This is a basic 101 overview/tour of how I use Notion for task management.
Many folks are skeptical about task management in Notion, but it's the only thing that has really worked for me personally!
Yes, it takes time to set up, but maintaining it is easy once you've got it going! There's no other tool that gives you this kind of granular flexibility, and the ability to embed this task database inside any other number of pages.
There are SO MANY nuances to using Notion for Task Management, so this is only part 1 :)

What I learned from this video is: - Instead of checking the "Done" checkbox AND moving a task to "Completed", just make the checkbox a formula that if the status is Completed, then checkbox is checked.

Thanks Marie, another inspirational video. You've really helped me level up my Notioning, and for that I will be eternally grateful. I'm moving house in a couple of months and am using Notion as a tool for managing that, as well as my business. My first thought, when realising we were moving was "how would Marie do this?" :)

Less than two minutes in you've introduced a formula that will totally improve how I use Notion! I too like having a Status tab and a Done checkbox. I've disliked doing it manually but adding a formula to it is genius.

One thing I thought about while watching your priority and pm formulas, was an idea for beginners. I've written a lot of complex formulas in excel, so I grasped it pretty quick, but for beginners, it could be more of a simple math problem. It would take a bit of experimenting but impact and effort would be numbers, then priority would be a simple multiplication problem, sorted descending. So, Impact and Effort may be 3,2,1. So, High-Low is a 9, both High-Medium and Medium Low are 6, High-High is 3, M-M is 4, and L-L=3, so that's slightly different than yours, but gives the same general effect. Just a thought, but I really like working in the Eisenhower matrix to my daily tasks. Thanks for all of your work. I'm a big fan.

Hi Marie Thanks for providing this content, its always good to see how others build their Notion environment. What is the purpose behind the done checkbox, it looks like a binary representation of the status and I would be interested to understand why you need it?

Hi Marie :) love all the inspiration. You’ve been a huge help setting up notion. Quick question - how do you deal with archiving things? Given that you have so many relations, won’t it mess everything up? Otherwise you can’t really go back and look at old stuff...?

Great video! How do you manage recurring tasks in notion as that's one of the main reasons why I haven't moved my full to-do list from todoist yet?

Joanne O' Brien I have a set of recurring tasks that are given a tag (Day: Recurring) and then I display those tasks separately on my dashboard as a list of recurring tasks. Display DB list with filter of day property = recurring

I started using Notion TODAY, and I'm so glad I found this video right off the bat. Love the Priority Matrix, I'm using it already! Question re: kanban view - I noticed you don't have all Properties for each task listed in each kanban card. I'd like to simplify what is viewable as well (task and Impact, for example). How did you do this?

you can always adjust each views properties using the 3 dots in the right hand side of your database. Choose properties - and toggle what you want to see :) this is an older video - my most recent one about project planning with energy is more up to date (but admittedly more advanced...)

and I forgot this question...I noticed that you use today, tomorrow, and so on...do you not use the monday thru friday setup? It's a curious idea, if you don't. Seems like it keeps things simpler and general.

@@blacksheep_77 Nope - I used to use monday-friday, but some tasks are a little more flexible than others, and rather than continuing to move them through each day, I'm a little more flexible on my "tomorrow"/"next". But whatever works for you! I still have my weekly agenda where I do a good chunk of my planning and have task focus laid out by day of the week (See weekly agenda video).

@@MariePoulin so, if you are "off the grid" for 2 days and you come back home, you find the same tasks in "today and tomorrow"? this means, that deadline on tasks is another story

@@MariePoulin I brought in the template and have set this up on a basic level...I have to say, this is where Notion is blowing my mind. This kind of granular control of what you can see at any given point is astounding. I think this episode alone has brought the final piece of the puzzle into my setup. Also, you should do a series on formula writing. The language seems really easy to follow, it would be fun to see you do an office hours with a formula nerd...er...professional.

