If you put your flight number in notes, it will turn it into a link that shows the flight status, and even shows the plane's location on the a map. It even shows the terminal when you're leaving and the baggage reclaim when you land.

I tried “Spirit 1852” but it didn’t hyperlink. I had to use the airline’s 2-letter code NK. “NK1852” worked. Same for other airlines. For example use DL2863 instead of Delta 2863, AA1896 instead of American 1896, etc.

Nice video. Here’s another tip… You can also pinch and spread between the compact, stacked and details views. This is most useful in details view because you can spread beyond the default 3 rows of events to show up to 12 rows of events.

New subscriber here, looking for how to get rid of new ads that are appearing at the top of my calendar in the all day spot and at the bottom of the calendar, it says accept, maybe or delete. Every time I tap delete, they reappear. Your videos are very informative. I’d like to suggest opening up your subscription to a whole new audience of people who suffer from Misophonia- the background music for somebody like myself who does not suffer from it finds the little tinkling in the background quite annoying, but thank heaven, you do have it low, but I could do without. Thank you for this consideration.😊

My guess is that you have added a subscription calendar that is providing those ads. Open up your calendar section and look for any calendars that you didn’t create or don’t want to see . Deleting them should eliminate that annoying problem. And as far as the comment on music, you’re not the first person to make that comment… And I hear you. Starting with the videos I’ve released in the last two weeks, we will no longer be putting background music during the video. Hope that helps.

@@TheMacWhisperer time permitting, I will be watching your previous videos to learn more about all my apple products My biggest current confusion, which has nothing to do with calendars but is also something you've never addressed either (from what I can tell), and that is overall battery health optimization... For my macbook, I saw/read that for overall health longevity to once a month fully charge to 100%, and leave on charger for a couple hours longer. Then run the macbook until it shuts down from low battery. Now for my iPhone, for same reasons it was explained that the lithium ion battery does not like to carry a full 100% charge, and if it does, it doesn't want to do so for very long. The solution to this is the new set maximum charge option, which I've set to 90%. I should also mention that the same source says that the battery doesn't like to be fully discharged. Two nearly opposite trains of thought for the lithium ion batteries (I think my macbook has a lithium ion battery 🤷🏻♀️). So which is correct? And where does my iPad fall into all of this? My apple watch as well? Yup apple pretty much owns my soul!! 😂

No you can’t separate every event by a different color but you can create as many different calendars as you need with different categories (medical, personal, household, family, work… Etc.) and then create specific events in those categories. It’s not the same as having every event color-coded, but it allows you to color code the categories which in my opinion is more Valuable and easier to do. If I had to manually select the color for every event when most of my events fit into a specific category it would make me crazy, but simply choosing the personal category for all personal events or the family category for family events simplifies that process dramatically.

It can be done, but I didn't show it in this example. When it gives you the total number of events, you can just say "Read all events" and it will walk you through everything.

Thanks for the video, excellent, as all your other precious videos. I found disturbing that there is not a way to let the day start at, say, 7.00 am. On every day I have an empty space from 0.00 to 7 am that are times where I do usually sleep. There was an add-on that allowed to set the starting time of the day, but, it disappeared or it is not available in Italian language. Thanks to your other wonderful video about reminders, I now switched all my activity about calendar to Reminders, which is now powerful and really performing.

Yes, some third party apps have the option to select when your day starts... Unfortunately, that is not one of the features that Apple has set up. It doesn't really get in my way... But I understand that it can be problematic for some people. Unfortunately, it's just not something we can do without a different application.

Absolutely, go to settings, and on the computer go to Internet accounts… On the phone go to apps, calendar. Add your Google information into that section and the calendar appointments will show up in the Apple calendar app.

Thank you. Great video. I have a question also. I share a calendar with my spouse, and have my own calendar, and even a separate travel calendar. I would like to use create categories as another Event field (under Event Location) if possible. I can not use the color coding for both calendars and categories. Any thoughts?

There's no way to add a different event field to separate one calendar into distinct categories. What you may want to do is share separate calendars with your spouse and use color-coding that way. You can share multiple calendars with anyone, ensuring that your travel calendar, personal calendar, and shared calendar are all distinct. I recommend setting up multiple categories for various appointments to keep things simple, but there's no way to do that without creating separate calendars.

