This video addresses the question I'm asked most often in the comments: How do you do Recurring Tasks in Notion? Notion does not have this feature, but I have two easy methods to do it in the Pillars, Pipelines & Vaults System (PPV). Then I cover the new feature Notion rolled out this week that solves a problem we encountered a few videos back with the Projects Database and Goal Outcome Database.

I've already implemented the first method. Very easy to do. Like yours beginning plus sign to show tasks with other depending tasks, I use a beginning multiply sign (*)as a sticky note to visualize these recurring tasks. So it's also really easy to know I don't have to check done checkbox but reschedule it on next time occurrence using Do Date. Thanks for your very great channel !

Great idea with the "*" ! I may use that too, excellent. That's better systematization than just remembering (though I find it is essay to remember recurring tasks in one's life, but feel better having a process for it).

Excellent idea. I will try this out. What do you think about adding a D (W, M, Q or Y) after the * in order to indicate the frequency?

@@MartinSchabbauer If it would help you, do it! I tend to know my tasks well enough it's obvious when I look at it, but if unsure you have a good idea with the D/W/M tagging.

Who did you upset in High School that gave this video the thumbs down? On a more serious note, I came to your video series less than a week ago, after having spent a couple of weeks edging around Notion not knowing where to start. I initially watched the videos and tried to set up the basic elements of the task and project database plus the Action Zone without realising that you had made the templates available. The upside of this was that it forced me to learn the basics, which was very useful - although I have now imported your templates which I have been working with for a couple of days now. I've gone bottom up with tasks and projects, so I don't derail myself during the working week, but am keen now to make the time to work up into Goal Outcomes & Life Pillars. Thank you for making available such high quality content for free.

Thanks for sharing this Nick! Great work getting it started, better to do it on your own though a n early start with templates is ok if you make sure you understand them. But the majority of the system should be built, not duplicated -- particularly the alignment zone connections . Lots more to come, working on some cool new things for the channel and the community growing around it. Glad you've joined us!

Recurring Tasks: I always duplicate my tasks after I did them, mark the copy as done. So I build awareness of everything I did this day/week. Otherwise this task could just slip through and I miss the chance to keep track of my progress. As always, thank you for sharing your knowledge in such simple and high quality videos with us August!

Thank you for mentioning the update to template filters. Thats a super useful update which removes a constant annoyance. I hope you keep covering when new features get added in, because I had no idea they had made that change.

Another great one, August. I absolutely love your "Do Date" concept. Like so many solutions, it seems like a no-brainer in hindsight, but I'd never have thought of it on my own. Elsewhere, I find it easiest to duplicate items in the Table format. And when I'm populating items for a year or more, I find it easier to create them all in Google Sheets, where I can automate the date increments, then paste into Notion.

Thanks William! So many simple things are like that aren't they. I often duplicate in tables - most of my work with DBs happens in tables, but this kind of duplication I find is so easy it can be done anywhere. But a table that is not sorted by date would have the advantage of seeing them all together to ensure you covered all the recurring cycles. Good thought on Google Sheets for larger entry quantities. This is a very very helpful tip. I had been using Asana for a long time(years). And I was concerned about how I will make recurring tasks in Notion,if I left Asana completely! Now,I have got a nice solution to my problem from your video. Excellent tip. This will save me a lot of headache! Thanks again....

Absolutely amazing series of videos! While there's not everything yet regarding your system, I can probably wing a few of the remaining items so I can actually start fleshing this out and use it, but your insight in constructing this properly is really what sets this apart, so I look forward to that. I had started doing something like that over a year ago, but found too many limitations and I wasn't yet used to any activity of this kind, so I admittedly winged it and some parts were just too slow or badly organized. I've since used fleshed out and opinionated tools so I understand their structure, and coming back to notion with your system and thought process makes it so I can have what I originally wanted but wasn't able to do without making a mess. Huge thanks! I look forward to the next videos with mind expansion, Vaults, and business dashboards. I am curious to see if I can make them by myself in a serviceable manner, until then.

We think alike! Yes, the weekly review video(s) is the top priority but that's longer one and I was short on time so had to do shorter video for today. I expect the Weekly review video to be the next one, followed by the monthly review. But the schedule can always change. I want to get the review videos out ASAP. They are the channel's top priority now.

