This video is very on point and easy to follow. Just wanted to add one pointer as well. Instead of searching for the 'Legacy tools' in the search box. Simply enable the 'Developer' Tab in word to get quick access to all these dynamic content control boxes and buttons. To activate the Developer tab:- 1. Navigate to File > Options (bottom left) > Customize Ribbon. 2. In the right-side column, scroll down and check 'Developer'. 3. Click OK and you will have a new tab between the View and Help ribbon tabs. Cheers!!

I would also mention to create forms with either all legacy tool form fields or all content control form fields, but if you create a form with a combination of both, end users may have issues tabbing through the form fields once the form is saved as restricted (for filling in forms). YAAAAAAAAAAAAAAAAAAAAAAAAAS! This is the MS Word vid I've been looking for. 6 months ago, we've decided to go with a completely paperless office and it's a huge success. We now use our PC laptops (Dell is my personal favorite brand lol), smartphones & tablets to distribute & sign documents electronically (we also use Internet faxing services as well. Got so tired of the physical fax machines). I'm a full-time Graphic Designer and I also use Microsoft Office 2019 Professional to design interactive forms (in addition to presentations), brochures, newsletters & contracts, for each department of the public relations firm, and I owe it all to you. You can save as either file type. I would only save as a template if you plan to use it over as a template. Otherwise, it will still work for users if you save as a .docx file type and your users also use Word. Hope this helps! Thanks for watching!

Hello - do you have your Developer Tab enabled? Hi Shelly! So glad you found my video helpful! Unfortunately the form fields won't work if you save the document as a PDF. You would have to use Adobe to create a fillable PDF form. Hopefully your users have MS Word and can open the form in Word. I hope this helps. Thanks so much for watching!

Sorry for asking an additional question.... I work at a nonprofit and am trying to figure this out on my own - we do not have a IT department! The challenges of working in a nonprofit! :)

Hi Sharon. I work for a MNC and amidst the countrywide lockdown in India we were trying to roll out a fillable PDF form for clients. The developer tab is hidden by default, and though I am proficient at Excel and Word, this never caught my attention. Thanks to your session I was able to turn it around in a matter of minutes. @@SharonSmith Hi Sharon. The date field is posing challenges. The calendar does not have a scroller for Years and hence you can only navigate one month at a time left or right. Since the field is protected, user can't type the date either. Hence it becomes a challenge for entering say Date of Birth, when you need to go back 30-40 years one month at a time :(

Oh, that doesn't work well for your users then...as an alternative, you could insert a plain text form field so users could type their Date of Birth. Hopefully Microsoft will enhance Date Picker in the future!

Hello Sharon! Thank you for your video. My check boxes are not working. Please advise. I went to Legacy in the search and used the Legacy Form Tools check box for all of the check boxes. I have only used check boxes throughout the form. I have not changed from the same Legacy check box that I copied throughout.

Hello! Have you restricted editing to "filling in forms" and then tested to see, and it is not allowing you to check the box? I would recommend enabling your "Developer" tab on the Ribbon if you do not already have it visible, simply right-click in your ribbon area and select "Customize the ribbon" and ensure that the "Developer" box is checked in the 2nd column under Customize the ribbon-Main tab. This adds the Developer section in your ribbon menu. From there, you'll see a section for "Controls" and you can hover over the different icons. There is a Legacy Tools drop-down with the check box option. Try adding this (should be the same thing you were using through the search tool). If this does not work, I would start over and build your form using the "check box content control" instead. Hi Sharon great video! How do I make it so that the text changes to the format of the surrounding area? I have multiple text formats throughout the document and I need it to change accordingly

Hi Rodrigo, you may be able to use the Find & Replace feature in Word to accomplish what you are trying to do. Here is a video that might help a little: kzbin.info/www/bejne/npiQk6qOmddsmNU There are some advanced features when you click "More" on the Replace Tab. You can place your cursor in the "Find what" field then press More at the bottom to expand the menu. Then at the bottom you will see Replace - Format and select Font. From there you can find anything Bold, Capital, etc. and replace it with the desired formatting by using this feature. I hope this helps! Thanks for watching!