Absolutely! But you need to do it from the computer. If they are calendars on Apple, you can right-click on them and choose "Merge". If they are calendars on a different system, you go into the file menu, export it to your desktop, go back to the file menu, import it in, and add it to an existing calendar.

i just have mine on lock screen with face to unhide info. i have day by day bc don't want to be worried about next day i live in now. for adding events etc i use siri or a shared google cal where ppl can see my day add themselves co,or code things etc. once month is done it auto archives the past info to save room, time, privacy reasons etc. good tips tho passed to a few ppl who needs to learn basics lol.

If your contacts have a birthday, there is a specific birthday calendar that will automatically move to the Apple calendar. If you are setting up other dates like wedding, death date, anniversary dates, they will not automatically move to the calendar and you will need to manually add them.

Because many people use Gmail or another service for their calendar instead of Apple, this can be complicated. You want to make sure you are sending it to their proper Apple email address and that they are using Apple for their calendars, not Gmail. Once you've done that, they should see the invitation inside the Calendars app by the inbox. Sometimes, if I have a lot of problems with sharing a calendar invite with someone, I will have them share their calendar with me instead. Remember, you can't share Google to Apple or Apple to Google; you have to share Apple to Apple.

Unfortunately that’s just a programming glitch. You can ignore what it calls the first alert and when it calls the second alert. It will pay attention to the earlier alert first even if it shows up as the second one. I haven’t found a way to fix it, and I hope they do in the future but it doesn’t affect usage.

If you go into the Settings section, then to Calendars, and finally to Calendar Accounts, you can add any other account so that you can view all of them in the Calendars app. There should be no problem signing into your Outlook account or anything else in order to see them all there. Unfortunately, it's next to impossible to synchronize Apple's Reminders app with Microsoft's app. 😕 The best thing I can suggest is, instead of using iCloud Reminders, use the Office 365 Reminders through the Reminders app. 📅 They should show up in the Outlook and 365 apps as well, but the iCloud Reminders never will. 🚫

If you use the day or week view, and press and hold in the 'All Day' section at the top of the day, it will automatically create the event as an all-day event. But there's no setting to make every event all-day because for most people that's just not a common enough situation. You can also create all-day events by asking Siri to create them. But if you are pressing the + button, you are always going to have to adjust it manually.

There are only 3 sizes for widgets (small, medium and large)... the 4th option is not actually a widget. It's the ability to change something into an app, but you will only see that option when starting with an app and turning it into a widget, not when clicking on a widget itself.

Great video!! I have always used the Google calendar because I could make each event as I enter it a certain color (so birthdays are red, boarding dogs is always green etc). When I go to the Apple calendar it looks like all my events are on this calendar but looks overwhelming. How call I clean it up to look less confusing. If I create a calendar for birthdays hire do I get that event under the right color? I have to find that calendar and then enter it?

You don't need to create a birthday calendar because it's automatic with Apple. Any person in your address book with a birthday on their card will automatically show up in the Birthdays category. Create additional categories for specific things like doctor's appointments, dogs etc. and color-code them as needed. You can do that easily by clicking on the Calendar button at the bottom middle of the app. Then press the 'i' to the right of any category to change its color, or click to add a category at the bottom.

You can't easily share calendars from different services with each other. You can make them public (either from the Google site or from your Apple Calendar), but you can't link them properly. That's one of the flaws of having calendars on different services.

That’s not something that I can make Siri do, but if you look online there are thousands of holiday calendars that you can subscribe to with all sorts of options like major holidays only, Jewish holidays, or even all of the upcoming Lakers or Dodgers game… Just do a Google search for iCal Subscriptions and you should find one to your liking.

This was really great info. I am a bit confused on two points. I’m on 18.1 and when I check off a reminder in calendar it is not removed as it is in your demo. Also, should reminders not completed on the day scheduled move to the next day?

Inside the calendar settings is a section called "Show Completed Reminders." Uncheck that, and they will disappear when they are clicked. As far as reminders moving forward to the next day, I am looking into that...

Great video full awesome tips. With the integration of Reminders into the Calendar does not leave much reason to choose an alternate calendar app. I will say I am frustrated that Reminders that are not completed do not rollover to the next day in Calendar. This is a big omission that Apple should add. Looking forward to future videos!

Not directly… You can dictate them in but you can’t have added it to a specific event. Hopefully that will change as Siri gets the 2.0 upgrade coming later this year… But for now it’s a little more manual.

The only difference I see in your video - great information BTW - is that when I click on a reminder in the calendar app to show it completed, it does not disappear from the calendar listing. This is true whether it's a repeating reminder or a single instance. All that happens is that the reminder dims a bit and the circle is filled in, but the completed reminder is still there cluttering up the calendar events listing. I'm using ISO 18.0.1. Is this something that changes in 18.1?