Your first method is how I implemented recurring tasks prior to researching how others do it. It's gratifying to know it works for others. The problem I see with your second method is, at some point, you have to remember to reschedule all of them. I think, like Patrice, I would want some sort of flag or field to quickly identify these to remind me, at the end of the year, to build out the next year. Thanks again for a great video.

I also like the videos in which you address questions that pop up often in the comments ; gives a different perspective and food for thought to see how you deal with things. I wonder why you don"'t use the agenda view to drag and drop your duplicate tasks in case #2, seems faster to me than entering the date field. Also, I have to say, I love the new self referencing feature :)

Great to hear Sandrine, I like doing it, it's fun. I'm not sure what you mean by "agenda view", do you mean the table? Calendar view presents with so much clarity and everything is easy to find.

I was recently building a project template and was wishing I could do just that--reference itself....I just tried doing it last week and didn't even notice the self reference at the top of the list. I was just starting out so I scrapped everything to start over, but will have to look at this again. Thanks !

Excellent thanks August - I do your second option as I like to be able to see status "completed tasks" in a different view - another plus by doing the duplicate method. (I also duplicate and reset for larger tasks I move forward. I have a "moved forward" status to set on the original so if they have to move forward I can keep track of that too [in the same view as the completed tasks]- an attempt to improve my planning and not underestimating the time it takes to do tasks - use this view in my weekly review). p.s. Filter both of these out in the action zone view.

Another great video August. I did something similar to my recurring tasks but I moved them on the calendar instead of selecting the date next week. I am now using a formula and an emoji reminder but that suits my setup. Did a video a while back on it. I am loving the new feature as well. It is going to open up some new interesting ways to use Notion for different use cases. 😁

I prepend title of recurring tasks with the recurring interval using a specific format of a number emoji and either D (day), W, (week) M (month) so it's very obvious. So for a task to reconcile finances every 4 weeks: "4️⃣W Reconcile finances".

I have projects where I have set up in excel a checklist that’s about 200 items. And I do this with 1 or 2 projects a week. Maybe it’s overboard but it does remind me of the small items. Would this be better as a todo list or can I do this with databases?

I have been doing the first method already I did add a "recurring" check box so I can always find my recurring tasks with a sort and I added that view to my "waiting" toggle. That way, if I panic because I think I have forgotten to do something or schedule it, I can see that I did. Also, I like to have a record that I did it, so I have a link to my daily journal database (weekly would work too) so I can link to that daily journal and see when I did it last. And the time before that, and before that, etc. Works perfectly!

Hi August, thanks very much for all your teachings. One question here- If I use the first method of changing the do-date, am I correct in concluding that I will not be tracking the task as done per day? I'd just be pushing it and no record will occur of how many times it was done? Not a huge problem if it doesn't track daily repeated tasks, but I am just wondering if I missed something.

I'm on Windows most of the time (use both), but Alt-drag copies and drags -- I think on both platforms. Great trick! Thanks for sharing that, and greatly appreciate the feedback in the video.

For recurring Tasks, you could also put them in an Excel Sheet, and import as csv. it's faster than clicking around and editing each Task

The current system is super fast, but I suppose it depends on how many you're entering. At very high quantities, an import would make sense. Good idea.

Thanks for this video, August! By changing the date for the reassuring task after completing the task, it means one cant tick the task off and then it won't appear in the ''completed tasks' view which I like to look at to see what I accomplished for the day. Any way around this?

Yes, just duplicate it and assign the next date to the duplicate. Click the six-dot drag handle on the side and select "Duplicate" to make the new one. Hope that helps!

I like the first method because of the historical record potential. When I complete a recurring task, I use the task body to enter a log so I know when I did it historically with notes if necessary, instructions, etc.

I do something similar, but I have a relational column to the day it was completed (I have a daily journal db). I add the date completed to the existing ones in the column, then reschedule. At a glance I can see the last few iterations when it was completed - at least until I archive older days to keep the db running quickly. :)

Thank you August, always appreciate your uploads. A question I had is around Notion and books - I love to read and know Notion is perfect for sorting and arranging my notes. I suspect your note taking system for books is a part of the vaults function, and therefore we will see a video on it? Was going to create my own but know that yours will be perfectly aligned with the system and if so I'll happily wait. Thanks again.

One thing I'd like to point out that bypasses the Do/Due explanations sprinkled throughout these videos is that you can just rename "Do Date" to "Do It Date". This makes more sense and makes speaking about the specific columns much easier, without having to qualify the spelling of "Do/Due" every time you say it.

