The tip to move emails to task manager is a game changer. I have been able to create a tool for categories that automatically creates a task and enables me to allocate accordingly. Amazing!

Due to the accent and the speed of speech I was at first grateful that you had channels in the video which btw, is my third THANK YOU... but then I saw that you included a transcript! Holy you would not believe my day. I spent all day trying to figure out how to assign a task from outlook to my assistant. I get this one person from Microsoft on the phone, she doesn’t know, and your video just told me. I kept telling the lady over and over after she told me twice just forward the email. I said that’s no efficient, I need to task it properly,,anyway ten hours later some how me and my assistant made it work, unbelievable

Thanks @leebrendalee The convert to task by right-drag-drop does not work in the "new Outlook" or web version. That is why most people do not know about it. I work in IT, which has roughly 200 people in it. We have an ITSM tool for managing Incidents, Requests & Problems. We have Azure DevOps for project management. Then we all have our own ways of tracking personal and team tasks, or email task etc... I am a budding software developer and really want to build an App which will sync our work from all these different sources into one place. What you have shown in this video is great and has given me lots of feature ideas for the app. For example, I love the idea of dragging tasks on to a calendar to block out time to complete them. Good job.

Thanks @HoangFriend for the feedback. I have not made a full video yet on MS Project. Why? Because Planner (Plan 1 and 2) are likely to replace MS Project as the "Modern" system. The "legacy" apps - MS Project Desktop and Project Online will continue. But I doubt whether they will receive feature updates in future. Thanks for the feedback and Subscription. As all of us know, managing tasks is not a new need. There are thousands of apps and approaches available. Despite that people seem to manage tasks ineffectively. Using the right tool in the right place is very important. Otherwise it leads to exponential inefficiency. The mix of apps covered in the video is the optimal combination for managing tasks of all types. Do let me know your experience. Did this approach work for you? Did you tweak anything?

@@efficiency365 yes. Due to this video alone I have moved m my task management from Notion and notes from Evernote to use OneNote and Tasks/todo to manage my workflows. I like how you can 'task' a note that turn appears in outlook. I also love how you can drag emails to the calendar or task list too. Your videos and approach to using them effectively are much appreciated.

Another excellent tutorial, you truly are changing the way I think and work. I have 5 yearly goals at work for 2024, all listed under tasks. What is the best way to track, add notes, updates, to basically manage, etc? Thank you in advance for your knowledge and willingness to help and share with others.

Hi Renna How to manage yearly goals? It is great that you have put the 5 yearly goals as tasks. However, the yearly goals are more like a project rathar than a simple task. It is not enough to just mark them as complete at the end of the year. Achieving those goals will require lot of preparation, work, monitoring, course correction and so on spread across the year. Each Task does have a percent complete option. You can use that to track progress. But you will need more. I suggest, for all the unstructured and relevant information for goals, create a OneNote Notebook called Goals. Add one section for each goal and then you can keep track of everything. Tasks + OneNote at the minimum. Let me know if this works for you. Doc.

Thanks for the feedback. I agree. There are too many apps with apparently overlapping functionality. It is indeed confusing, even if you know individual app inside out. The reason behind that is most people think in terms of features. I think in terms of needs and then find the right set of feature(s) and / or app(s). If there are multiple potential solutions, you need to think further and refine the use cases further. This process always yields clear, practical usage guidance that is easy to implement. Practically no Change Management is needed because "What is in it for me" is so obvious! Dr Nitin, am glad to find your video. Am struggling immensely to keep up with mails followed by delegation and miss on Follow ups. Am not able to follow my commitment, focus time is very minimal... So in all am giving back delays and only delays to my stakeholders. However I see many people are in same boat... I would definitely give it a try, however I feel this mechanism doesn't help analysis as to what kind of tasks are repetitive which can be avoided/ automated. Can we build on our own in power apps? So the team manager gets visibility what tasks are open and delegate specific if someone goes on leave. I will come back. Thanks again

Great pace, practical tips and insights. I'm in desperate need of some of this and knew most of it already. You just might have added that little info to bind all of them toghether! Thanks. One thing I'm still missing though is the possibility to add subtasks to a task. E.g. when converting a mail to a task, I want to be able to break down the tasks into subtask, check them all off and once complete reply to the client, stakeholder, manager the fact it is handled. This simple thing seems unavailable still though :(

This is an amazing video. I handle my outlook task slightly different, I add a catagory to each task as I find I can like tasks done quicker. Also, we use task in teams for larger projects, I really do not care for it. Everytime I am working on a task in teams, I will get a chat notification. If I respond to the chat, I will loose my place on my task in teams, or teams does not save my work on the task and I have to start over.