You know Mike, that's a good question. I didn't test it on 18.0.1, all I know is that it properly clears completed reminders in 18.1... Maybe there was a glitch on your phone, or maybe it's something they fixed. I'm not sure... But on Monday when Apple officially releases 18.1, go ahead and upgrade, and see if it fixes for you, and then we'll both have an answer.

@@TheMacWhisperer I think if you go to the reminders app and click the three dots in the right hand top and you toggle the "show completed" or "hide reminders" switch it will deal with the issue. I have 18.01 and this hides the completed reminder in both the calendar and reminders

I just tested mine (18.0.1) and it only dims. But I like it because then I know it’s done. Sometimes I refer back to something. But I get what you’re saying about cluttering the calendar. I just don’t have that much on my calendar 😂

The answer is to go into the calendar section in calendars and at the bottom there is a check box that says show completed reminder reminders. If you unelect that they will disappear.

Absolutely. Open up the Calendars app, click on the Calendars button at the bottom middle, and in the list, uncheck where it says "Scheduled Reminders" to make them go away.

Great tips, once thing I wish Apple would allow us to do is invite people via text to an event, rather than email, I feel like people rather get a text than an email that gets lost in the mix of their many other emails, plus the younger folk in my life, don't use email nearly enough as they do text.

I totally agree that that would be a great way to do things… Unfortunately the vast majority of people have their calendars tied to their email address (not their phone) which means it’s not really an Apple system… We need to change its the way the entire world registers their calendars… Which is a way heavier lift. For the time being the best thing that you can do is send them the information about the event in text, and let them create their own calendar appointment for it… Hopefully somewhere in the future calendars can be shared directly to mobile numbers and simplify this process, but it’s gonna take more than Apple flipping a switch to accomplish that.

Is there a way to create a reminder on a specific date/time that will transfer automatically to the next day if it is not checked off on the day it was programmed initially? Something I would describe best as a sliding to do list. That feature existed on Palm Pilot over 20 years ago but I have not seen it offered on any device I have owned since. Can't wait to see it coming back one day. Also, reminders take a lot of space on the calendar display. I typically enter back to back 15 minute events in my calendar. One reminder takes as much space as two events. Any way I can reduce the size of a reminder down to the equivalent of a 15 minute event? Thank you.

Those are really good questions and requests. Here’s the best I can do with answers. The Calendar/Reminders integration is brand new… And at the moment there isn’t a way for the reminders to slide forward to the next day if they’re uncompleted. It’s a feature I hope they add because it’s being requested a lot. As far as changing the size of reminders, that’s also something that I’ve heard a lot of requests for, but at the moment there’s no way to do it. Hopefully as they continue to refine and update these features it will get added.

travel time only works if you are at the starting location you selected? or does it update based on where you currently are? So if i original selected my home it would be different from my work location is an example

You have the option to select it as home, another location, or even your current location, so it's very flexible.

Hi, do you know how to change default 9 AM time for alert for all-day event? I want to be notifed but not in the morning and it shows up that I can get notified in the day of event, 1 day before, etc. but it's always 9 AM. Can I change that hour?

Sure, it's really easy to do that. Go into Settings, Apps, Calendar, and click on Calendar Accounts. Add your Google account there, and it will show up in the Apple Calendars app while also synchronizing to the Google Site.

I've got my Outlook calendar to sync to my macbook, and all the events show up on that calendar, but they don't show up on my iphone 16Pro. All other events sync successfully between those two devices. CAn you help?

Sure, on your phone go to Settings > Apps > Calendar and click on calendar accounts. If you are not signed into your Outlook account, go ahead and sign into it by clicking the + button. If you are already signed into it, just click on the calendars option and they will appear on the phone. This synchronization has to do with Microsoft not Apple, so you have to make sure that your outlook account is on the appropriate device you want to see it on. It won't just sync automatically.

It depends on which service you are using your calendar through. If you’re using a Google calendar you will have fewer options. The Apple calendar should have the attachment option.

I don’t understand when you held your finger on the empty spot to create a new event it gave you the option to add travel time but I can not get this to work on mine, is there something I need to do?

There are many ways to create an event, for me I prefer holding your finger down, but you can really do it anywhere you want. The event needs to have a location set in order for travel time to be available. So once you create it put a physical location in the location section and you should see the travel time option.

@ I have done that put in the location and still don’t see it, only way I see it is if I use my older iPad but this still doesn’t make sense because it is running iPadOS 18.1 that is why I thought that there is something in settings that I have missed but I looked in calendar settings under apps but nothing there.

