Thanks for this! Will definitely implement these tips as I’m really struggling with staying on top of things. Collaboration with others outside of my organization is also a challenge, but I’m not sure if that’s a MS on Mac issue or me just not knowing how to properly set up things for collaboration with external users. I get paralyzed by trying to figure out the best method for staying on top of things between what can be done in Outlook vs To Do vs Teams vs Loop. I will definitely try out these tips - biggest change will be to not have my Outlook open all day. I need to turn off my notifications on my phone / watch / iPad as well. Now I’ll just need to remember to schedule email processing time. Thanks again, great video.

Jonathan, if I've categorized an email as 'Next Actions', flag & archive it, then customize its name and due date in To Do, but then realize I should delegate it to someone else on my team, what's the best practice for assigning that task? I don't see where I can easily assign it to a team member with a due date right from To Do. Is that possible?

Two recommendations: One would be to turn OFF Sender Image under the settings. This will remove the colored icon next to the email. It just takes up space, and unless you are in an Exchange org it will usually just be letters and random colors. The second is to make sure you set the default email client in macOS to Outlook from Mail, unless you use Mail. You have to open the Apple Mail client and change the default mail client from Preferences.

Thank you for a great video. I use almost the same system as you - it works really well 😀I have placed the four categories in favorites on the left side of Outlook. This way, I have quick access to my categories. For me, it works faster than searching for each category every time.

if you BCC yourself in sent emails (as taken from the official GTD guide, by the way ...) you do not need to move anything manually, just set the rule, so that it categorises the incoming email "waiting for..." and move it where you want.

This version of Outlook is a huge step backwards due to the lack of rules for IMAP accounts which even free programs like Thunderbird can handle with ease. Also, categories are gone. New Outlook is easy on the eyes but some basic functionality is not there. Microsoft have been working 3+ years of this Mac version of Outlook and not much progress has been made, too bad.

I have tried and tried to use outlook on the Mac and it is just not workable. First of all, when you delete or archive an email, it only opens the next email down on the list. It never moves up. The shortcuts are just weird. And the Calendar displays things that just don’t make sense. The online version of Outlook is so much better, feature rich, the shortcuts are easier and it is a lot easier to attach documents. Thanks for the video but the Outlook app for the Mac needs a lot of work.
