Onenote is my number one favorite Microsoft product. I’ve used it for years across apple and Microsoft devices seamlessly. And the search is very good. I don’t often give props to MS but they did good with this one.

Hi John. Glad you found this useful. I have been using OneNote since it was in beta - 2002 I think. It is a powerful tool. But even today, most people do not even know about it. Those who know it use a small subset of the features. That is why I created this video. My aim is to create awareness about the fact that if there is a need - most probably the solution is already there. It is just a question of finding it and then using it in the right way. Thank you so much for this! I’ve gone back and forth with OneNote. I’ll use it for a while, then for some reason forget about it. I love going back and easily seeing my ideas from years ago. One of my favorite features is how the audio syncs with my notes. I’ve used this multiple times in school and in meetings. You shared many things i wasn’t aware of like the outlook integration and the custom tags. Thank you. I just started a new job and I’ll definitely be using these tips.

I was looking for solutions to my set up, and stumbled on this. I have only been using OneNote for a few months and love it. The only thing I can't figure out is how to easily create multiple notebooks that have the same tabs. Currently I create a notebook, and copy from a notebook I created called "Template", but don't understand why I have to copy each tab separately to the new notebook. I didn't find the solution here, but learned a bunch of other things. Thanks for this great video.

Hello Robert.. thanks for the feedback. Create a separate blank notebook called "template". This should have all the Sections you need by default. When you need a new notebook, open the Template notebook and choose Save As... Choose the location and save it. This is a copy - so it will have all the sections. No need to create each section (tab) manually.

Long time OneNote user here. I already knew a lot, for example the difference between Ctrl-F and Ctrl-E. But I didn’t know it was possible to restrict the scope of Ctrl-E. Also that meeting recorder with contents finder is extraordinary, as well as the calendar integration for finding notes. Thank you!

OneNote when opens , it opens up the recent most page you were reading/ updating, Question- is there any way , I can fix certain page to show when onenote app opens up in desktop?

@@infoaftab yes you can do that. In OneNote desktop, right-click the page in question and Copy Link to Page. Launch a notepad in Windows and paste the link that has been copied to clipboard. You need to remove everything in that link up to the part that says "onenote:" then re-copy that link. Now you have a link that can be launched from a Windows shortcut, and that link will load OneNote to that page. To create a clickable icon (desktop shortcut) you right click on your desktop, then it's New > Shortcut. Then paste that link and give it a name - done

Apart from the advice to stop the backups, it was pretty good. If you run out of space, then you buy more space, not stop the backups. Storage is one of the cheapest upgrades for your computer.

Hi Ronak. It is not about cloud backup at all. OneNote keeps two backup copies on the local drive. Once you have the notebooks synced with cloud, you don't need to waste space on local drive.

@@efficiency365 I understand that you are talking about local backups. I am talking about local backups too. The cloud is the sync copy and not a backup. I think people should have local backups too, in case their cloud data is messed up or gone (which has happened to a few users).

I don't agree with you. My recommendation does not change. I see no practical benefit of local backups. If cloud data is the concern you should use a cloud backup solution.

Thanks @robindear9569 To record a meeting (including the incoming audio), you have to enable Stereo mix in Windows Audio and use that as the Mic. Test it out before you use it in a real meeting. Excellent knowledge and presentation. Keep it up. There's a major drawback in onenote, that you cannot export a large page as PDF again. It will only create a limited PDF. Therefore it remains in onenote itself. Cannot be shared. If anyone has any information about it, please do share.

The best way to preserve OneNote data and Share it is to keep it in OneNote itself. Just move whatever you want to share to a separate notebook and share it with the intended participants. Export to PDF is has limitations because OneNote is an 'infinite canvas' whereas PDF is designed for printing. From the point of view of sharing, even if PDF export was feasible, you would lose all the valuable OneNote features like Tags, Audio links, Searchability, Ink recognition and so on.

I fully understand that it has an infinite canvas, hence the limitations. But the ability to use the annotated document can also not be undermined. Check that you have the Desktop version of OneNote. DO NOT use OneNote for Windows 10 app. Also, check that you have installed the latest version updates.

Great presentation. Very clear and articulate. my only gripe with the Tags feature is that I cannot use the same Tags I created in one PC across multiple devices. I have to create the Tags in each OneNote App I am using across multiple PCs

Super helpful. Best practices and use cases are something so many tutorials overlook. As for possible future videos: What are your thoughts on organizing OneNote for use as an all-in-one productivity and reference tool (Tiago Forte's second brain structure, for example)?