I like the same-sounding name, re-frames conventional thinking and gives a reason to emphasize it. For teams, however, I recommend changing Due Date to Completion Date for the sake of their internal discussions. Of course do whatever you personally prefer!

Hi August! Thank you so much for sharing all the valuable advice you provide, I do love your channel and the concepts and the way you explain them to us. I am impressed by the Self Referencing feature in templates. Seems no one brought that one up yet, but I can't seem to make it work in a filter on a "roll-up" column (listing all) specifying "contains current template"... I hope I am explaining it clearly enough. Is there a reason for that? Or am I not doing it properly? That may mean that I have to use a relation column instead of the roll-up.

adding a new item to the action items on mobile results in the forever loading page. it is so crucial for me to create new tasks on the go on mobile.

Hi August big thanks for the amazing series, I am a student and trying to Implement the life OS in my Life and I am dealing with each subject as a Project and each subject has its own Lectures, so they are the actions. in term of spaced repetition I have to work on the same Lecture sometimes 3 times a Week and I created kind of a status select propriety to define my study phase . I am facing a problem with duplicating project realated actions to work on them on a daily basis, it results with me having many copies of the same action in the Project view. I wish you have an Idea to solve this Problem, and I haven't jet finished all the series but I think I found a life changing system. Thanks again

Thanks for making these videos, lots of interesting ideas in them. Watched the whole series (so far) over the last week. 1. Might it be better to call them "Action Dates" instead of "Do Dates"? Seems to align with your theme, and avoids the potential verbal confusion. (Or do you like that it sounds like Due Date?) 2. What if a weekly task has an associated checklist inside it (with, say, 10 quick items you need to do each time)? Using the first method of resetting the Do Date means you have to un-check the checklist at the end. And since it's weekly (or maybe twice a week say) then creating all the occurrences out for a year seems inefficient. Would you use the first method, but add a button inside the Task which creates the check-list? Then all you have to do is delete the completed check-list and click the button to generate a new one (then reset the Do Date). (Just thought of this solution as I was writing the question actually.) Looking forward to the Cycle Reviews video!

Awesome Kevin, thanks for the feedback! (1) I like the same-sound of Do/Due Dates -- challenging convention. But feel free to rename anything in your implementation. (2) Exactly, create a page template button to generate the task list. If the duplication brings the completed task list forward, a simple Cmd-A selects/highlights everything, then hit delete and it clears it all in just two keyboard commands, then re-apply the pre-made template for the task to re-issue the check list (after it is all deleted/cleared, the template buttons will re-emerge as if it were a brand new task). .

Another shortcut for duplication, just go to Calendar view and copy / cut that card. Then you have two options. First, just ctrl + v several times to get duplicates and then drag and drop. Second option is to copy, and then instead of immediately pasting and draging, go through the calendar, hit the "plus" button on a day in a future month (this will create a new card). "Escape" to exit that, select that card without opening it up, and hit ctrl + V. Then just select the unwanted blank card and hit "backspace" to delete it. Works like a charm. Neither way is as awesome as Trello's automated feature, though. In Trello you have an automations tool that far beats any of this. You can duplicate entire checklists from templates, or auto-populate new cards with specific tasks on certain days--or if you happen to drag a new card into a specific list. Notion's great, but it lacks in many areas. Love the content, by the way! Great stuff!

Thank you for the video. I've started wondering something about the system as a whole - does the complexity of the system (especially the number of relations between databases and linked databases) slow your Notion down at all?

I have seen no slowdown at all. I think the slowdown issue is just when a particular view has a lot of data in it, the relations only load as needed so not inherently a drawn on the tech platform.

I have a tip for anyone struggling to get the self-referencing to work: for me I got the full list of projects instead of a blank slate when I created a new project from the template. It took me longer than I care to think about to realise why: I had two database views in my New Project Template and you need to apply the filter to each of them! The default view had no filter applied but if I switched views everything worked correctly. I then edited the template to apply the filter to all views.

This manual solution is very clear however I am still very shocked disappointed that there isn't an automated way to do re-occurring tasks in any of these project management systems. Every single business and personal organization system has re-occurring tasks that we need to see visible so it should have been developed by now. The only software that does this is Google calendar, however they don't have a great task list. I am still eagerly waiting for a software to do both calendar and tasks well.