Good morning Marie Great videos on setting up Notion which I have followed along with as far as practical in relation to your specific procedure/management system and that required to satisfy my own needs. I'm sure you will agree not one size fits all but your videos are pack with useful info that combined/tweaked can be applied to other requirements. Q - Will you be dealing with file management? I'm sure I'm not alone when I say I get numerous emails containing an even greater number of files I need to reference/use to fulfill my project tasks etc. I'm really struggling with how to store these in Notion without what appears to be a very long-winded method of drag and drop then review then rename etc etc etc.. Alternative can you point me in the direction of a useful resource to answer/look at this?

I think is the 2nd option, she have to manually tag tasks into 'today', 'tomorrow' etc - because we can't group by formula in board view (see the 'using dates' section) www.notion.so/Task-Statuses-65a7d364f73c4fc8ba5e878ed3eaa0c2 That is, the 'day' property isn't a formula but a select property.

I've been working inside Notion for about a year and a half, so my task management has DEFINITELY evolved over time as I got more and more comfortable with the tool. It grows with you :)

interesting to see that you "moved" parts from PARA. I assume Areas and Resources are within "Oki Doki"?

Ha, yes, Oki Doki is basically *SHARED* Areas + Resources. Then i have a private/personal dashboard that is all my private areas + resources, along with my embedded master task database. An update is definitely due because it has changed a lot!

Quick Question. I'm going to carve out time for your office hours soon, but I wasn't clear about your day column. I assume that is just a text field, that you assign via drag and drop? And next is somewhere between tomorrow and someday?

Yes to both. I have a "day" property so i can view in a kanban board view. Next is usually my tasks for the week, and I can activate things by dragging them into my Today column.

Hi Marie! Great video as always! I was wondering. Where did you write the "Today, Tomorrow, Next, Later, Someday, Recurring weakly" on the by day kanban? I noticed that if I write them on the impact categorie i can not see what impact it had but only the categories I mentioned above. Do you have any ideas on how I am supposed to do that?

Jesus Kristus there is a property called day, and the kanban is organized by the day property. Check out the template provided in the video description. Boards can be organized by any multi or single select field, but you have to choose which field the board is grouped by in the database properties: click the 3 dots, group by: and choose the property of day.

@@heru77777 @Marie Hi, I have this exact question. I've looked at the Task template provided, but it doesn't seem to have the Day property, so I can't quite figure it out.. Do you just manually input "today", "next" etc. under the "Day" Property? Or is there some way to make that automatic?

6:24 You are moving task according to their day property (tag-type). Is that movement automatically change the due date of a task? If not should you after moving task to another day change the due date manually and don’t you find it inconvenient? In this board (6:24) the due date is not shown but taking other surface which is dependent on the date (calendar view e.g.) you will have a mess, won’t you? Thank you very much for your answer!

I use one or the other, either “day” or “date”. Changing the day doesn’t change the date automatically. Day is when I work on it, date is the actual due date. In this iteration, I don’t use the date property unless there is an actual due date (which often isn’t the case in my business)

SUPER helpful, as always! Thank you!!! Question.... you said something very interesting... instead of creating a linked database block to bring your master task list into a new page, you'll use the link and embed it in the other page so that the same view appears on the page as you have on the original. Is that right? I've been trying to figure out how to not have to rearrange all the columns whenever I create the linked database on other pages. But I just tried it using the link, and the columns were all a mess again. Can you clarify how you do that magic? Thank you! Bought you a handful of coffees... enjoy! ☺

Hey thank you so much Steve! I rely heavily on templates for this very reason! I have my task database embedded inside my weekly agenda. From there, i can duplicate the embedded view, and Cmd+shift+p to move that view to a template or other page. If you just paste a link as in, you have to set up the views again. I hope that makes sense!