@ I hope that you will see or receive this message, but I was able to fix my problem with the calendar not showing travel time when I created an appointment, I called apple support and the tech shared my screen and we went through everything that I had already done and he look in one or two different options but was still unable to determine the cause, he then put a senior advisor on the line with me and she looked at some things, and I showed her what I was talking about not being able to add travel time to my appointments, and I was tell her that I was able to make appointments in my calendar on my iPad and they would have the option to add travel time. It was then that I noticed that the types of calendar was different when I switched to my home calendar and not the basic calendar it changed and then I was able to add travel time to my appointments, I hope that you understand and maybe you could update your video, I wish I understood how to make KZbin videos I would make one myself, anyway maybe you could give me a shout out. I don’t go by that Pdblee any more I use maybe you will get this some don’t I have gone by this for a very long time. iPh5Kid this is my new one. Well I hope you see this… thanks for your videos.

Yes, if you are not using the Apple Calendar, but are using Google or some other tool, it doesn't have the same functionality. So my guess is that the calendar you were trying to do was not an Apple Calendar and then didn't have that option. It's hard for me to update an existing video, but when I do a new version of it in the future I will add that information. What service is your calendar connected through? Google? Some features are only available when you are using the Apple calendaring service.

It gets much better in 18.1, and continues to improve an 18.2. The natural language process has been slow to get out, but it’s finally on its way. That being said, I still think it’s easier to just press and hold on the correct date and time to create an event.

I get that comment a lot, and I have been considering turning it off, but then I get complaints that people say it sounds odd without something in the background. It's a no-win situation. I try to keep it as background as possible, but I will take your suggestion and consider lowering the volume or removing the background all together.

Make sure you are on iOS 18.1. I've also seen that text size can affect that ability, so it depends on the size of your phone, the size of your text, and the operating system. Let me know if you can't figure it out.

It's pretty simple: go to the calendar 📅 and click the plus button ➕ in the upper right-hand corner. Then, click on the start date, select the year at the top, and use the scroll wheel to change it to a year in the past. 🔄

I use the calendar to manage billable hours and share entries on all my devices. Apple informs me that iCloud has a limit of 50,000 entries per AppleID account and then no longer allows sharing. Apparently an iCloud “feature”! I have exceeded my 50,000 entry limit. How can I share entries across my devices now. AND why 50,000? I mean it appears to be a completely arbitrary number. Not 32 or 64 or 128 or other power of 2, but 50,000. Weird???? Is there a work around?

The 50,000 includes every event that you’ve ever put into your calendar there are tools that can synchronize only the last couple of years or the last year… But what I’ve done with other clients is I’ve had them go back in their calendar a decade… And archive a chunk of their old calendar appointments from way back when into a saved file that they can restore if need be and bring the number down. Repeating and reoccurring events will allow you to bring that number down quicker than almost anything else… I know that you’re using it for time tracking, and I’m sure a decent amount of your entries have to do with that but I bet if you look back into the past you’ve got a visit from your Handyman or picking your kids up from a soccer game from 10 years ago that are no longer necessary and clearing those will help you get under the limit. It’s not actually an iCloud limit it’s a limit that has to do with the Apple server and it’s been in place for a long time but you just hadn’t reached that 50,000 number yet. Hopefully in the future Apple will increase that, Google also has a similar maximum entry number… I’m not sure if it’s 50,000 or higher , but it’s really all about keeping your calendar clean and organized and deleting old stuff rather than just hanging onto it forever. For one of my clients I had them move five years of their appointments to a local calendar on their computer so they could still search and access it but so that it didn’t add into the iCloud number.

@@timhaney7294 Hi Tim! It will be infinitely easier to do from the computer than from a phone or iPad, since we will be creating a local calendar. Since it is local, it will not take up storage space in iCloud, but it will also not synchronize through iCloud. So it's best to put this archived file on a computer as opposed to a phone or iPad. Are you able to do that? Let me know and we will take the next step... If it must be done on the iPhone or iPad we can still do it, it's just a little more involved.

Not a fan of the new design. It could learn a lot from Google Calendars design. -Fit month per page rather than resize screen -Gridlines between days make for a much better design that's easier to read (like pretty much every other calendar that exists 🤣) -Option to colour to events. Different colours per calendar is useless to most users.

I hear you, and don't disagree. Personally, I never used the month view, so that doesn't matter, and I never had the experience of gridlines, although that sounds helpful. With regards to coloring events, that's useless to me because I would rather color the categories and have the events automatically line up with the categories. I just have too many events that are in specific categories for me to individually color-code every one of them... but I get the concept.
