All about our all new inventory system. Some people call it the file system or the magazine system or the Daily Refinement method. 😊 Also I show you how to print inventory labels on my rollo printer.

We have done this for many years, however I use zip top style plastic bags and re-use my inventory numbers. When something sells we take it out of the bag, double check it and wrap in tissue paper. It is more cost effective for us and uses less plastic. At the end of the day we just put the days listings back into inventory.

This is originally the Daily Refinement system, which works great for clothes; Im still trying to work out an equally efficient but un-boxed method for shoes, hard household/decor objects, and accessories like pocketbooks and jewelry.
@angelbabe1977
@angelbabe1977 11 ай бұрын
We do this for our clothes, but for our shoes we have a huge shoe rack where everything is located in its own area and we can just look and grab the item. Hard goods we label the boxes with letters and just put what fits into the box. And of course label the sku with the letter. We just moved to that within the last few weeks. Prior everything was broke down into categories, which was great, but took up more space.

@@angelbabe1977 Thank you. I'm so encouraged to read your comment! I have the shoe racks, and I think I'm going to do the hard goods as you say (I'm also going to put them all in plastic baggies with the SKU, so they don't damage each other & so I can find them). When it comes to really bulky coats and jackets, I think I may try to sneak some rolling garment racks in, and just cover them with transparent Sam's Club clear garbage bags, then put the SKU stickers on the bag shoulders. SO: what I guess is that I'm going to have to orchestrate several different types of inventory storage systems, because I don't want to give up on selling a little bit of everything : )

I love this system, I’ve been using it for a few years now with plastic totes. I love condensing!! It is so satisfying to see how much sells. I do this method for shoes as well. Another pro is I can very easily see where my oldest inventory is.
@FurryPoodle
@FurryPoodle 11 ай бұрын
I use a similar method but I have about 150 clear medium to large size totes (about 25-30 items per tote). I use new numbers each time but I don't condense the totes, just when one gets low I will add to it but that means the numbers in that tote are not in order, therefore I have to label each tote with a letter to know which tote the item is in. I have approx 4400 items in inventory right now. It's fast but a nightmare if you forget to record which tote it went in - has happened to me a few times. Even though I have more items in each tote, since the tote is clear and the items are in clear bags, it is pretty quick to find the item. When I pull items, I will take note if that tote has room and write down the tote letter and then use that tote to add new items.

I started this way w plastic bins but liked having the clothes on racks better. Still have items in bins for hard goods and handbags. Plus, I thin out to local consignment stores after 1-2 years of still, literally hanging around. No longer actively sourcing since last year, just clearing out now 😊

I recently changed to a similar system. No longer reusing SKUs but keeping the box number then Condensing box #s and using new boxes for new listings. I think this will work better for my little store. Eventually will switch to rows instead of box #s once I get more racks. I took advantage of the slow season and sold a ton of stale inventory to Platos which made switching easier.

Omg you’re glowing and your hair is majestic ❤….I was very torn on whether or not to repeat numbers when I put my items in a system, but I decided to repeat numbers, the condensing scared me and I don’t want to mess it up bc I know my dyslexia will get it backwards unless I have someone to walk me through it 😂. Also, I just don’t have a huge space with inventory yet so I figured repeating numbers might help my limited space, but I am definitely open to different opinions and suggestions on it. I find it easy to find orders when i sell something…but I do wonder if it would be even faster if I didn’t repeat numbers, I’m just trying to wrap my head around why it may be faster.
@cayleyelaine
@cayleyelaine 11 ай бұрын
Thank you so much! Just my thoughts so far compared to my old system: Condensing does take a lot of time but is oddly satisfying. You save a ton of time in these places: You no longer have to write down or keep track of skus when items sell because you no longer have to replace them. You don't have to spend time putting items away when you're done listing them (this one was huge for us) Anytime you can't just go to an open box and pluck the item out immediately you are spending more time. Any form of digging will take significantly longer. Some pros I didn't mention is that it's almost impossible to misplace an item with this system because if you forgot to put a sku into the listing all you would need to do is check when the item was listed and go to an item that was listed around the same time and it would be there. Hope that helps! Ultimately if it's not for you, it's not for you. It took me years to want to try this but I'm glad I did.