Thanks @KDub428 OneNote is an excellent universal container. So by all means use it as a repository of loosely coupled or even disparate pieces of information. As long as you create notebooks, sections and pages in some logical order, it is a great reference repository. Don't put too much structure. Most of these things like second brain, GTD, etc are just indicative guidelines. Customize it to your needs. Perfection is not required. Efficient input, quick retrieval, and effective usage are more important. Check out my other best practices videos as well. Hi Dr Nitin, I found this presentation simply brilliant and extremely usefull for me since I heavily rely on OneNote. I have subscribed your channel as well. Just a question, I have been using OneNote in my ipad where I cannot rotate hand-written text to any other direction except for 90 degree (either left or right). Is it a problem with iPad OneNote version? I am not sure about that. Thank you so much!

It's important to think about & plan in advance how to structure a new notebook's sections, its' organization ... Otherwise, over time, you wind up with a disorganized collection of note pages and a heavy reliance on search and tagging to find your offline thoughts. Think about how you will reference the content when accessing it in the future; a hierarchical organization of the content. And please consider making a video on this topic.

Thanks David Tinney. You are absolutely right. Proper organization is essential. However, the problem is this: Most people do not know about OneNote at all. I prefer that they discover its power first - without getting into the structure. After that they can create a better organized set of notebooks. In most cases though, people just live with multiple unstructured notebooks. Well... Many features are available on the browser version as well. Typically, features that require integration across products are not available on the browser version. For example, you cannot convert a line of text to an Outlook task.

Hey Doc, I'm continuing my deep dive into your fantastic MS videos. There's always a take away with your videos and worth the time invested. Thank you. Also, more features missing in Office for Mac users again...Feed! Office for Mac is always the stepchild. Another reason to switch to Windows.

Yes. It looks like a stepchild. Similar functionality mismatch between Windows and Browser versions. But the actual reason is the platform maturity and capability. Most Windows features - especially those related to integration across products require OS level intervention. That is where Mac stuff does not work. Similarly, HTML standard is not evolving fast enough to support all Windows native features. In any case, why debate when you have a choice. You can use best of both worlds with a VM. Desktop version of Office on Windows has unparalleled capability. Just use it to your advantage. Sadly, those who DO have Windows version of Office also do not use it fully. That is the bigger problem - which I am trying to address.

@@efficiency365 That's my challenge and how I landed on your channel - to continuously become more efficient with programs I use. If not, why bother? No one is willing to invest in themselves. I taught myself the PC in the 80's and read the DOS Manual front to back. I did the same thing when I switched to Mac. And, now even today, I seek out Podcast to learn as much as I can about the devices I use and the programs I use. I learn and discover a lot during the week but it always seems not enough. LOL. I drive people crazy (especially my wife) when I try to show how they're not being efficient, that there is a more productive and easier way to accomplish the same objective. She drives me nuts closing and opening windows constantly. I set up a second monitor years ago showing her she can have multiple windows opened if she organized her desktop. OMG, forget about virtual desktops. No way. I have two 43" 4K monitors with the equivalent of eight 15" screens opened at a single glance. With virtual desktop I have had up to 30 plus windows opened using virtual desktops. Each with their own separate workspace/focus. Love it!

I'm new to OneNote and want to build my OneNote from the right location/device from the beginning. I'm usually on a company-provided device, but I want complete control over my OneNote as I consult with several companies and have devices specific to each company. My work for each company is similar, and my Notebooks are relevant for each, regardless of which I'm working with at the time. I could easily have OneNote on each of the devices, but I'd rather have one Master OneNote that I could use for myself or for each of the companies if I so choose. Please advise.

Create OneNote notebooks on your personal account. It can be the free outlook.com account or any Office 365 account. Create a separate notebook for each customer. That will give you all the flexibility without exposing any data to individual customer. In case you need to share the notebook with any customer, MOVE the notebook to their tenant - at least while the project is going on. Then move it back to your personal account. Do you have videos explaining how to set up notebooks?. I have been using DayOne for Journaling but I want to move over and do it in OneNote as well as a gardening journal, a recipe catalog, and other thongs. Thank you for explaining that OneNote is free but integrated with OneDrive. We chose to pay for the 1 T OneDrive which includes Office 365.

