if I attach a document to a quote - is there a way to have it show up attached to the sales order, the invoice? It seems it only attaches to ONE of these and not carry through

My assistant's workstation will not take the drop and drag attachments. I do this all the time on my workstation but when I do it on my admin's workstation, the files do not attach. Any thoughts? Thank you all.

Thanks for the video. I been using the attaching documents feature in 2020 Desktop. I have notice the when I scan a document it also goes in the docement center. Is there a way once I attaching it to the transaction to have it remove from the document center ?

Not that I’m aware of. The document center acts as a database of sorts to hold all the source docs

Do you know why that workstation users on the LAN would not be able to access transaction attachments but using QBES v18 directly on the Host machine, the attachments are accessible (when opening a transaction)?

I have a Trucking bussiness. Every invoice needs to have the bill of lading and proof of unload. When i try to send this bills Quick book tells me that the file size is limited. Is there anything i can do to fix this?

It sounds like it may be something of a limit they put in place. Unfortunately you’d have to call their tech support for that since it’s more of a software issue. Or of course print the invoices to pdf and email them outside of QB

If I have added several documents, how will I now which document is attached to which transaction? Is there a way to open the attachment directly from the paperclip on the transaction screen? Thank you.

Beatriz Calderon yeah you should be able to see the attachment with the individual transaction

@@QbuniversityOrg When I click on the paperclip on the transaction it links to the doc center folder and there I see all of the pdfs that I have uploaded. The paperclip doesn't open the linked pdf, nor is there a distinction to let me know which pdf this transaction is linked to. If you can let me know if I'm expecting the correct results, I will continue to look to see what I'm doing wrong. If you tell me that there is no way to distinguish the pdf that is linked to a particular transaction, then I'll know that I just didn't understand the feature correctly. Thank you so much for your help.

@@beatrizcalderon7960 when you click on the paperclip in that individual transaction, it should show only that attached PDF. When you go to the Doc Center, the listing should show what transaction the pdf is attached to. Is yours not showing this?

@@QbuniversityOrgI think that my problem is that I have many companies and therefore have added companies files within the Attach folder. My folder structure is Attach, Company1, Inbox then Attach, Company2, Inbox . When I repair the file it only remembers the current link. Thank you so much for your help.

I do attach documents to all my invoices. When I drop box my entire file to send to my secretary she cannot view those attachments. Is there a way to do this?

The attached files won't go with a back up of your QB file. If you look at the location on your computer where your QB file is, you should see an "Attach" folder that contains all the documents. I would send this along with the file

@@QbuniversityOrg okay I found an 'attach' file listed in my quickbooks backup folder but it is empty. Does this mean I have been attaching my documents incorrectly? On the current invoice I am working on I click on the attach paperclip tab, locate the PDF file on my computer and attach it that way. Apparently they are not being saved into that attach file though. Is there a step I am missing?

kellycap123 no that should be it. Do you see any other file with attachments? Are you looking at all file types when you look for the files?

@@QbuniversityOrg I'm not entirely sure.there are so many files in my computer labeled Qb and backups since my quickbooks company is very old and I am the 3rd secretary to take over....maybe I need to do a general search my computer to find the current file ?

You can go to the Edit drop down menu and choose Find. Type in the invoice number and you should find it to delete it