I would just continue to have the brown boxes labeled, but keep a spreadsheet to record which box the item is in. That way you can still fill the blank spaces in the boxes w new items. You can I'm assuming you already keep a spreadsheet log of your items? If you start your listings in List Perfectly, you can easily see which date you originally listed the item by looking at the date the listing was created/updated. If you track the date the item was listed in the spreadsheet, you can look at LP to see when you listed it, go to those dates in the spreadsheet, then easily find which box the item is assigned to.

I've definitely considered changing my system. I have a small closet of under 300 items so I don't generally have trouble finding things, but as it grows that might change. Right now I have the number in sequential order followed by the COG and a letter bin. Ex. 201-3-A. I did the COG initially because I would paste the SKU at the bottom of my Mercari listings (where I started out) and see how much I paid when I would receive offers. I do feel like it's extra work the way I do it now. But I also don't put my items in bags which I've gone back and forth about as well. Still on the fence with everything. Any thoughts?
@dustyoldhat
@dustyoldhat 11 ай бұрын
Maybe using your actual COG for each item is easier when you have very few items, but consider this. Calculate your average COG and just use that for every sale equally. Sometimes you might come out under your ideal margin, but most of the time you wont and you'll save yourself a ton of time calculating/worrying about that. Just my 2 cents. I calculate mine every month taking a random sampling of receipts from different thrifts, sale days, bins hauls, and just figure out what the average COG is one time (it's almost always within a dollar from month to month anyway - the more I've done it the more I've proven to myself it's worth doing, if that makes sense)
@dustyoldhat
@dustyoldhat 11 ай бұрын
p.s. there are times when i will mentally "override" this to ensure a margin, but they are rare outliers, things that i defnitely remember paying up for for example - but if i paid up enough to remember that i need to pad the profit margin then it would only be something i expect to make a larger profit on. in other words, make your money on the buy. but if i had to reference if i paid a dollar at the bins versus six dollars at the retail thrift every time i considered an offer or priced an item, i'd lose my mind. i will, however, remember picking up something at $15 because i think i can sell it for $50, etc. but also, all the bins finds at $1 that sell for $30+ erase any loss of my minimum profit margin per sale i might incur by taking a $20 offer on something I paid $7 for at a thrift, which would cut into my theoretical $15 minimum profit margin per sale. (hope this makes any sense at all, i haven't had dinner yet)
@cayleyelaine
@cayleyelaine 11 ай бұрын
I think you should do whatever works for you. If you feel like it isn't working then try something different. I personally put the individual cogs in my sku as well but it's not at all tied in with the location of the item. I like the plastic bags because it keeps everything compact and it's easy to pop into a polymailer when it's time to ship without having to refold or lint roll again.

I'm still trying to figure out how this system would work for books. Yes, I know there are a couple of booksellers on KZbin who show their inventory systems, but they are NOT sequential, so you are constantly filling gaps on shelves and can potentially lose items if you forget to record the shelf number after you put it away. Then you risk having to cancel an order. Totes and boxes are also too heavy and books are all different sizes. I currently sort in tubs by category, but this won't work when I have a larger inventory. I would prefer to have oldest stock at the start and newest at the end. Any thoughts Cayley?
@cayleyelaine
@cayleyelaine 10 ай бұрын
Hmmm...I think the only way that would work for this system is if there were a way for you to attached a sku # to the book. Because the number would have to move with the item. Could you make a bookmark like thing that sticks out of the book with the # written at the top?
@lozzieburger
@lozzieburger 10 ай бұрын
@@cayleyelaine Thanks so much for replying! Yes, I already give every book a SKU... I use little post-it notes, a different colour for each month, and they stick out of the book. I don't reuse numbers, they are sequential. I only have a small inventory but trying to be prepared for growth! There is still a problem with all the different sizes, but thinking of having small books on top shelves (in Sku order) and larger books on lower shelves (in Sku order). So I could slide them along as books are sold. A lot of people lie books down but this isn't good for them and also requires a lot of lifting to get things out from the bottom.