Thanks. Glad you found the content useful. Adding category to tasks is a good idea. In fact, the same category (colour coding) can and should be used across Tasks, Mails, Calendar, and even contacts. This way, we have a uniform classification of related items. It also simplifies category based search across all types of items. Teams Tasks are basically Planner tasks. Even if you lose track of the notification, you can always go to the Tasks tab and filter on your name. Better still go to Tasks Assigned to Me - to see all tasks assigned to you across projects. I don't understand why Teams does not save the work. If you explain the exact problem, I can suggest a solution. Dr. Nitin.

Thanks! You are suggesting to use outlook task list as a single source for all the tasks - but what about tasks assigned to me in teams/planner? I can’t get them to show up in my outlook desktop app task list. Only through To Do can I see the “assigned to me” list.

Yes. To Do app also shows up in Outlook nowadays. It is also available on any browser. However, if you want to add tasks from individual Team Planner then you have to follow another method. I really like the tasks and rely on them for organizing my day. Additionally to what you showed I have a view where my calendar shows the tasks of that day on the bottom. Do you know, if there is an equivalent for the new Outlook version? I really need this double view for the whole week and when I'm browsing through the upcoming days and weeks.

Thank you! I find the way you explain things very helpful and I enjoy your videos. Can you talk about integrating tasks between outlook (todo/planner) and OneNote? I find if you are in a page in OneNote and create a task...then complete the task in Outlook, it doesn't show complete in OneNote. Is there a way to do this better?

Thanks @jennifercampbell9419 When you create a Task from OneNote - it goes into Outlook Tasks. It syncs with To Do app - Tasks area. When you mark it as complete in Outlook or To Do, the equivalent task in OneNote is also marked as complete automatically. It should work. This is amazing.. we tried using it but the challenge is we created teams and task by planner etc .. also in different call team ppls create tasks using loop component ! Now the challenge is how to get these tasks from loop component to be sync with teams teams channel!? Your suggestion would be helpful

As most of the teams even though we have created a teams as large team we end up having different calls and create tasks / loop component in each calls, if we can convert them to teams team task list would be great feature

Thanks. Will create a video on Assigned by Me = using a Loop page and manually copy pasting any Loop task list there. When you copy paste Loop components, you are NOT making copies. Trying to convert loop tasks into Planner / To Do tasks will lead to duplication. Hence not the right approach.

Hi, I am a financial advisor in SA. We have a lot of regulations to adhere to from a compliance perspective, We need to save everything in a clients file as we are audited, We then have to pay monthly for other peoples software which is cloud based which means I never own my data. We end up having to do triple work constantly. Update the CRM system, work in Outlook, transfer emails to the CRM system tasks and then save those same emails in One drive. This is the same for tasks and all scanned documents and emails, I would like me and my staff to handle emails only once and own my own data.

Usually, when you put data on the cloud, you most certainly own the data. Which provider(s) are you using? From what you have described, you need more of a workflow / data flow management application. Look at Power Automate and see if it serves the purpose. Consider creating a Team for each customer. That way all files, correspondence and other artefacts can be unified in a single container. Excellent workflow and tutorial. Thank you so much. One thing that I've been missing is to be able to see tasks on a calendar like a gantt chart so that I can see dependencies and see which tasks are holding up other tasks. It could likely also help assess workload. Are there any features that can do this aside from MS project that works within the MS ecosystem?

For example, waiting for offer letter from customer is 2 weeks. My questions, is outlook can: 1. Plan To Do List daily/weekly & monthly? 2. Can outlook save all our tasks history in pdf for a month? 3. Can we set time period for each work process such 2 weeks for waiting the offer letter from the customer? 4. Can outlook send us reminder for work that need to be done according to the work that have been set the time period ( question no. 3) ? 5. Can u do a tutorial for all of these (question 1 - 4 )? I absolutely love your VIDEO's!!! Everything is explained very well. I have a question though. For larger projects or programs, I have been using Smartsheet (not my favorite but its what we have). We have the )365 suite as well and I have thinkered with all the tools you mentioned here but I need to create a workflow demo for my team. What is your reccomendation for larger enterprise projects? I normally have my technical teams use JIRA and the more operational items in my Smartsheet. What workflow would you recommend?
