Add Additional Mailboxes to Outlook

This video will show you how to add shared mailboxes and mailboxes that people have shared with you into Outlook.
From Outlook
Click File
Click the "Account Settings" Button
Select "Account Settings" from the popout menu
Select your account from the list.
Click the "Change button"
Click the "More Settings" button
Click the "Advanced" Tab
Click the "Add" button
Type the name or email address of the target mailbox.
Click "OK"
Click "Apply"
Click "OK"
Click "Next"
Click "Finish"
The additional mailbox will now be listed at the bottom of the Navagation Tree.
If you have permission to view that mailbox yo will be able to expand the folders by clicking on the name of that mailbox.

Hi Chris, lately im unable to add shared mailboxes to users outlook although they have been granted permissions. This never used to happen before. Error: Cannot expand folder. The set of folders cannot be opened. The file ******** is in use and cannot be be accessed. Close any applications that is using this file. and then try again. You might have to restart your computer.

Simply try waiting. Sometimes when you set permissions on a mailbox it can take like 2 hours for all the permissions to replicate everywhere they need to be. Set the permissions wait, then add the mailbox to the Outlook client you want to use it on. This can also happen if you need to tick the Folder visible box for the folder.

A question though, suppose you have granted David also full rights to manage your e-mail (in your other video you granted David only review rights for email items) what settings in Outlook desktop would enable David to send e-mails either as you (with you in the From) or on behalf of you? I found the "from" in 365 office online app, but not in the desktop version. Thanks in advance.

Editor With this permission, the delegate can do everything that an Author has permission to do and additionally can change and delete the items that you created. Depending on you likely will need to contact your Service Desk or Exchange admin for a user to be granted permission to send on behalf of or to send as you. That permission can be granted from the Exchange Admin Consol.

One question, is there a way to add it without the email showing up in the Favourites Inbox at the top (Actually called the "All Accounts" inbox on my Mac)? I monitor my colleagues email, but it clutters up my All Accounts Inbox. Thanks!

Yes, each mailbox has an Inbox in the navigation tree.

Move your mouse and click "file" If you are working on a corporate-owned PC it is possible that it may be hidden by group policy, and you will need to contact your Service Desk. or you may be using a different version of outlook or OWA. (Outlook Web Access)