Fantastic. This is the way to go. Looking forward so much to the review stuff. But I have lots to do implementing all the good stuff already presented so I can wait :) . BTW - In the Life Data and habit Tracker I have added a property called ”Day (type)” that is a Select with the following choices: Working day, Business trip, Weekend and Holiday. I feel that this highly impacts my stress level that I record every day as well as % performed of planned activities etc. What do you think guys?

I search a wide variety of icon websites to find the ones I like, there is no single source. Just Google for "icons" and some websites will pop up to check out. I tend to search for "flat" icons to keep the feel consistent. Hope that helps.

Hello August, I noticed that most of my tasks doesn't have a status until I sort their priority, unless it is on "Pause/Waiting", in which case it doesn't have a priority anyway. I've been wondering, is there a real need for the Actions "Status"? I'm thinking about merging the status and priority columns, since if the task is active, it will show when the Do Date arrives and one day before I'll set a priority, if it's paused/waiting, then it doesn't need a priority and after I unpause/stop waiting for it, I can just assign a Do Date and it becomes active. It seems that I lose so much time activating the tasks one day before it's time to do them and that would make the process run smoother. Would love to hear your take on it.

I like how deep you're going in your thinking here Popy. Before I get into how your way can work, why are you adding so many "Active" Status designations the night before? I create the vast majority of my Action Items in my Action Zone dashboard from a view already filtered for "Active" so it adds the Active tag automatically, and that stays there for any created this way. For actions I create in a project DB workspace, I'm sorting and arranging them and some already have active. So it's not that often I have to change the Status tag the night before. Regardless, it could work the way you describe way (if I'm understanding correctly, you would remove "Active" from Status and add ALL the Priority options to Status? Then when a non-active item becomes active, you switch it's status to a Priority, in the same Status column.) That would work, particularly since the very fact at Action Item has a Do Date means it's active, in the system, so the "Active" Status is as you point out redundant. However, I prefer the current way because: (1) It takes me almost no time to manage, (2) it's visibly cleaner and more organized and more logically presented to my eye, and (2) communicates the idea more clearly as I teach other people in demos. But your approach can work if it seems faster an more intuitive for you.

@@augustbradley First of all, thanks for the quick reply! I noticed most of my tasks were being added from inside of a Projects, since I manage my ideias/brainstorms/scripts/resourcers from there and It was very counter-productive setting the tasks as active or in line etc, so I just stopped doing that, so my tasks were always with a priority or paused (or as a recurrent status that I use for recurrent tasks). Today I switched to what I described and you perfectly understood: I merged the status and priority column, now I have a single priority column(might need to find a better naming for this one) with those options: Scheduled, Reminder, 1st/2nd/3rd/4th/5th priority and Paused. With that I had to find another way to symbolize the recurring tasks, as they can also have a priority whenever their next date arrives, so I just created a Project called "Recurring" and added all tasks to that. I was already viewing the projects for each task right next to the task name itself while in the daily action view, so that works 100% for me and I also doesn't have to deal with an extra column. +1 for minimalism! haha I get it why the status and priority exists, I still use both for projects and goals, but I just couldn't justify having both for tasks. And also it definitely is easier to teach others this way.

August is amazing - most realistic, implementable and organized systems I've found yet and i've tried everything. After a total failure on GTD, this is actually starting to work. August - if everything is about who you are becoming, what do you think of idea of taking something like virtues from Ben Franklin (this is related to Order for me)... then putting those separately, or even possibly as pillars? I'm thinking the virtues he listed pretty well cover what most of us should strive to become, which would help us achieve other goals. Thoughts?

You actually don't need to remove the "copy of" individually. You can view them all together, select them, choose edit, and remove ALL "copy of" in one go. Saves you quite a few clicks.

The way I handle recurring tasks is as follows: From the Action Items master database, create an additional Status called "Recurring," Then create a new Table View called "Recurring Tasks" which filters only Action Items where status is Recurring. Duplicate that Table View and change it to a Calendar View (you'll see why in a minute). This is it for setup. When you need to enter a recurring task, go back to the new "recurring filtered" Table view, then enter the "master task" which references all your relations to the Pillars, Goals, and any Projects, Habits or Value Goals (which I track in Action Items for things such as take out the trash, pay bills, etc). Once that Master task is created, use the shortcut Command+D to duplicate it (even 52 or 104 times for weekly or twice a week tasks). All the duplicates will inherit the property values, including the date, which you should set on a day of the week that the tasks will recur if possible (again, you'll see why in a minute). All the duplicates will also have 'Copy of' before the Action Item name. Copy the name of the Action Item without the 'Copy of,' then triple-click each Action Item and paste. Very fast way of removing the Copy of from multiple tasks in a table view. Now they are all scheduled for the same date, with all their property values. Now switch to that recurring filtered Calendar View, and they will all be there on the same day. Drag one by one to the proper recurring date, and in a minute you can do 52 or 104 recurring tasks, and done. You can even duplicate them FIRST from the calendar view with the same keyboard shortcut and keep moving them to the correct date, THEN go back to the Table view and do the triple-click magic trick. It works like a charm. August, your system is life-changing. Words can't even express how grateful I am to have found you. Thank you and keep it up!