Hi George! If using Legacy Tool form fields, you can't change the color of the form field, but you can turn the grey shading on or off. To do this, be sure your Developer tab is enabled and when you drop-down to select a Legacy Tool, select the icon that says "Form Field Shading" when you hover over it, and that will turn the grey shading off. If you are using Content Control Form Fields, you have some other coloring options in the Properties of the form fields. Thank you for your wonderful videos. I followed your instructions and created a great form. However, when I click the Review tab, then Restrict Editing, click Editing Restrictions, check the box to allow only this type of editing, then filling in forms, but then I am unable to click the next section Yes, start enforcing. Any thoughts on what I might have done to stop being able to take this step?

I have created a form as instructed and while in Word after saving and enabling "Filling in Forms", I have sent it as an attachment in an email. The attached form is displayed in the email, but when opened in cannot be "filled". Any ideas? I am frustrated! Thanks, John

Hi Sharon, I have a question. I added both legacy form fields along with regular drop downs and calendar formats.. I restricted editing after this. Now when I keep going through my open editable fields by pressing tab, it skips the legacy form text fields. How do I incorporate these in my tab flow. Please Help!! @Sharon

Hi Tim! Be sure your form uses either (only) all legacy tool form fields or all content control form fields. You can't mix and match or user's won't be able to tab through the fields after the document is protected. I hope this helps. Thanks so much for watching my videos!

Hi Sharon, love your tutorials. I'm building a fillable form that has collapsible sections. I want to restrict editing but still allow the user to collapse sections that are not applicable. When I restrict editing to "filling in forms" and attempt to collapse a section, it immediately expands back again. Can you guide me how to correct this behavior? Thank you in advance, Rodney

Hello! I like using Legacy Tool form fields because of what you can do with the properties. Even though Content Control fields are "newer" there are limits to what you can do with them as compared to Legacy Tool form fields. However there are newer types of fields with content controls, like the date picker, and the ability to insert a picture form field. It just depends on how complex your form needs to be. Hi Debra! If you are using legacy tools for your drop-down box, the first drop-down item you list will be visible (kind of like a default). You could put "Please select here/below" and then place your drop-down box with the default answer option appearing first. If the user clicks in the drop-down field, they will see the other answer options and be able to select any of them. Hoping this may work for you! Thanks so much for watching my videos!! Take care!

Hi Sharon, your videos are great and very clear to follow. I have a query that I wonder if you can help me with? Using plain text content control in a Word doc (not legacy tools) I would like the text to appear in one colour so the person filling in the form can easily see it and then when they complete the form for the colour to change to the same colour as the rest of the text. I know it's possible as I've inherited a document that does this but can't figure out how it's done! Any help from you or your viewers would be wonderful.

Hello! Yes, your users will need to open and fill in the form using MS Word in order for the form fields to work. Unfortunately opening the form in Google Docs or another application won't work. Hi Sharon, I try to set up a letterhead template and have made a fillable form for the recipient, reference number, date, etc. After this the actual content of the letter should continue and it must be possible to format the content with text styles. How do I get to this?

Hello - this is only fillable in MS Word. You can convert Word forms to PDF, but you will need Adobe Acrobat DC to edit fillable forms for PDFs. Thanks for watching!

Thank You So Much. Very clear explanation. I have a very big problem after creating whole bunch of pages. When the file is unrestricted the "tab" key just works fine and navigates to all the Plain Text and Check Box tabs. But when I restrict the file, Tab key works only til the Plain text box once it reaches the check box tab it jumps to inappropriate check box and tab key doesn't works After that. I checked the Proofing option it's set correctly. Could you Please Help.

Thank you so much for these videos. The instruction and visuals are clear and concise. One question I have. I am testing the fillable areas but I cannot see the text. Appears the font size is extremely small even though my original setting font is not.

I would recommend stopping protection on your form and then selecting your form field and re-applying a font size format and then test to ensure it is working.