@@MariePoulin You are SO welcome. You give SO much!!! To confirm: I took my original Task DB in Page A which is all pretty and set up just right. I DUPLICATED it on the same page so it created a copy of Task DB on Page A (now I have two identical copies, which are NOT linked in any way... they do not cross-update like a linked database does). Then, with the duplicate selected, I hit: ⌘⇧P and move it to Page B. Right? That worked perfectly for me. And... to confirm... now I have two identical DB's but *they don't cross-update each other.* So I'm assuming you only use the copy of your database in your agenda simply for reference, but not as a working DB, right? Otherwise, how do you keep them in sync. (And, I get that buying you coffee doesn't also mean that your obligated to give me a personal training session on database functionality. So, please don't feel obligated to answer if it bumps up against a boundary for you. #stillgrateful) . Thanks again!!

Hey you briefly mentioned at 7:40 that you "copy link to view" and embed that link to your weekly planner. How does that work for you? how do you embed that? I can't figure it out.

Tyler Storz you can copy/link to any single other block in your space. You would paste the link to your database inside your weekly planner, create any views you want by default, so they’ll be available each week when you create your new weeks agenda. Does that make sense?

Hello, thank you for these inspiring videos! Lost my weekend over them =) I have a question though: Having this global action database, how would you organize something like Meeting Minutes template? Say I have a meeting in the scope of project A, and I want to make meeting minutes of the meeting (which I do by creating a page in a special Meeting Minutes database). The challenge comes when I want to add some action items on a project discussed straight from created minutes page. So I've been struggling to do this, maybe you can point me in the right direction?

@@MariePoulin So you basically see the same action items (filtered somehow) in all meetings, right? So you can't see retrospectively which meeting triggered this action item, or I'm missing something? Sorry, I'm new to Notion)

How to you prioritize tasks that are, say, high effort but urgent? I have about 75 to do items at any given time and these tasks are tending to get lost unless I jot them down somewhere else so I won't forget them.

Igor no, but I just add my notes to the database entry. I clip PDFs into Notion database and then layer in my notes. I sometimes also use PDFexpert to highlight the PDF which I can then export to Notion.

Hi Marie, with the IF formula below: if(prop("Priority Matrix") == 1, "🚨🚨🚨🚨🚨", if(prop("Priority Matrix") == 2, "🔥🔥🔥🔥", if(prop("Priority Matrix") == 3, "⭐ ⭐ ⭐", if(prop("Priority Matrix") == 4, "☕☕", if(prop("Priority Matrix") == 5, "😴", "❓"))))) I keep getting an error message stating 'Property not found: prop('Priority Matrix')' - would you know where am I going wrong here?

Joshua Akparanta do you have a priority matrix property setup? The link to the task database itself should be in the description - however I’ve actually already made some simplifications which I’ll cover in my next video!

Ok so to answer my own question, I didn't watch further to see that I had to add another 'Property Matrix' column that converts into a formula. The formula used for this column being: if(prop("Impact") == "Low", 3, if(prop("Impact") == "Medium", 2, if(prop("Impact") == "High", 1, 3))) + if(prop("Effort") == "Low", 0, if(prop("Effort") == "Medium", 1, if(prop("Effort") == "High", 2, 2))) It's now working perfectly!

"Eat the frog...?" *shudder* What kept me in Task Warrior is the ability to let tasks depend on one or more other tasks. Is there a way to do this in Notion? Might you have a video on it already?

You need a project management tool, Bert. You can define task dependency in those tools. Please check this monday.com which I've been using for years - kzbin.info/www/bejne/rXe9dJeCjNGCgrc . I have started to use Notion for daily journaling and replacement of Confluence. Hope that helps.

You may try clickup.com/. Its Task and Project Capabilities are massive. Been using it beside Notion for very complex work projects. It's worth a try

you spend more time filling up this template than getting things done. use the reminders on your iphone, it's way more easier, and you don't have all the trouble filling up a spreadsheet that. by the way, looks horrible on mobile devices smh

John Constable I only really use it on desktop, and once your system is set up, it’s super easy to add tasks using templates. it’s not for everyone, but this is a system that truly works for me, and so I’m sharing what works.
