting, but for me the bigger question is why would you want to? People seem to think that email is a really great storage system… But that was never how it was created. It was always intended as a communication system… For me the emails or documents that get sent to me are things that I saved to my computer so I can find them. If they are references I need easy access to I will copy and paste them into a note… But that’s rare. So the short answer is no there’s no way to do it… But the longer answer is if you explain what you’re trying to do or why you would like to do that maybe there’s an alternate method.

I was compiling a note for an upcoming trip and thought if you can link emails I could quickly find the emails containing all booking references and data easily with one click. No harm in copying and pasting. I am one of those who keep emails forever, a lesson there for me to archive and delete 😁

If you take the booking references and data out of mail and put it into notes, you won't need to go to the email in the first place and you can easily access all of that information directly from your phone (even without an internet connection). And if you get in the habit of doing that in the future as soon as you get the email, you can take the pertinent information out and put it where it's more useful for you right away and NEVER need to go back and reference the email. Email is great for correspondence... it's lousy for storage and organization.

I couldn’t agree with you more. Not having the markdown support means that every time I copy something over from GPT I have to strip the Asterix’s and hashtags off in order to fix it. I’ve already let Apple know this is a serious missing piece… You should do the same. Hopefully they will hear us before Next year‘s iOS 19 release.

🔥🔥🔥🔥🔥 I’ve noticed with the new iPhone 16 Pro Max iOS 18.1 my scanned documents which used to be less than one megabyte now are between five and 10 MB per page. Is there a way to scan at a lower resolution or reduce the size of the files?

Unfortunately, there's not a lot of control about the size of attachments and scanned documents. I know everyone loves to scan everything into Notes, I prefer to take the text and the other information out and paste it into Notes where it's more editable and workable than keeping the attachment... as I showed in the power tip on this video. But if you are going to scan documents, there's really not a lot of control you have about how much size they take up. Sorry... 🤷♂️

Yes, Apple Intelligence features aren't yet available outside of the US. You can change your language and region to English and US and you might get some of the features, but otherwise you'll just have to sit tight and wait. I didn't know about that when I released this video, but thank you for bringing it to my attention.

I'm loving collapsible headers BUT every time I re-open notes, I have to re-collapse them manually, meaning it doesn't seem to remember the last action of how I set them...which is frustrating and defeats the purpose of time-saving...thoughts?

You know, I'm not sure why you're having that issue. Maybe it's a glitch that they've resolved. I'm currently on iOS 18.2 and it remembers the collapsed headers on my phone, computer, and iPad... so I'm not experiencing that issue, and my guess is when they release the new iOS 18.2 update in December neither will you.

I’m not quite sure what you’re asking… But if you back up your phone to your computer with the cable, and restore to a new phone with the cable everything should be transferred. The same is true if you use iCloud for the back up…

Absolutely! You wouldn’t be the first. I will warn you though that you shouldn’t keep one note running for years at a time… It makes the app a little unresponsive. What I recommend for most people is to create a folder called journal, and then create a new note for each month… Also, a lot of clients that have been journaling on notes tend to scroll to the bottom of the note to add the new entry… But I recommend putting the new entries on top. Yes it makes rereading a little less intuitive, but it makes creating the notes much easier. Lastly, have you checked out Apple‘s journal app? It’s made for journaling specifically and has all sorts of functions that notes doesn’t have like the ability to connect your journal to photographs, audio, GPS and more. You should also check it out, but notes is a great journaling app.

I get this question more times than I've ever expected to hear it. You can individually export any note to a PDF, but you can't export all of the notes at once - not even from the computer. So it's doable but super time consuming. The biggest question I want to ask is, why you're exporting out of the Notes app in the first place? If it's for making a backup, I understand, but it's going to be an exhaustive process, and there are probably better ways to protect your notes and back them up. If it's because you want them in a different app maybe you shouldn't be using notes in the first place. Using something that synchronizes with other applications easier. Let me know why exporting all of the notes is important. If you have a computer, it's way faster than it is on the phone.

I think instead I will have to use just a single note for my yearly journaling. If you have any suggestions for creating a journal using notes I'd be interested.

Yeah, I think creating one entry per year is a much easier system. I recommend putting the newer entries on top instead of on the bottom, so you aren't constantly scrolling underneath the prior entry to update it. I know that makes it inconvenient for reading back, but it's much easier for creating it.

Smart folders are essentially used to gather notes from across the app and put them together into one place automatically. I prefer to use standard folders whenever possible because they are much more flexible. A smart folder is used for finding specific things that are scattered and creating an automatic rule that organizes them. If you’re asking how to save your entire Notes database, that’s a little bit complicated. There are some Siri shortcuts that can help with it. Apple actually keeps a backup of your notes if you’re using the cloud, but you could also use a separate service like Google or the “on my phone“ account and duplicate notes one at a time over that way… If you’re asking how to take a specific note and back up a specific copy rather than the entire database it’s pretty easy. Click on the note, click on share, click on print, and from the print screen click on share again and it will give you the ability to save a PDF to your Files app or anywhere else you like.

I love Notes but its big downfall is that it’s not cross platform, for work that’s unacceptable as there’s always someone on Android and to view anything they need an iCloud account via a web browser. Third party apps are the only way to go for productivity if you want everyone in the team to partake unfortunately, it’s something Apple really needs to work on if they want their apps to be ubiquitous.

I completely agree… But since I am an all Apple business, I insist that anyone I’m working with is also on Apple products… Which can really help. For anything else I’ll just use a Google doc but I don’t have to do that very often.

I agree! I wanted to share a note with an Android user, and the share of it is useless. Forces others to get an iPhone to access certain proprietary apps. 😩 I hope it changes.

@@SimplisticallyDigital also, when using notes on the Mac you used to be able to customize the notes more with colored text but I can’t find that option anymore. And even when I try to share a note, it forces the collaboration option in order for other people using Apple notes to be able to see the original note I created with all the formatting. Same problem with Freeform. I’d like to be able to share an exact copy without doing a collaboration

Sit tight, there’s another three or four videos also about notes. I have recorded multiple notes videos over the years, but I’ve had a ton of requests to update them all, so if you’re sick of them now… You might as well close your eyes for a while. The first video was just an overview, and this video is just showing people how to format and create notes… But as we move into the next ones it will shift into some higher level tips and things that you may not even know about… Including Apple Intelligence. Sorry if you feel like I’m milking it… I’m just following the requests I’ve been getting from multiple viewers.
