I'm an educator not a business person, and I found it a great instrument for tracking my students, parents, teachers and the students grades. Maybe it isn't for every educator but with a simple set up with this wonderful instructor it is possible, GO EDUCATORS!

I'm enjoying the course so far and I appreciate all effort you have put into these lessons. It's a great refresher from my Access 97 & 2000 days. I want to make a couple points about what you said though: 1 - Do NOT mistake the AutoNumber field for a true primary key. The AutoNumber type only creates unique numbers for each record. It does NOT prevent or eliminate duplicate information in your table. Meaning you could have the same customer info in multiple records but with a unique CustomerID number. In this case, you will not have data integrity and any query results and reporting for that customer will be inaccurate. 2 - Also, you would likely never delete records from the customer table once the database was actually in use. You would simply set the IsActive field value to No (uncheck the check box). Deleting records from this table would create orphaned records in other tables that held data for these customers. I realize it's early in the series and you may address these points later on, but they are important to know and for people to think about up front when creating tables. Thanks again, I'm looking forward to the rest of the series.

R Tee The AutoNumber field is a TRUE primary key. It is a unique identifier for each record. I understand what you're referring to, but that's more of a training issue than a database issue. Users should be instructed to see if the customer is in the database FIRST before adding a new customer, and you could set some of the fields that should be unique to "INDEXED, NO DUPLICATES" if you want to make sure you don't have two customers with the same address, phone number, or email address, but this is something you'd build into your database yourself. The AutoNumber, however, is a true primary key in every sense of the word. I do agree with your about deleting records. I personally prefer to NEVER delete records from my databases (especially customer records). Yes, it's much better to mark them inactive. You can prevent "orphan" records by using referential integrity and cascade deletes, however this would then delete things you may not want deleted, such as order information, which would mess up your accounting. These lessons are fantastic! I took a course in Access (I forget if it was undergraduate or graduate level) in 1995 and got an A in it. But I've learned more, or have a better understanding, from watching these few videos than I learned in that class. (The other two classmates got most of the work done on our project, and I know how to take tests.) Of course, these videos can be stopped and backed up over and over, which is very helpful to me. I'm amazed at how simple the learning seems so far. And excited about all the ways I'll be able to use a database, both at work and at home.

Ive been following these tutorials to get a real taste for Access, and I have found the teaching style and instruction to be fantastic, however as part of the course I am doing my knowledge of Access is a little all over the place so what would be really good is if you could create a link where you could download the entire video collection covering all the tutorials so you can have them on a portable device if you're in a location where you don't have internet. For someone like me this would be a very valuable asset to have in my tutorials collection

In older versions I remember that I would add new names at the bottom of my database or table and when I closed it the name would automatically be alphabetized. Now it seems to go in order of the ID. Am I wrong about this?

Zeitgeist TTD Where in the video did you see this? Autonumbers should always be Indexed No Duplicates. They have to be in order to be a primary key field. You CAN change the setting, but it doesn't matter because you can't change any of the automatically assigned values.

+Michael Smits Yes, you're right. But that was BEFORE the CustomerID field was set as a Primary Key. You can check to see that, AFTER setting it up as a Primary Key, it was automatically changed to - Indexed: Yes (NO Duplicates). Hoped this helps and clarifies things. One question, What if I create one database and 3 different people are entering data each in their own computer, is it possible to later on merge the data coming from these 3 people so we have only one data base in the end? I show how to do this in Access Expert 21: 599CD.com/XDPJRM If you are in different locations and you don't have Internet access, you could export and import the data into a master database, which I show in my Expert 23 class: 599CD.com/XLNQAX If those people are in different locations, but have Internet access, your best bet is to put the back-end tables on a web-based server, which I show in my Access Expert 24 class: 599CD.com/X1EDR8

If I were running a non profit organization, would you recommend placing a "giving" value in the customer's information as it is a fluid number? Say for instance I have a member of a church that tithes but offers extra money for a food pantry. Would you create a field for tithing and a field for food pantry in this member's table or would they go into another table completely separate from the member info table?

Hi question for you --> You mentioned using a calculation requirement to determine the use of text vs. numbers on an integer input. Is it possible to then change the data type later (3 months after building your db) from text to number if you need to? Thx.

Sure, you can change data types later. If you have any non-numeric values in that text field, they'll be lost when you change it to a number type. Also, you can convert text to number on the fly using functions like CINT() but that will slow things down.

Do you talk about Access documents that are linked to Excel in one of your tutorials? It is not allowing me to make changes to my design view because it is a linked document. Question -- I am creating a database to store a LOT of information about clients. More than just contact information, each client has a profile with household member information and living preferences. Would I create one table with the client contact information AND all the fields for their profile (would be around 40+ fields), OR would it be best to create a separate table for their extra profile information?

Sarah Vowels There's no reason why you couldn't have one table with 40 fields in it. If you're talking about hundreds-of-thousands of records, however, you might want to make one table with the info you'll have on EVERYONE (name, address, phone, etc.) and then a second table for the details you only have one SOME of the clients (demographics, etc.). This will save space in your database, BUT I wouldn't worry about it unless you've got LOTS of data. I cover this concept when I talk about "extended customer info" in my Access Expert Level 4 class: 599cd.com/XLRZML