Setup of notebooks depends upon your needs. I don't have a separate video for it. But I will explain here. - Create as many notebooks as required. - For example, one for gardening, one for recipes, etc - This is a no brainer. But wait. Things will get complicated soon. - Suppose your Gardening notebook has one section which is becoming very important... Then it makes sense to create a separate notebook for it and move the section there. - In short, create a separate notebook for a larger context and sections for sub-contexts. - You don't have to be perfect. Moving things around across notebooks is very easy. Where to keep the notebooks? - OneNote is NOT linked to OneDrive. - You can create OneNote notebooks on a local PC or Mac. - However, if you want it on a mobile phone, you need some cloud storage. - That is where OneDrive may come into picture. - If you go to Outlook.com and create a free Microsoft account, you still get 7 Gb of OneDrive. - If you never want to sync notebooks, create them on the local drive. - If you want to use the mobile app (and) sync across devices, use OneDrive. - The mobile version is very usable. - Works without internet connection as well. - Dictation also works very well. I recommend that you do not use sticky notes. Add pages to existing notebooks and sections. That way, things remain organized. Hi Nitin. Thanks for the clear video. I have a question on access rights. I'm using MS Teams and OneNote quite extensively. I have multiple stakeholders with whom I have 1:1. I'd like to keep all these notes in a single OneNote notebook, and it be selectively editable / viewable for those people only. Can I have a private channels in Teams for each stakeholder group, inside which I keep these notes (as an app), but they are all part of one notebook? I don't want one stakeholder to have any access (even view) to another's notebook page. Can I do this?

Hi Anand Consider the following and then decide the approach: 1. OneNote can be shared with others. 2. Passwords can be set at Section level. 3. You can have one section per person and share the pwd with each one 4. In the long run, managing passwords is a disaster 5. When you create a team in Teams, it automatically creates a OneNote notebook 6. Trying to manage section passwords in Teams notebooks is not going to work 7. Potentially Private channels can work. But don't use them. 8. Why? Because, logically, if you are creating a "Team" and then creating private channels for each team member, you are not doing any "TEAMWORK'. Right? 9. Technically, private channels are a complex implementation and it increases management overheads. 10. Considering all this, I recommend that you have one SEPARATE notebook per stakeholder and share it with them. Let me know your thoughts. Cheers. Doc.

I enjoyed this video. There are parts of OneNote for Windows 10 that I like. It is better in tablet mode. It has that more "Apple feel", even though I am not an Apple person, I think it is good when unleashing your creativity. There are a hand full of thing I would change to make OneNote awesome. It is great, but not awesome. I am currently working on a second degree. I used it a lot last year for taking notes. This year I have been using paper. Wish there was electric ink paper that uploaded into OneNote, not as a PDF, but as native format.

@@efficiency365 in the full version a person can set the size of the page, this is nice of you need to print or make a PDF for someone. Though if a person if work on a long equation they have to create a new page, the pages are not continuous. Another nice feature that Apple apps have, is a preview of the pages (small thumbnail), that helps you search for something. You are looking through your math or physics notes as your do your homework, it makes it more efficient.

Good information here. One thing I have not found is the use of checkbox lists. I really like a grocery list that I can checkoff items and they disappear or get handled differently. Does OneNote have this function?

Hi Donald. Of course OneNote has amazing checklist functionality. Using Tags. You use the To Do tag for this purpose. I have a separate video for this. Have a look: kzbin.info/www/bejne/lYSkXqVjZsh1hrs Use OneNote To Do checkboxes to create checklists. However, if you want to create task lists, I would not recommend using OneNote checkboxes. You should create these as Tasks. You can convert a OneNote item to task by right clicking on it and choosing the Flag icon. @@efficiency365 I looked at what you referred to here and I don't see the relationship to my problem. I just want a simple list of task that get tagged or checked as completed and they automatically get moved to another area or category which they can be easily deleted or removed. I don't see how tags can accomplish this. Maybe you can explain more simply.

If you want simple task list, use the Microsoft To Do app. Create as many lists as needed. Completed tasks can be hidden, removed or revived (for example a grocery item will be required few weeks after purchase). You can create as many lists as you want. In fact, you can add any task from any list to "My Day" and plan your work more easily. Try it out and let me know if you have any queries. Cheers. Doc.

@@efficiency365 I loaded the onenote app on my phone and it has what I was looking for. It makes list with checkboxes that are moved to a completed section below and then gives you option to check those and trash them. That is want I want but the PC version doesn't give that option or even look like that.

Thank you very much for this, a well made summary of important features. Useless info: I'm a student who uses onenote for about 2 years now(for my novels, diaries, journals, record takings, basic notes and more) and I only use the basic features because I am actually pretty lazy to explore it myself, now I am looking on how to use some stuff and fortunately, this video appeared. Although there are still features that I would like it to have(one example is the color fill option), the software is still the best for me.

OneNote is flexible and helps manage unstructured information easily. Earlier, due to two parallel versions (Win 10 app and desktop app), there was some confusion. Now, the desktop app is the only app going forward. Therefore, it will get more features faster.
