A great strategy is to use facilitated techniques that ensure balanced participation while subtly managing dominating stakeholders. Start by setting clear ground rules for the workshop, emphasizing equal input from all participants. Use techniques like round-robin discussions to give everyone a turn to speak, or leverage sticky notes or anonymous digital tools for collecting ideas to ensure quieter participants can contribute without direct confrontation. When a dominating stakeholder interrupts or overshadows others, politely redirect by summarizing their point and inviting others to weigh in, saying, “Thank you for that insight. Let’s hear from others to ensure we get a range of perspectives.” Additionally, assign them specific tasks, like summarizing points or tracking themes, to channel their energy productively without dominating the conversation.

You're welcome! And thanks for watching. The parking lot list is definitely my go-to method for keeping a meeting on track. I generally place the parking lot sheet at a visible location at the beginning of the meeting and provide the guidelines for how it will work.

Use tactics like calling on quieter participants for their input, paraphrasing dominant contributors to acknowledge their points without allowing them to monopolize, and redirecting conversations back to the agenda if they stray. Employ neutral, inclusive language and emphasize the value of diverse perspectives. If tensions arise, diffuse them by refocusing on shared goals.