Make sure you adjust all your filters on Action Zone, etc to turn the Status is Active filter into a group that also includes status is recurring. If you want to see recurring tasks of course.

Excellent Tony, a great batch batch process! Seems you could do the same without the extra "Recurring" field and without the new calendar view, using the same Do Date Calendar view and the large cluster of new Duplicated items in the current Do Date, no? I do it this way when batching. Also, instead of triple-clicking each to change the name,. just select the full batch together, right-click the six-dot handle and chose "Edit Property"m select the name and change the name once for all (I have personally spoken with Notion about eliminating the "Copy of" name change, several other Pros have backed me up -- it's so unhelpful. Just duplicate the record, don't change it!)

@@augustbradley Thank you. I will try that later today as I give recurring Action Items to some Habits so they show up on my Action Items workspace. There are a few things, such as the 'Copy of" issue that annoy me. Finding more annoyances every day as I learn, design, build and apply. However I get the software development cycle and it's complicated as you know, along with the fact that you can't please everyone, so prioritization on their part, with such a revolutionary platform, must be difficult. Honestly, API (specifically Zapier support), is my number 1 ask right now. I heard it may be coming in October (delayed due to COVID-19), but I presume that it will then take some time for Zapier to implements. Feels like a 2021-Q1 feature at best right now.

@@tonyroca There are such annoyances in every software platform, none are perfect. In discussions with Notion I have raised the idea of removing the "Copy of" text from duplications, several other Notion Pros backed me up on that. We'll see what happens. Yes, the API will be welcome :)

I wish they would make some sort of automation... you can get 70% of the way there using a custom formula but you can't sort or filter using a formula so its impossible to get it working. I just purchased the system and regret it because with no automation for recurring tasks, I have to manually move things all the time which gets old quick.

This video just convinced me that Notion is not ready for the task! Ha, ha... you keep using re-assuring words in the video "it's that easy" while showing repetitive human processes (not automation). These are error prone, you will likely accidentally schedule a TPS report on a Thursday one month or a week ahead or behind one month. That's human error and that's what automation is meant to solve. Plus let's say you schedule a year's worth of activities manually like this, then for some reason need to reschedule them all. Now you have to go manually clean up old items one by one - again opportunity for human error and costs time/energy. I hope Notion is working on something better, otherwise this really isn't very good.

Yeah. I agree with you. It is a manual solution that can help when you have to set a recurring task for each month. But what about a recurring task you have to set for every week or a bunch of recurring task for each month. If you do it manually it would take you a considering amount of time. I hope Notion will implement a feature for this issue.

Or, you know, you could just type "ev 3rd Thu in the morn" in Todoist... Done. Boom. I know Notion is trying to be an all-in-one app, but...why? I don't write books in Microsoft Word. I don't have any problem having different apps for different things. Hell, Notion INTEGRATES with Todoist! (And Todoist integrates with Google Calendar...) This is just adding different steps and making it more complicaed than it needs to be, IMHO.

Sounds like you should use Todoist. I used Todoist before trying Notion, and I will never go back to it. My systems are on a totally different level now in comparison, Todoist looks archaic now from my perspective. Yes, in the specific area of recurring tasks, Todoist has the advantage. The number of categories going the other way are vast.

@@antpugh Maybe you're the close-minded one here. He JUST admitted that for the area of the comment I made, Todoist is superior. I'm disabled following two strokes due to a genetic defect. So I'm not organizing a small business; I'm just trying to get my life back on track. I use Todoist for even the most basic of activities. I use Notion to set goals for motivation. So I watched this video to see if Notion is better than Todoist for recurring tasks. It's not. So I complained that this whole work around seemed pointless. It is, except I guess for those who never want to use Todoist again, which is close-minded.
